Chapter 10 - Portfolios
The Portfolio Table, brought up from the Main Menu, shows a single
line of information for each portfolio, with portfolios listed in order by
ID. There is a checkmark displayed to the left of the currently open
portfolio. When you start Capital Gainz for the first time, a portfolio
with an ID of 001, named <<Default Portfolio>>, is created. The values
displayed for each portfolio are:
o Portfolio ID, a number between 1 and 999.
o Portfolio Name, displayed on portfolio specific forms and reports.
If you use the Show Values function key, you are also shown:
o Current Value of portfolio holdings.
o Current Gain/Loss of portfolio holdings.
o Total Value of holdings in all portfolios.
o Total Gain/Loss of holdings in all portfolios.
At the bottom of the table is a scrollable row of functions:
o Enter:Make Current - makes the highlighted portfolio the current
portfolio, which is flagged with a checkmark.
o Ins:Add - add a portfolio.
o F2:Change - change the highlighted portfolio.
o Del:Delete - delete the highlighted portfolio.
o Esc:Exit - exit from the table, returning to the Main Menu.
o Ctrl-PgUp:Top - go to the first record.
o Ctrl-PgDn:Bottom - go to the last record.
o F3:Tax Report - generate the Schedule B and D-1 reports for the
highlighted portfolio.
o F4:Portfolio Summary Report - generate the Portfolio Summary Report.
o F5:Portfolio Detail Report - generate the Portfolio Detail Report for
the highlighted portfolio.
o F6:Portfolio Allocation Report - generate the Portfolio Allocation
Report for the highlighted portfolio.
o F8:Show Portfolio Values - toggles showing portfolio values.

10.1 Make Current
===>>> By hitting the Enter key, you make the highlighted portfolio the
current portfolio. This opens the portfolio for buy, sell, and
distribution activity. After making a portfolio current, you are returned
to the Main Menu. All portfolio specific forms and reports show the
current portfolio, if you defined more than one portfolio.
The current portfolio is distinguished in the Portfolio Table by a
checkmark to the left of its ID. The current portfolio is 'remembered'
between sessions, so whenever you start up Capital Gainz, the last
portfolio that you had opened automatically becomes the current portfolio.
10.2 Add a Portfolio
The Portfolio Form is brought up to add a portfolio when you hit the
Ins key on the Portfolio Table. The fields in the Portfolio Form are:
o (Required) The ID for the portfolio. This is a value from 1 to 999, and
is used as part of the filename for the Local Security, Open Shares,
Closed Shares, and Distributions Files. Capital Gainz displays the first
unused ID when adding a portfolio.
o (Optional) The portfolio Name. This name is shown on all portfolio
specific forms and reports.
o (Optional) A Description of up to 3 lines for the portfolio. This
description is only used on the Portfolio Summary Report. If you leave a
line blank and hit Enter, the other lines are skipped.
Function keys at the bottom of the screen are:
o Form Accept - accept form, the same as hitting Enter on each field. This
key is only displayed when changing records.
o Form Reject - exit immediately, the same as hitting Esc to back out.
This key is only displayed when adding or changing records.
After completing the form, the portfolio record is added and the
corresponding Local Security, Open Shares, Closed Shares, and Distribution
Files are created. You return to the Portfolio Table, and the new
portfolio is highlighted and becomes the current portfolio.
10.2.1 Example - Add a Portfolio
Say you add a portfolio for your son, Junior:
ID :002
Name:Junior's Portfolio
Desc:Goal: To save money for college.
o The portfolio record is added.

o The local security, open shares, closed shares, and distribution files
for the portfolio are created: LSEC002, OPEN002, CLOSE002, and DISTR002.
10.3 Change a Portfolio
The Portfolio Form is brought up to change the highlighted portfolio
when you hit the F2 key on the Portfolio Table. The Portfolio Form,
described in the Add a Portfolio section, is initialized to the current
values of the portfolio to be changed.
After completing the form, the portfolio record is updated. If you
changed the portfolio's ID, the Local Security, Open Shares, Closed
Shares, and Distribution Files are renamed accordingly. Confirmation is
required regardless of the Confirm Update global setting, since many
records could be affected. You return to the Portfolio Table, and the just
changed portfolio is highlighted.
10.3.1 Example - Change a Portfolio
Using the previous example, say you change the portfolio ID to 003.
o The portfolio record is changed.
o The local security, open shares, closed shares, and distribution files
for the portfolio are renamed to: LSEC003, OPEN003, CLOSE003, and
DISTR003.
10.4 Delete a Portfolio
The Portfolio Form is brought up to delete the highlighted portfolio
when you hit the Del key on the Portfolio Table. The Portfolio Form,
described in the Add a Portfolio section, is initialized to the current
values of the portfolio to be deleted.
The portfolio record is deleted, as are the portfolio's Local
Security, Open Shares, Closed Shares, and Distribution Files. Confirmation
is required regardless of the Confirm Delete global setting, since many
records could be affected. When you're finished with the Portfolio Form,
you return to the Portfolio Table, and the portfolio after the one just
deleted is highlighted.
10.4.1 Example - Delete a Portfolio
Using the previous example, say you delete portfolio ID 003.
o The portfolio record is deleted.
o The local security, open shares, closed shares, and distribution files
for the portfolio are removed: LSEC003, OPEN003, CLOSE003, and DISTR003.

