- Getting Started
-
-
- Family Records Utilities (sometimes referred to as FRU) is a
- program that provides additional features for users of Personal
- Ancestral File . It works with the information you type using
- the Family Records program. You can use Family Records Utilities
- to print additional reports, make changes to the names and places
- throughout your database and convert your database to other
- formats for use by other programs.
-
- This program (Family Records Utilities) is provided as is and
- without warranty of any kind. However, if you encounter problems
- or have suggestions for improvements you may write to:
-
- Steven M. Cannon
- 1065 West 10210 South
- South Jordan, Utah 84065
- Telephone: (801) 254-0160
-
- You may order Personal Ancestral File for $35.00 from:
-
- Distribution Center
- 1999 West 1700 South
- Salt Lake City, Utah 84104
- Telephone: (800) 537-5950
-
- This manual is divided into sections that correspond to the
- options you can choose on the menus in the Family Records Utili-
- ties program.
-
-
- System Requirements
-
- The Family Records Utilities program runs on MS-DOS or IBM
- compatible computers with at least 256K memory and DOS 2.0 or
- later.
-
-
- Configuring Family Records Utilities
-
- Before using Family Records Utilities you must configure it with
- the UCONFIG program that is included. UCONFIG works just like
- the CONFIG program in Personal Ancestral File.
-
- When UCONFIG asks the question "Do you want to update the FU
- Utilities program?" answer Y.

- Print Reports
-
-
- Select Printing Option
-
- This selection works the same as it does in the Family Records
- program. It allows you to specify whether print output is to go
- directly to the printer (which is the default), to a disk file,
- or to the screen. It also lets you set the starting and ending
- page numbers that you want to be printed.
-
- If you choose output to go to a disk file, you must type the name
- of the file you want to use. Thereafter, all printed reports
- will go to that file until you change the destination back to the
- printer, to another file name, to the screen, or until you exit
- the program.
-
- If you designate the screen as the output destination, some
- reports may not look correct because the screen can only display
- 80 characters per line whereas some reports require more than 80
- characters per line.
-
- Be setting the starting and ending page numbers you can reprint
- portions of reports that may have been jammed in the printer or
- that have been updated because of additional information you
- added to your Family Records database.
-
-
- Anniversary List
-
- This selection allows you to print a report of all events that
- occurred on any given anniversary date. You will be asked to
- type the date you want to use. If you type a complete date (ie.
- 2 Oct 1955) all events that happened on that date and in that
- year will be printed. If you type a partial date (ie. 2 Oct) all
- events that happened on that date in any year will be printed.
-
-
- Birthday List
-
- This selection allows you to print a birthday list of descendants
- of anyone in your database. The list is printed in birthday
- order.
-
-
- Unconnected Individuals
-
- This selection allows you to print a report of all individuals
- who have no spouse or parents recorded in the database.
-
-
-
-
- Print Reports 2-1
-
-
-
-
- Index of All Data
-
- This selection prints a list of all the individual and marriage
- records in your Family Records database. RINs and MRINs are
- printed to allow you to cross-reference the records and construct
- families. This report provides a concise way to print nearly all
- of the data in your database.
-
- This report requires tiny print.
-
-
- Family Group Record
-
- This selection prints a family group record. Tiny print is used
- so that six children are printed on the first page rather than
- four as in the Family Records program.
-
-
- Ahnentafel Chart
-
- The ahnentafel chart is similar to that printed by the Family
- Records program except that it also prints places as well as
- dates for the birth and death of the individuals. For males, the
- marriage date and place is also printed.
-
-
- Notes
-
- Notes for Family
-
- This selection prints the notes for a family the same as they
- would be printed in a family group record.
-
-
- Notes for All Individuals
-
- This selection prints notes for all individuals in your files.
- You can choose to print all notes, family group record notes
- only, or tagged notes.
-
-
- Lists Using Tagged Notes
-
- This selection prints lists by extracting information from
- individual notes that begin with certain tags. The tags may
- optionally be preceded by the Family Group note print character
- (!). Each of the lists is described below.
-
-
- Address List
-
- This report prints all notes that begin with the tag ADDRESS.
- For example, if an individual named Joseph Johnson had a note
- that looked like this:
-
-
-
-
-
- 2-2 Print Reports
-
-
-
-
- !ADDRESS 1459 Apple Court Lane
- Apt. #3C
- Tacoma, Washington
-
- the following would be printed on the Address List:
-
- Joseph JOHNSON
- 1459 Apple Court Lane
- Apt. #3C
- Tacoma, Washington
-
-
- Telephone List
-
- This report prints all notes that begin with the tag TELEPHONE.
- For example, if an individual named Joseph Johnson had a note
- that looked like this:
-
- TELEPHONE (801) 240-2584
-
- the following would be printed on the Telephone List:
-
- Joseph JOHNSON (801) 240-2584
-
-
- Occupation List
-
- This report prints all notes that begin with the tag OCCUPATION.
- For example, if an individual named Joseph Johnson had a note
- that looked like this:
-
- !OCCUPATION farmer and miner
-
- the following would be printed on the Occupation List:
-
- Joseph JOHNSON farmer and miner
-
-
- Source List
-
- This report prints all notes that begin with the tag SOURCE. For
- example, if an individual named Joseph Johnson had a note that
- looked like this:
-
- !SOURCE 1988 Edition IGI
-
- the following would be printed on the Source List:
-
- Joseph JOHNSON
- 1988 Edition IGI
-
-
- Notes List
-
- This report prints all notes that begin with the tag NOTE. For
- example, if an individual named Joseph Johnson had a note that
- looked like this:
-
-
- Print Reports 2-3
-
-
-
-
- NOTE never married
-
- the following would be printed on the Notes List:
-
- Joseph JOHNSON
- never married
-
-
- User-Selected Tag
-
- This report prints all notes that begin with the tag you select.
- For example, if an individual named Joseph Johnson has a note
- that looks like this:
-
- RELIGION LDS
-
- and you choose to print all religion tags, the following will be
- printed on the Notes List:
-
- Joseph JOHNSON

