Microsoft Publisher 1.0a Microsoft Corporation February 11, 1992 README.TXT --------- This file contains information about Microsoft Publisher that was unavailable when the Publisher User's Guide was printed. You can read the README.TXT file on your screen (scroll through it by pressing the Down arrow key), or, if your computer is connected to a printer, choose the Print command to print it. This README file contains important information on the following topics: Section Description ------- ----------------------------- 1 INSTALLATION TIPS If you're having trouble getting Publisher installed, this section contains tips that may help solve the problem. 2 PLOTTER OR PRINTER PROBLEMS Read this section for changes you need to make if you use a plotter, Canon Bubble-Jet BJ-10e or 130e printer, Star Micronics Rainbow printer, Star Micronics 2410 printer, a Hewlett-Packard Paint jet printer, a Texas Instruments 850/855 printer or are Printing to a File with Downloadable Fonts. 3 HOW TO MAKE CHANGES TO THE PUBLISHER INITIALIZATION FILE (MSPUB.INI) The MSPUB.INI is a file that contains Publisher settings. This section explains the format and structure of the MSPUB.INI and how to change the settings. 4 WHAT PUBLISHER FILES DO -- AND WHICH FILES YOU DON'T NEED Shows how the Publisher directories are organized. It also lists and describes the Publisher files and tells whether they're required for using Publisher. 5 PROBLEMS USING WORDART OR NOTE-IT Tells what to do if Publisher won't add WordArt or a note from Note-It (through the NoteIt PageWizard) to your publication. 6 PROBLEMS GETTING GRAYSCALE GRAPHICS TO PRINT PROPERLY ON HP LASERJET PRINTERS Tells you what version of the printer drivers you need to get grayscale graphics to print out as grayscale on HP Laserjet II and HP Laserjet III printers. 7 TIPS FOR PRINTING ENVELOPES This section includes tips for printing envelopes to printers that feed the envelope from the side or in portrait mode. It also provides examples of how to set Publisher to print envelopes to HP Laserjet IIP/IIIP (manual and lower cassette) using the Multi-purpose tray, HP Deskjets, and IBM 4019 printers. Tip: To quickly find the section of this README that you're interested in, use your word processor's Search command to locate the name of the section. ============================================================ 1. INSTALLATION TIPS ============================================================ If you're having trouble getting Publisher installed, this section contains tips that may help solve the problem. Problem: You want to install Publisher in a specific location on your hard disk. Solution: When you run the Setup program, you have the option to choose a Complete installation or a Custom installation. If you choose Custom installation you can specify where on your hard disk you want Publisher installed. Problem: There is not enough space on your computer's hard disk to install Publisher. Solution: If your computer's hard disk is divided into partitions, the Setup Program may be trying to install Publisher on a drive partition that does not have enough available space for Publisher. Rerun the Setup Program and choose Custom Installation. In the Location box, specify that Publisher be installed in a directory on a different drive partition that has at least the amount of space setup says it will need for the entire Publisher program. If there is enough space on the drive where you want Publisher installed, there may not be enough space on the drive that contains Windows. You will need to free at least 4MB of space on the drive that contains Windows for the Setup program to install ALL of the Publisher utility and system files. You'll need less if you don't want to install the text converters or the Picture converters. ============================================================ 2. PLOTTER OR PRINTER PROBLEMS ============================================================ Read this section for changes you need to make if you use a plotter, a Canon Bubble-Jet BJ-10e or 130e printer, Star Micronics Rainbow printer, Star Micronics 2410 printer, an HP PaintJet printer, or a Texas Instruments 850/855 printer. Plotters ----------- If you are using Bitstream Facelift with a plotter, you may receive an Unrecoverable Application Error if you have assigned Bitstream's SHELL driver to the plotter. To work around this problem: 1 After installing Bitstream Facelift, open the Bitstream Facelift control panel. 2 Double-click the Printers icon. 3 Select the name of plotter you are using from the list of printers. 4 Click on the "Unassign SHELL-Driver" option. 