1. INSTALLATION TIPS
==================================
This section presents information on streamlining PageMaker's installation
and performance.
NOTE: Page 13 in Getting Started describes an alert box stating that Setup
can automatically revise your AUTOEXEC.BAT and CONFIG.SYS files. However,
the alert now refers only to the AUTOEXEC.BAT file. Also, pages 18-19 in
Getting Started propose modifications to CONFIG.SYS; these modifications
are no longer recommended.
1.1 REBOOTING AFTER INSTALLATION
If you permitted Setup to revise the PATH statement in your AUTOEXEC.BAT
file, you must reboot your computer for the change to take effect.
Immediately after installation, exit Windows and reboot.
1.2 IMPROVING PAGEMAKER'S PERFORMANCE
Because PageMaker loads each installed filter during startup, the more
filters you install, the longer PageMaker's startup time will be. We
suggest, therefore, that you install only those filters you will typically
use.
But if you must install several filters, there is another option for
accelerating startup. By making modest changes to the filter lines in
ALDUS.INI, you can reduce startup time while still installing all the
filters you need. Using Notepad, type a semicolon at the beginning of
lines for filters you will rarely use. When you restart PageMaker, these
filters will not be loaded. And when you want to use these filters again,
remove the semicolon from the filter lines in ALDUS.INI, and then restart
PageMaker.
1.3 REINSTALLING PAGEMAKER OR INSTALLING NEW FILTERS OR DICTIONARIES
If you need to reinstall the entire PageMaker program (rather than simply
installing new filters or dictionaries), first delete your \ALDUS and \PM4
directories as well as their subdirectories. (You may, of course, first
wish to move elsewhere any PageMaker publications you want to preserve.)
Next, in your WIN.INI, delete the "[Aldus]" section, which may look like the following lines:
[Aldus]
AldusDirectory=C:\ALDUS
NetAldusDirectory=NONE
PM4LangDir=USENGLSH
...
Then restart Windows. When you reinstall PageMaker, you will now be able
to choose the drive in which you want Aldus Setup to install files for the
\PM4 and \ALDUS directories.
But if you are only installing additional filters or dictionaries, you
want to be sure Setup installs them in existing \ALDUS\USENGLSH and
\ALDUS\USENGLSH\FILTERS directories. In this case, therefore, do not
delete any directories or the ALDUS section of WIN.INI.
When you reinstall PageMaker using the version of Aldus Setup on your hard
disk, open the control file for PageMaker 4.0 to tell Setup that that you
want to PageMaker rather than some other Aldus program. The control file
will be either PM412.CTL, PM4720.CTL, PM4360.CTL, depending on the type of
installation disks you have.
1.4 AVOIDING DOS SHELLS AND SCREEN SAVERS
For installation, don't use any DOS shell programs other than a Windows
3.0 shell, such as that provided by HDC. Also, turn off or disable any
screen savers you have running, as they may cause problems during
installation.
=======================================
2. UNDOCUMENTED FEATURES
=======================================
PageMaker's otherwise undocumented features include:
A way to create a series of index entries automatically, using the
"Change..." command. (2.1)
A time/date-stamp filter utility for displaying and printing the time
and date in your publication. (2.2)
A "Color as black" option in the "Print" dialog box (2.3)
Automatic closing of nested dialog boxes (2.4)
Automatic repair of damaged PageMaker 3.0 publications, as well as the
option to restore text deleted in PageMaker 3.0 publications (2.5)
2.1 INDEXING USING THE "CHANGE..." COMMAND
Using the "Change..." command, you can create a series of index entries
automatically if those entries can be drawn directly from the text.
1. In the "Find what" edit box, enter the term you want to be indexed, for
example, "discount pizza".
2. Enter ^; (the index metacharacter) in the "Change to" edit box. You do
not have to retype "discount pizza".
3. Click either "Change & find" or "Change all." Depending on your
specifications in this dialog box--whether you've selected "Match case" or
"Whole word"--every instance of the term "discount pizza" will be automatically entered in the index.
To use this method for entering proper names, type the metacharacter ^z
instead of the index metacharacter. (The "z" must be lowercase.) For
example, if you enter "Leopold Bilgewaters" in the "Find what" edit box
and ^z in the "Change to" edit box, PageMaker will create index entries
for every instance of this name when you click "Change all." And because
it is automatically indexed as a proper name, it will appear in the index
as "Bilgewaters, Leopold."
