- Below is a summary of the responses I received from my question
- about a possible GODORT program on the merging of reference and
- documents departments. There was quite a bit of interest in seeing
- this program developed, which tells me that we have picked a timely
- topic.

- Further discussion of the proposed program will take place at the
- GODORT's Education Committee meeting at Midwinter (Friday, Jan.22,
- 2:00-4:00 pm). I encourage everyone who is able to attend
- Midwinter, and is interested in this topic, to attend the meeting.

- Summary:

- I received at total of 14 responses to the question "What would you
- like to see in a program dealing with the merging of documents and
- reference departments?"

- Suggestions for program format:

- 1. A panel of librarians who have experienced a merge of
- departments to share their experiences with integration.

- 2. Conduct a survey to ascertain which libraries have integrated
- departments, and gather information about the success/problems
- associated with integration. Report the findings at the program.

- Suggested topics for program:

- 1. Why are reference and documents departments being integrated? Is
- the motivation to provide better service, or to achieve fiscal
- savings?

- 2. Organizational models - If a documents department goes to public
- services, where does the documents processing go? What are the
- possible organizational models? Do total quality management
- principles play a role?

- 3. Physical design - Once departments have merged, are documents
- collections relocated? Are separate service desks maintained?
- Several respondents indicated that merging departments is favorable
- because the elimination of physical separation improves service.

- 4. Training - What kind of training is provided for reference
- librarians now expected to give documents reference service? Are
- there special reference skills associated with document reference?
- How much is enough training? How can documents skills be evaluated?

- Personal Experience:

- Most of the respondents indicated that they are either
- contemplating the merge of documents and reference departments, or
- have already integrated the two departments. It is impossible to
- generalize on individual experiences, but most indicated that there
- has been difficulty in developing documents reference skills among
- general reference librarians. The most common complaint was that
- reference librarians do not use documents reference tools often
- enough to gain adequate expertise. Also, documents librarians do
- not provide adequate training, and are unwilling to let other
- librarians into their "domain". Most respondents indicated that
- some friction had resulted from the integration of departments, but
- often this friction was carried over from the previous
- relationship.