5 Choose OK. 6 Close the Bitstream Facelift control panel. Canon Bubble-Jet BJ-10e and BJ 130e printers ---------------------------------------------------------------- Microsoft Publisher may have problems printing to the printer driver for the Canon BJ-10e. All of these issues are related to the Canon BJ-10e and 130e drivers and are not specifically caused by Publisher. Listed below are some problems that have been found using Microsoft Publisher in conjunction with the Canon BJ-10e or -130e. 1 An Unrecoverable Application Error may occur when you attempt to print from Publisher. 2 An Unrecoverable Application Error may occur when you attempt to print if a video driver that supports 256 colors is being used. 3 The paper orientation cannot be changed from inside Publisher. 4 When you choose Print from the File menu, a "DC index" error occurs setting the number of copies in the Print dialog box to several thousand. Solutions ------------ The information provided below helps to alleviate some of the problems printing to the Canon BJ-10e or -130e with Publisher. 1 When the Canon BJ-10e or -130e is installed, the text string CANON BJ-10e or CANON BJ-130e is added to the WIN.INI file in a few places. This text string is incorrect. It should be CANON BUBBLE-JET BJ-10e or CANON BUBBLE-JET BJ-130e respectively. To correct this problem: a From the Program Manager File menu, choose Run. b In the Command Line box, type: WIN.INI and then choose OK. This opens the WIN.INI file in Notepad. c From Notepad's Search menu, choose Find. If you have a Canon BJ-10e, type: CANON BJ-10e. Replace each occurrence of CANON BJ-10e with CANON BUBBLE-JET BJ-10e. If you have a Canon BJ-130e, type: CANON BJ-130e. Replace each occurence of CANON BJ-130e with CANON BUBBLE-JET BJ-130e. d From Notepad's File menu, choose Save. e From Notepad's File menu choose Open. f In the File Name box, type: MSPUB.INI and then choose OK. g If there is not already a [Printing] section in MSPUB.INI, create one. Position the mouse pointer below all the text in the file and type [PRINTING]. h In the [Printing] section, add the following line: USEDEFAULTPRSETUP=1 i From the Notepad File menu, choose Save and then Exit. j From the Program Manager File menu, choose Run. k In the Command Line box, type: CONTROL PANEL and then choose OK. l Double-click the Printers icon. m Double click the Bubble-Jet printer in the Installed Printers list box to make it the default printer (it will be listed in the Default Printer text box when you have completed this successfully). n From the Control Panel's Settings menu, choose Exit. o Restart Windows. 2 The Canon BJ-10e driver has a documented problem printing some graphics when a 256-color video driver is installed. The only solution is to change back to a 16-color driver before printing. If the problem persists while using a third-party driver, it is recommended that you print using the standard VGA driver that comes with Windows. For information on changing your display driver, see Appendix A "Changing Settings" in your Microsoft Windows 3.0 User's Guide. 3 When using a Canon Bubble-Jet printer, you cannot change the paper orientation successfully from within Publisher. The dialog boxes will give the appearance that the settings have changed; however, when the job is printed, it will not print in the proper orientation. To change between portrait and landscape, the Windows Control Panel must be used. See Chapter 5 of the Microsoft Windows User's Guide, or page 103 of the Microsoft Publisher User's Guide, for information on changing the paper orientation using the Windows Control Panel. 4 If the File menu's Print command is used to print a publication from Publisher, an "Invalid DC index: 13" error occurs. This error will not affect printing of the publication and can be ignored. This error can be avoided by using the CTRL+P shortcut key to print. 5 Occasionally, when using the Print command from the File menu, the Print dialog box will appear with copies set to several thousand instead of one. Be sure to check and set the desired number of copies in the Copies box, before choosing OK in the Print dialog. Note: The information in this article is specific to the Canon Bubble-Jet driver shipped with the Windows Supplemental Driver Library (SDL). Using Star Micronics Rainbow or Star Micronics 2410 Printers ------------------------------------------------------------------------------------ You may encounter a "Printer Driver Error" when attempting to print from Publisher to the Star Micronics Rainbow or the Star Micronics 2410 Printers. To work around this problem: 1 Save your publication and Exit Publisher. 2 From the Program Manager File menu, choose Run. 3 In the Command Line box, type: MSPUB.INI and then choose OK. This will open MSPUB.INI in Notepad. 