10.5 Tax Report
The Schedule B and Schedule D-1 Reports for the highlighted portfolio
are available via the Tax Report function key on the Portfolio Table. See
Chapter 14 for descriptions of these reports.
10.6 Portfolio Summary Report
The Portfolio Summary Report, similar in format to the Portfolio
Table, is available via a function key on the Portfolio Table. See Chapter
14 for a description of this report.
10.7 Portfolio Detail Report
The Portfolio Detail Report for the highlighted portfolio, similar in
format to the Local Security Table, is available via a function key on the
Portfolio Table. See Chapter 14 for a description of this report.
10.8 Portfolio Allocation Report
The Portfolio Allocation Report for the highlighted portfolio is
available via a function key on the Portfolio Table. See Chapter 14 for a
description of this report.
10.9 Show Portfolio Values
Capital Gainz can calculate and display the value of your portfolios.
However, if you have large portfolios, or many portfolios, this process
may be slow. Use the Show Portfolio Values function key to toggle turning
the value calculations on and off.
10.10 Portfolio History
The Portfolio History feature allows you to maintain 'snapshots' of
your portfolio status on selected dates. The Portfolio History Table
displays the dates when portfolio snapshots were taken. You can:
o Save History - save the current portfolio status.
o Recall History - retrieve the portfolio status on the highlighted date.
o Delete History - remove the portfolio status on the highlighted date.
The portfolio history feature serves two purposes:
o First, you can save portfolio status at regular intervals, allowing you
to go back and see your status on given dates. Typically, you'd save the
status monthly or yearly. Since the portfolio data consumes significant
disk space, avoid frequent saves.
o Second, you can use the portfolio status as a quick backup tool. Thus,
right before recording a flurry of activity (especially sales) you can
take a snapshot of your portfolio. After the activity is entered, you
can verify that it was entered correctly. If you made any serious

mistakes, simply recall the saved status.
===>>> The portfolio status saved does not include global data files. Only
data files specific to the current portfolio are saved. Thus, this feature
does not replace regular data backups.
===>>> When you recall a particular portfolio snapshot, the current data
for the portfolio is replaced. So, if you just want to look at prior
status then return to the current status, you should first save the
current status of the portfolio. Then recall the status on the desired
date, and, when done, recall the latest status to bring the portfolio up-
to-date.
Saving portfolio histories should not be done indiscriminately. The
data can take up considerable disk space. If you use this feature often,
it's a good idea to periodically delete some of the older histories.
Portfolio history is implemented using DOS directories of the form:
YYMMDD.III
YY is the last two digits of the current year.
MM is the current month.
DD is the current date.
III is the portfolio ID.
Data files are copied to these directories, which are created in the
PORTHIST directory under the main Capital Gainz directory. In most cases,
this will be \CAPGNZ\PORTHIST. When a portfolio is deleted, any portfolio
history files are also deleted.
Because entire data files are affected, portfolio history operations
always require confirmation.
10.10.1 Save Portfolio History
When you choose Save History, the current portfolio's data is saved to
a directory that is created using the current system date and current
portfolio ID. The date is added to the Portfolio History Table.
10.10.1.1 Example - Save Portfolio History
On 12/31/92, you want to save your portfolio 001's status so you can
check on it at the end of the next year.
o Choose Save History on the Portfolio History Table.
o The portfolio history directory, 921231.001, is created, and portfolio
001's data files are copied to it.
o The current date is added to the table, indicating that today's
portfolio data was saved.

10.10.2 Recall Portfolio History
When you choose Recall History, the current portfolio's data is
replaced with the data in the directory for the highlighted date.
===>>> When you recall a particular portfolio snapshot, the current data
for the portfolio is replaced. So, if you just want to look at prior
status, then return to the current status, you should first save the
current status of the portfolio. Then, recall the status on the desired
date, and, when done, recall the latest status to bring the portfolio up-
to-date.
10.10.2.1 Example - Recall Portfolio History
You want to recall the portfolio history for 12/31/92, to see how you
were doing. The current date is 3/31/93.
o Save the current portfolio's status using Save History, so you can
recall it when you're done. The portfolio history directory, 930331.001,
is created, and portfolio 001's data files are copied to it.
o Highlight the date of the portfolio data you want to recall (12/31/92),
and choose Recall History. The data files are copied from the portfolio
history directory to the base Capital Gainz directory.
o Generate reports, which will use the recalled portfolio data.
o When you're done, highlight the current date (03/31/93) on the Portfolio
History Table, and choose Recall History to reset the portfolio data to
the current status.
10.10.3 Remove Portfolio History
When you choose Remove History, the data and directory corresponding
to the highlighted date are removed. You can't remove the current
portfolio data, so the worst mistake you can make is to lose a prior
date's portfolio data.
10.10.3.1 Example - Remove Portfolio History
You want to delete some old portfolio snapshots to free up disk space.
To delete the history from 3/31/93:
o Highlight the date the data was saved (3/31/93) in the Portfolio History
Table.
o Choose Remove History to delete the saved portfolio data. When you
delete the data for a date, the date is removed from the table, and the
directory 930331.001 and all data in it is deleted.