If the proper name contains three or more words, like "Oliver Wendell
Holmes," use a non-breaking space to join the words that belong together,
in this case, "Oliver Wendell." To do this, first use "Change..." to
replace all instances of "Oliver Wendell" with "Oliver^sWendell". (The ^s
metacharacter inserts a non-breaking space.) Then replace
"Oliver^sWendell Holmes" with ^z. PageMaker will display the name as
"Holmes, Oliver Wendell" in the index.
NOTE: Because you do not have to retype in the "Change to" edit box the
text you want to be indexed, beware of mistyping the index metacharacters
(for instance, ^{ instead of ^;) and thereby replacing terms or names
rather than indexing them. If you have indeed mistyped when you imagined
you were indexing, hold down Shift and choose "Revert" from the File menu
to restore the mini-saved version of your publication. (For more
information on "mini-saved versions," see page 248 and pages. 251-254 of
your PageMaker 4.0 Reference manual.)
You can use these metacharacters either alone or with changes in text or text attributes. Enter only one indexing metacharacter at a time in the "Change to" edit box.
2.2 PAGEMAKER'S TIME/DATE-STAMP UTILITY
The Time/Date-Stamp utility is an import filter that you can use to place an image containing the current time and date. PageMaker updates this information, drawn from your computer's clock setting, whenever the time stamp is repositioned or the page is redrawn or printed.
To place the time-stamp image, choose "Place..." from the File menu and, in the "Place file" dialog box, double-click DATETIME.TYM. This file is available from the \PM4 directory. The "Time Stamp import filter" dialog box appears, with options for the time-stamp format and the font in which it's displayed.
As you select a "Format" option from the drop-down list, the "Sample" field above this option shows how the time stamp will look when placed on the page. For example, selecting the format "ddd, mmm d, yyyy" might display "Wed Jan 30, 1991" in the "Sample" field. Experiment with different time-stamp formats until you find a suitable one.
The fonts available in the "Font" drop-down list are determined by your target printer. Selections you make from this list are also reflected in the "Sample" field.
After you place the time-stamp, you cannot edit it because it is a graphic
rather than a text block. However, you can edit and add text to the time
stamp before you place it by typing in the "Format" edit box. Keep in
mind, though, that the filter reads its own special characters (s,h,d,m,y)
as format information. So to use any of these letters as part of your
text, type a backslash (\) in front of it.
For example, if you wanted your time-stamp to include this text:
"I stayed up until 4:00"
you would enter this text:
I \sta\ye\d up until h24:mm
Instead of using "h24" (international time), you could indicate morning or
afternoon with "AM/PM." Thus, for a time stamp that said:
"I stayed up until 4:00 AM"
your format should read:
I \sta\ye\d up until h:mm AM/PM
You place the time-stamp as you would any graphic. To resize it, hold
down Shift and drag a graphic handle.
NOTE: If you do not have a type manager installed, the display and
resizing of the time-stamp graphic may not completely satisfy you.
2.3 PRINTING COLORS AS BLACK
The "Color as black" option in the "Print" dialog box is for printing
PageMaker graphics--those drawn using the PageMaker tools--or text in
black. When checked, this option improves printing speed and ensures that
even light colors can be printed. These rules are followed when you print
colors applied in PageMaker:
If you check this option, PageMaker uses solid black for all non-white
colors, regardless of whether you are using a color or black-and-white
printer.
If you uncheck this option and print to a color printer, the color
printer driver uses the closest color match for printing text and graphics.
A black-and-white printer driver will convert colors to a grayscale
pattern or shade.
The default setting for this option is ON (checked) if the current printer
is a black-and-white device and OFF (unchecked) if the current printer is
a color printer. PageMaker keeps track of your setting for both the
black-and-white and the color printer, checking or unchecking this option
depending on the currently selected printer. For example, if "Color as
black" is checked, and you switch from a black-and-white to a color
printer, the "Color as black" option is automatically unchecked.
The "Color as black" option is not active when you check "Spot color
overlay."