4 If there is not already a [Printing] section in MSPUB.INI, create one. Position the mouse pointer below all the text in the file and type [PRINTING]. 5 In the [Printing] section, add the following line: USEDEFAULTPRSETUP=1 5 From the Notepad File menu, choose Save and then Exit. 6 From the Program Manager File menu, choose Run. 7 In the Command Line box, type: CONTROL PANEL and then choose OK. 8 Double-click the Printers icon. 9 Double click the Star Micronics printer in the Installed Printers list box to make it the default printer (it will be listed in the Default Printer text box when you have completed this successfully). 10 From the Control Panel's Settings menu, choose Exit. 11 Restart Publisher and print your publication. From Publisher you will want to choose CTRL+P to print your publications instead of File Print. Texas Instruments 850/855 printer --------------------------------------------- If you are using Bitstream Facelift with a plotter, you may receive an Unrecoverable Application Error if you have assigned Bitstream's SHELL driver to the Texas Instruments 850/855 printer. To work around this problem: 1 After installing Bitstream Facelift, open the Bitstream Facelift Control Panel. 2 Double-click the Printers icon. 3 Select Texas Instrument 850/855 from the list of printers. 4 Click on the "Unassign SHELL-Driver" option. 5 Choose OK. 6 Close the Bitstream Facelift Control Panel. HP PaintJet printer ------------------- If you are using Windows 3.0 and text isn't printing upside down, the program that Windows uses to talk to the printer (the printer driver) may have a problem. Call Hewlett-Packard for information on ordering another printer driver that might clear up your problem. Printing to a File with Downloadable Fonts ------------------------------------------ If you will be printing your publication to a file and are using downloadable soft fonts, please make sure that you have followed these instructions in order to get the downloadable soft fonts to the print file. Publisher provides a check box in the Print dialog box for Printing to File. When you select this, Publisher looks in the WIN.INI for a section called [Your Printer,FILE] for any special settings it might need (i.e. Softfonts). It does not look at the settings set for the printer connected to your printer port (i.e. [Your Printer,LPT1:]). Therefore, if you did not install your downloadable soft fonts to the FILE port, you will not have those fonts for use in your print file. The procedure below describes how to set up your printer for the FILE port and how to copy your soft fonts between ports. You will need to set up your printer so that it has a FILE port assigned to it. If you will only be using your printer to print to FILE, you can set up the port the printer is going to as FILE rather than an actual port (i.e. LPT1:). To assign a FILE port to your printer, follow these steps: 1) From the Program Manager File menu, choose Run. 2) In the Command Line box, type: CONTROL PANEL This opens the Windows Control Panel group. 3) Double-click on the Printers icon. 4) Choose the Add Printers button. 5) From the List of Printers, choose the printer you want to assign a FILE port to and click the Install button. 6) If you are prompted fora Windows Program Disk, follow the instructions on the screen. --or-- If you receive a message asking you if you want to use the current driver, or a new driver, select current driver. 7) You will now notice an entry in your Installed Printers that says "Your Printer on None, Inactive." Highlight this entry and choose the Configure button. 8) In the Ports box select the FILE: port and choose OK. Your printer entry should now say "Your Printer on FILE, Inactive" 9) Make this printer active by clicking on it and; 10) In the Status box, choose the ACTIVE button and then choose OK. Some printer drivers, such as the HP Laserjet II, III and Deskjet printer drivers allow you to copy soft fonts between ports from within the Control Panel. Follow these instructions for copying soft fonts on these printers: 1) From the Program Manager File menu, choose Run. 2) In the Command Line box, type: CONTROL PANEL This opens the Windows Control Panel group. 3) Double-click on the Printers item. 4) Select "Your Printer on File:, Active" by clicking on it and choose the Configure button. 5) Choose the Setup button. 6) Choose the Fonts button. 7) Choose the Copy Between Ports button. 8) Select the Port that you want to copy the soft fonts from (i.e. LPT1:). You will now be given a list of all soft fonts installed for that printer port in the box to the right. Select the fonts that you want by clicking on them. 9) When you have selected the fonts you want, choose the Copy button. 10) Choose the Exit button. 