For publications created with Macintosh PageMaker 4.0 or earlier versions of PageMaker for Windows, the initial default for this option is
OFF for both black-and-white and color printers. And when you first launch
PageMaker 4.0, before a defaults file is created (PM4.CNF), the default
for this option is unchecked.
2.4 CLOSING A SERIES OF NESTED DIALOG BOXES SIMULTANEOUSLY
Many dialog boxes in PageMaker are nested, that is, opened and closed from
within other dialog boxes. Using the "Define styles..." command, for
instance, it's possible to display as many as five dialog boxes on the
screen at the same time. To close all open dialog boxes at once, hold
down Alt as you click "OK" or "Cancel." This shortcut, which works with
most dialog boxes, is equivalent to closing each dialog box individually
by clicking "OK" or "Cancel" in each one.
2.5 REPAIRING DAMAGED PAGEMAKER 3.x PUBLICATIONS AND RESTORING DELETED TEXT
In some cases, opening a damaged PageMaker 3.0 or 3.01 publication in
PageMaker 4.0 may automatically repair it. For instance, a PageMaker 3.0
publication that can't be opened in 3.0 or 3.01 may possibly be opened in
PageMaker 4.0. Also, when you use PageMaker 4.0 to open a mini-saved
version of a PageMaker 3.0 publication containing deleted text (text
stored with the publication but not visible in PageMaker 3.0 or 3.01),
PageMaker may display a dialog box asking whether or not you want to
restore that text.
==================================
3. DOCUMENTATION CORRECTIONS
==================================
Please note the following adjustments to the PageMaker 4.0 printed
documentation.
3.1 REFERENCE MANUAL
Described at the bottom of page 173 is a keyboard shortcut for identifying
and repairing publication problems. The shortcut is "Ctrl + Shift +
Hyphenation...," not "Alt + Shift + Hyphenation..." This keyboard
combination also recomposes all text in your publication. For this
feature to work, nFor this feature to work, o text or graphics should be
selected
Page 227, under the "Tips" section of the "Paste" command description,
states that "the most recently pasted object" must be selected before you
perform a power paste (Ctrl + Shift + P). However, it is not necessary to
select an object.
In the "Tips" section on page 238, the keyboard shortcut referred to for
displaying a graphic at high resolution is not correct. It is not the
Ctrl key that is used, but Alt + Shift.
Pages 241 and 333 claim that "1000%" is the upper limit for the "Scaling"
option in the "Print" dialog box. In fact, the highest acceptable value
for this option is "999."
3.2 TEMPLATES GUIDE
Throughout the Templates Guide, template files are said to have a .PMT
extension. In reality, the extension is .PT4.
Page 11 erroneously states that double-clicking a text block will open a
window in story view. Instead, it is triple-clicking that opens story view.
3.3 QUICK REFERENCE GUIDE
Because the em dash was not included in the Windows version of the ANSI
character set, the keyboard shortcut for the em dash (Ctrl + Shift + =),
described in "Typing special characters," displays two hyphens on the
screen rather than an em dash. The em dash character cannot be displayed,
but it can be printed if you use either the correct Alt code (Alt + 0151)
or Ctrl + Shift + = and print to a PostScript printer. When you print
certain fonts to a PCL printer, this code may also produce an em dash.
3.4 TABLE EDITOR GUIDE
The Table Editor Help system has changed from the way it is described on
page 36. Context-sensitivity is currently available through menus, not
through dialog boxes. To use menu-sensitive Help, highlight a command and
press F1 (not Shift + F1).
3.5 SUPPLEMENT
The Import/Export table on page 25 incorrectly states that inline graphics
in an RTF format can be imported into PageMaker and then exported from
PageMaker as part of an RTF file. In truth, they can be imported but not
exported.
The illustration on page 49 incorrectly lists dictionary files as "ALDENG."
The correct name is "ALDUSN."
==================================
4. ADDITIONAL INFORMATION ABOUT FILTERS
==================================
The filters described below could not be fully documented in the Supplement.