11) Choose OK to save your settings. You will now get these downloadable soft fonts when you select the Print to File option in Publisher. You can still select "Your Printer on LPT1:" as the printer and Port, but when you select FILE, the correct information will be placed in the print file. If your printer driver does not have a Font Installer, you will need to modify your Win.INI and add the downloadable soft fonts to "Your printer on File." You would typically need to do this with a Postscript Printer. Consult your soft font instructions for installing fonts to see if there are special procedures needed for your printer. 1) From the Program Manager File menu, choose Run. 2) In the Command Line box, type: WIN.INI This opens the WIN.INI file in Notepad. 3) From the Search menu, choose Find. 4) In the Find What box type: YOUR PRINTER, PORT (Example Postscript,LPT1). 5) Look for entries in this section that start with: SOFTFONT. There will be one entry that says SOFTFONTS=##, where ## is the number of Softfonts installed for that driver. 6) Select all entries in this section that contain the word SOFTFONT in them and from the Edit menu, choose Copy. 7) From the Search menu, choose Find. 8) In the Find What box, type: YOUR PRINTER, FILE (Example Postscript,FILE). 9) Move your cursor to the end of the section and from the Edit menu, choose Paste. 10) From the File menu, choose Save and then Exit. 11) Restart Windows You will now get these downloadable soft fonts when you select the Print to File option. You can still select "Your Printer on LPT1:" as the printer and Port, but when you select FILE, the correct information will be placed in the print file. ============================================================ 3. HOW TO CHANGE THE PUBLISHER INITIALIZATION FILE (MSPUB.INI) ============================================================ The MSPUB.INI is a file stored in your Windows directory that contains Publisher settings. This section explains the format and structure of the MSPUB.INI and explains how to change the settings. You shouldn't have any reason to change the file, but if you're an expert, you may want to glance through it and see if there's anything you'd like to modify. CAUTION: Changing settings can cause undesirable results when you run Microsoft Publisher. If you change settings and experience undesirable results you must reinstall Publisher using the original Setup disks. To avoid having to reinstall Publisher, make a backup copy of the MSPUB.INI file before making changes to it. The MSPUB.INI uses this format for settings: [Section name] setting=value Sections are used to separate Publisher settings into groups. The name of the section is enclosed in brackets. An example is [PageWizards]. The brackets ([]) are required, and the left bracket must be in the left-most column on the screen. The setting is a description of what feature in Publisher will be affected by the value to the right. An example would be SnapToRuler=0, which means objects won't snap to the ruler. So, the value on the right side of the equal sign tells Publisher something about how to treat the feature on the left side of the equal sign. The setting can consist of any combination of letters and digits, and must be followed immediately by an equal sign (=). The value can be an integer, a text string, or a text string in quotes, depending on the setting. To include comments or notes about the file (for example, so you can remember what you did), begin each line of comments with a semicolon (;). In this document, settings are listed alphabetically within the sections that contain them. If you want to change a setting, scroll through the MSPUB.INI until you find the section you are looking for. The order of the sections is not important. These are the sections in the MSPUB.INI. Below is also a description of how Publisher uses each section: [Hyphenation] [Last Used File List] [Page Size] [PageWizard] [Printing] [Preferences] [Spelling Info] ------------------------------------------------------------ [Hyphenation] Section ------------------------------------------------------------ Dictionary=(file name) Default: C:\mspub\hyph.dat Purpose: Tells Publisher which hyphenation dictionary to use. To change: Do not change this setting. It is written during setup to point to the appropriate hyphenation dictionary. ------------------------------------------------------------ [Last Used File List] Section ------------------------------------------------------------ File1=(file name) File2=(file name) File3=(file name) File4=(file name) File5=(file name) Default: none Purpose: This section keeps track of the last five Publisher files that you worked with, so you can quickly access them again. The entries are written each time you exit Publisher. To change: There is no need to change this setting in the file. It will change automatically each time you exit Publisher. ------------------------------------------------------------ [Page Size] Section ------------------------------------------------------------ IndexCard=(number,number) Purpose: Defines the size of the index card page. Example: IndexCard=3,5. This example sets the page height to 3 inches and the page width to 5 inches. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. BusinessCard=(number, number) Example: BusinessCard=1.5,2. This example sets the page height to 1.5 inches and the page width to 2 inches. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. ------------------------------------------------------------ [PageWizard] Section ------------------------------------------------------------ (Wizard Name)=(file name),(type list) Purpose: Defines the Publisher Page Wizards that you see in the list of available Page Wizards. To change: There's no reason to change this list unless for some reason you don't want one of the Wizards to show up as an option. For example, if you're not getting any work done because you keep throwing paper airplanes! Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. ------------------------------------------------------------ [Printing] Section ------------------------------------------------------------ UnderlineMode=(0 or 1) Default: 0 or none Purpose: In order to print double underlines on some printers (the Olivetti DM309 and the DM600 are two), you must add this line to the [printing] section of the MSPUB.INI file. You should remove this line from the MSPUB.INI file before printing on a different printer. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. UseDefaultPrSetup=(0 or 1) Default: 0 or none Purpose: The value 1 tells Microsoft Publisher to ignore the values set for the following options in Publisher's Print Setup and Print dialog boxes: Orientation, Paper Size, Paper Source, Print Quality. The defaults for the printer, as set in the Control Panel, are used instead. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. PrintOffset=(number number) for example =3 3 Purpose: Sometimes the program that tells Windows how to print your publication (the printer driver) doesn't place your publication on the page exactly where you want it. If this is true for you, read this section. The PrintOffset setting should be followed by two numbers. These numbers tell Publisher how far up or down, and how far left or right on the paper to print your publication. The values for these numbers are measured in printer "pixels" or dots. Some printers print a lot of pixels per inch (e.g. many laserjets can print 300 pixels to an inch, also called dots per inch) producing a clearer (higher resolution) quality printout for you.. Some printers print fewer pixels per inch (e.g. a dot matrix printer may only have 75 pixels to an inch). You need to find out how many pixels per inch your printer uses in order to adjust this setting. See your printer manual for this information, or try the trial and error method. Example: Let's say your printer prints at 300 dpi (dots per inch or pixels per inch) PrintOffset=300 -150 This example moves the printout down 1" (300 dots per inch, so one inch) and left 1/2" (300 dots per inch, 150/300 is 1/2"). Example: Let's say your printer prints at 75 dpi PrintOffset=-75 75 This example moves the printout up 1" and right 1". To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file: 1 From the Program Manager File menu, choose Run. 2 In the Command Line box, type: MSPUB.INI and then choose OK. This will open MSPUB.INI in Notepad. 3 In the [Printing] section, select the numbers following the PrintOffset setting, and type in the new numbers for your printer. 4 From the Notepad File menu, choose Save and then Exit. 5 Restart Publisher. PrintAlign= (Y-alignment X-alignment) (default 0 0) Purpose: The purpose of the PRINTALIGN field is to align the pages of your publication relative to the sides of the sheet of paper it is being printed on. This switch will be effective ONLY when the Page size of your publication is smaller than the Paper size set for your printer with the Printer Setup command. If Page size and Paper size are the same, the page will be centered on the paper. This switch will be most useful for printing envelopes to printers that do not feed the envelope from the center. (For more information on using this switch to print envelopes, see SECTION 7) The alignments are relative to the paper being printed on (i.e the X alignment is always applied to the horizontal direction and the Y alignment the vertical. Therefore, if you