4.1 EXCEL (.XLS)
Two new options, "Apply XLS style" and "Read tags," have been added to the
Excel import procedure. To use styles created in Excel 3.0, leave "Read
tags" unchecked in the "Place file" dialog box when you select the Excel
file you want to place, and make sure "Apply XLS style" is checked in the
"Place an Excel Range:" dialog box. If both options are checked, the
"Read tags" option will override the "Apply XLS style" option. On the
other hand, you may want to use PageMaker paragraph styles instead. If
so, first verify that the style tags (for example, <Heading>) you use in
your Excel file are identical to the style names you are using in
PageMaker. Then, when you place the file, select "Read tags" in the
"Place file" dialog box, and make sure "Apply XLS style" is unchecked in
the "Place an Excel Range:" dialog box.
When you import an Excel range as a graphic, the specified range for the
"Range" option in the "Place an Excel Range:" dialog box is limited to 70
columns by 70 rows, assuming a normal (unchanged) column width and row
height. When you import it as text, the range must be limited to 40
columns by 40 rows because this is the maximum number of tabs per line
that PageMaker supports. NOTE: Graphics created using the first release
of Excel 3.0 are imported more slowly than Excel 2.x graphics.
This filter does import colors created using [COLOR n] setting in Excel
3.0. The values for "n" (1-16) refer to the 16 colors available from the
color palette. But this filter does not import colors created using the
[condition value] setting. Both features are described on page 193 of
your Excel 3.0 user manual.
This filter does not import Excel fraction codes. For instance, the code
0 4/7 will not be converted to either 4/7 or its decimal equivalent, but
to 0/0.
4.2 LOTUS 123 (.WKS)
Two new options, "Apply WKS style" and "Read tags," have been added to the
Lotus import procedure. To use the Lotus WKS style, leave "Read tags"
unchecked in the "Place file" dialog box when you select the Lotus file
you want to place, and make sure "Apply WKS style" is checked in the
"Place a Lotus 123 or Symphony Range:" dialog box. If both options are
checked, the "Read tags" option will override the "Apply WKS style" option.
On the other hand, because PageMaker paragraph styles broaden your
formatting options, you may want to use them instead. If so, first verify
that the style tags (for example, <Heading>) you use in your Lotus file
are identical to the style names you are using in PageMaker. Then, when
you place the file, select "Read tags" in the "Place file" dialog box, and
make sure "Apply WKS style" is unchecked in the "Place a Lotus 123 or
Symphony Range:" dialog box.
4.3 MICROGRAFX DESIGNER (.DRW)
After the documentation went to press, a Micrografx filter was included,
allowing you to place Designer 3.02 files in their native .DRW format. As
a result, conversion to other formats is not necessary, and no detail is
stripped from .DRW graphics when you place them in PageMaker. This filter
also imports Micrografx Draw Plus 1.1 (.PIC) and Micrografx Charisma
(.GRF) files. For information on using this filter, refer to MGXIMP.TXT
in the \ALDUS\USENGLSH\FILTERS directory.
Note: Before using this filter, make sure a Micrografx program is already
installed on your hard disk.
4.4 MULTIMATE (.DOC)
This filter imports all standard type styles except italic. It also
imports line spacing, left-aligned tabs, and text alignment.
4.5 SAMNA AMI (.SAM)
This filter imports paragraph styles and standard type styles: bold,
italic, underline, strikethrough, small caps, all caps, and
super/subscript). It also imports text color and point size. The
paragraph specifications it imports are leading and paragraph spacing,
text alignment, indents, and left and decimal tab alignments. The filter
ignores any tab settings after the first column.
You can also import footnotes, which PageMaker automatically numbers as
text is placed.
4.6 SCRAPBOOK+ (.ART)
The Scrapbook+ import filter, by Eikon Systems, lets you find and view
graphics before you import them into PageMaker. A Scrapbook+ .ART file
can contain one or several graphics. When you choose "Place..." and
select a .ART file, the import filter displays a window showing thumbnails
of all the graphics contained in the .ART file. When you select one of
these thumbnail graphics, an information line at the top of the window
describes the graphic's format. Double-clicking the graphic closes the
import filter window and displays a loaded graphics icon so that you can
place the graphic in your publication.
Because PageMaker's link is to the .ART file as a whole rather than to the
individual graphic, PageMaker cannot automatically update the link if you
revise the graphic in the originating graphics program. You can still
select the link option to "Update automatically," but the Scrapbook+
filter will display its thumbnail dialog box, where you reselect the
graphic to reimport.
Aldus Setup automatically copies a clip-art file (CLIP.ART) to your \PM4