switch your orientation (portrait to landscape, for instance), you may need to change the PrintAlign field. Publisher gets the information from the PRINTALIGN field in your MSPUB.INI file each time you start Publisher, therefore changes made to this setting during a session will not take effect. After adding or modifying this section, exit and restart Publisher to have the new settings take affect. The PRINTALIGN setting should be followed by two numbers. These numbers tell Publisher where to place the page relative to the paper. The following table describes the settings and where the Publisher page will be placed relative to the paper it's printed on: Y Alignment X Alignment ----------- ----------- 0 Center 0 Center 1 Top 1 Left 2 Bottom 2 Right Example: If you want your business card to print in the upper left corner instead of the center: PrintAlign= 1 1 This will place the business card in the upper left corner of the page. Examples for printing envelopes are available in SECTION 7. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file: 1 From the Program Manager File menu, choose Run. 2 In the Command Line box, type: MSPUB.INI and then choose OK. This will open MSPUB.INI in Notepad. 3 In the [Printing] section, select the numbers following the PrintAlign setting, and type in the new numbers for the publication you're printing. 4 From the Notepad File menu, choose Save and then Exit. 5 Restart Publisher. ------------------------------------------------------------ [Preferences] Section ------------------------------------------------------------ TypingReplaceSelection=(0 or 1) Default: 0 or none Purpose: The value 1 tells Publisher to replace any selected text with the text you type. Setting this value to 0 tells Publisher not to replace any selected text, instead the text is inserted at the beginning of the selected text. To change: This is set automatically by Publisher when you use when you use the Settings command on the Options menu. SnapToRuler=(0 or 1) Default: 0 or none Purpose: Turns on and off Snap to Ruler (1=on 0=off). To change: This is set automatically by Publisher when you use the Snap to Ruler command on the Options menu. SnapToGuides=(0 or 1) Default: 0 or none Purpose: Turns on and off Snap to Guides (1=on 0=off). To change: This is set automatically by Publisher when you use the Snap to Guides command on the Options menu. UseCoolCursors=(0 or 1) Default: 1 or none Purpose: Turns on and off Helpful Pointers (1=on 0=off). To change: Publisher sets this for you when you use the Settings command on the Options menu. ShowStatusLine=(0 or 1) Default: 1 or none Purpose: Turns on and off the Status Bar at the bottom of the Publisher window (1=on 0 = off). To change: Publisher sets this for you when you use the Hide/Show Status Line command on the Options menu. ShowIntroductionToPublisher=(0 or 1) Default: 0 or none Purpose: Turns on and off the Introduction to Publisher demo that appears the first time you run Publisher. Setting ShowIntroductionToPublisher=1 will cause the introduction demo to play when you start Publisher. You can also access this demo by selecting Introduction to Publisher from the Help menu. To change: Exit Publisher and use Windows Notepad to open and edit the MSPUB.INI file. ------------------------------------------------------------ [Spelling Info] Section ------------------------------------------------------------ Speller= Spelling, number, number Default: Spelling 1033,0 Purpose: Just something Publisher needs. To change: Do not change. Custom= Custom Dict 1 Default: Custom Dict 1 Purpose: Lets you specify which dictionary you want Publisher to use when you run the spell checker. A custom dictionary let's you add words (such as names and specialized terminology) that are not contained in the standard spelling dictionary To change: Exit Publisher and use Windows Notepad to open the WIN.INI file. Within the WIN.INI file, find the [MS Proofing Tools] section and type a new line that includes: the name of the custom dictionary you want Publisher to use, an equal sign (=), then the path where the custom dictionary is located. For example, Mary's Dict=c:\mary\custom.dic Then, use Notepad to open the MSPUB.INI file. Within the MSPUB.INI, find the [Spelling Info] section and replace "Custom Dict 1 " with the name of your dictionary. For example, change Custom=Custom Dict 1 to Custom=Mary's Dict. ============================================================ 4. WHAT PUBLISHER FILES DO -- AND WHICH FILES YOU DON'T NEED ============================================================ This section lists each file, tells whether they're required for using Publisher and gives a brief description of each one. Publisher File Descriptions ------------------------------------------------------------ Under each directory name is a list of the files stored within the directory. Each file is described as: Necessary (N): Necessary for Publisher to run. Deleting any of these files will result in Publisher not being able to run. Recommended (R): Provides additional functionality for Publisher. Deleting any of these files will render some features of Microsoft Publisher non-functional. Optional (O): Optional files. Deleting any of these files will not cause any adverse effects. This means that it will print a grayscale image as black an white. The Laserjet II driver version 3.4 will attempt to half-tone a graphic. With this driver, grayscale images will print as half-toned images. The Laserjet III version 3.42 is a monochrome driver. This means that it will print a grayscale image as black an white. The Laserjet III driver version 3.61 or later will attempt to half-tone a graphic. With this driver, grayscale images will print as half-toned images. The newer drivers are available from Hewlett-Packard or from Microsoft. They are available on the Supplemental Driver Library which is available from End User Sales and Service at 1-800-426-9400. ==================================================================== 7 TIPS FOR PRINTING ENVELOPES ==================================================================== This section describes how to print envelopes using the Envelope template when your printer does not feed envelopes into the printer as Landscape, Center Feed. If your printer does not feed its envelopes as Landscape, Center Feed, you will find that the Envelope templates provided in the Publisher Template directory will not print in the proper location on your printer. When your Paper Size (as set with the Print Setup command) is greater than your Page Size (as set with Publisher's Page Setup command), Publisher will center the page on the paper. With this centering, Printers that feed envelopes to the right of center will not print the envelope text in the correct location. Publisher provides a special switch that will correct the envelope placement in order to get the envelope templates to print correctly. The switch is called PrintAlign. When you add this switch to your MSPUB.INI file, your envelope will be placed in the proper location on the page. To add the PrintAlign switch to your MSPUB.INI file, perform the following steps: 1 Save your Publication and Exit Publisher. 2 From the Program Manager File menu, choose Run. 3 In the Command Line box, type: MSPUB.INI and then choose OK. This will open MSPUB.INI in Notepad. 4 In the [Printing] section, select the numbers following the PrintAlign setting, and type in the new numbers for the envelopes you're printing. If there is no [Printing] Section, scroll to the bottom of the MSPUB.INI file and type [PRINTING]. 5 On a separate line below the [Printing] section, type this line: PrintAlign=Y value X value Where Y value the vertical positioning of the page and X value is the horizontal positioning of the page. The values are described below: Y Value X Value ----------- ------------ 0 Center 0 Center 1 Top 1 Left 2 Bottom 2 Right 6 From the Notepad File menu, choose Save and then Exit. 7 Restart Publisher. As a general rule you will want to set the values based on how you feed the envelope into the printer. Example: If you feed the envelope into the printer so that the edge that is feeding into the printer is the right side of the envelope; the same side that would appear as the top of a page in Publisher, you would want your Y value to be 1 for the top and your X value to be 2 for right. Below are some specific settings for a small subset of printers that feed envelopes from the side or in portrait. HP IIP/IIIP using the Multi-purpose tray ------------------------------------------------------- If you want to print envelopes on the HP IIP or IIIP from the multi-purpose tray, you would want to have the PrintAlign switch look like this: PrintAlign=1 2 Note: Items placed very near the top of the page may be cut off, if this happens, in Publisher, manually move all the items on the page down until they are not cut off. HP Deskjet/Deskjet +/Deskjet 500/Deskjet 500c ----------------------------------------------------------------- If you want to print envelopes from the Deskjet Printers using these printer drivers: HP Deskjet Family version 3.00 HP Deskjet 500 Scaleable version 1.0 HP Deskjet Series version 2.0 You want your PrintAlign switch to look like this: PrintAlign 1 1 Note: Items placed very near the top of the page may be cut off, it this happens, in Publisher, manually move all the items on the page down until they are not cut off when you print them.