- Change Name or Place
-
-
- This selection allows you to change all occurrences of any name
- or place piece to a different name or place. You must type the
- old name and the new name it is to be replaced with. If you
- want, you can also have the program stop on each record that is
- to be changed to confirm whether or not you want to make the
- changes in that record.

-
- Change Names to Upper and Lower Case
-
-
- This selection allows you to change the names and places in your
- database to upper and lower case. The program goes through the
- name file and changes the first letter of each name to a capital
- and all remaining letters to lowercase.
-
- This will have some interesting effects on abbreviations and some
- names. For example:
-
-
- How It How It Should
- Appears Be
-
- Slc SLC
- Usa USA
-
- Ca CA
-
- Mcintyre McIntyre
- Desilva deSilva
-
-
- You can "fix" incorrect names and abbreviations by typing them in
- any name or place field the way you want them to be. For exam-
- ple, you can go to the Change Name or Place screen and type the
- names correctly and when done press F2 to quit.

-
-
- Clear ID Numbers
-
- This selection allows you to clear the contents of the ID Number
- field from records of individuals. You can choose to clear the
- ID Numbers from all records or from just an individual and his
- ancestors.
-
-
- Remove "Submitted"
-
- This selection allows you to remove the word "Submitted" from LDS
- ordinance date fields. You can remove it from all individual
- records, all marriage records, or both.
-
-
- Clear LDS Fields
-
- This selection allows you to clear the contents of the LDS
- ordinance data and temple code fields. You can choose to clear
- the LDS fields in individual records or marriage records, or
- both. In individual records, Baptism, Endowment and Seal to
- Parents fields are cleared. In marriage records, Seal to Spouse
- fields are cleared.

- Convert Family Records Data to ASCII
-
-
- This selection converts you Family Records data into a standard
- ASCII data format that can be loaded by database management
- programs such as dBASE III. The Family Records data is decom-
- pressed from its usual data storage format to readable and
- uniformly marked data fields.
-
- This selection was formerly available in a program called Family
- Records to ASCII or FRASC.
-
- There are two possible formats for the converted data:
-
- ∙ Delimited. In this format each converted field is started
- and ended with a quote mark ("), and fields are separated by
- commas. This is the default format.
-
- ∙ Fixed Length. In this format each converted field is placed
- in a fixed length field, thus forming columns of data.
- Fields are left-justified except for RINs and MRINs which
- are right-justified.
-
- In both formats each record is terminated by a carriage-return,
- line-feed pair.
-
- Four files can be produced:
-
- ∙ FR.IND which contains information on individuals,
-
- ∙ FR.MAR which contains information on marriages,
-
- ∙ FR.NOT which contains notes from the note file,
-
- ∙ FR.EVT which contains event records extracted from both the
- individual and marriage files.
-
- The fields in each of the files is detailed below, showing also
- the maximum length of each (in parentheses). In the "fixed
- length" format conversion, these lengths are the lengths of the
- fixed fields.
-
- FR.IND (Individuals)

- To demonstrate the use of the files created by FRASC, a brief
- example using dBASE III will be shown. First, you would convert
- your Family Records data to ASCII.
-
- 6-2 Convert Family Records Data to ASCII
-
-
-
-
- Next, you would get into dBASE and create a new file in dBASE as
- follows:
-
- CREATE INDIV
-
- You would define the structure of this database using the fields
- as shown above under FR.IND. You would then give the following
- command to load the Family Records data into your dBASE database:
-
- APPEND FROM FR.IND DELIMITED

- Database Statistics
-
-
- This selection shows some demographic statistics about the people
- in your Family Records database.
-
- When computing average age at marriage, only individuals for whom
- enough information is present are considered. This means that
- there must be both a birth/christening year and a marriage year.
- In addition, unreasonable marriage ages are not included in the
- calculation (less than 9 or greater than 99 years old).
-
- When computing average life spans, only individuals for whom
- enough information is present are considered. This means that
- there must be both a birth/christening year and a death/burial
- year. In addition, unreasonable life spans are not included in
- the calculation (less than 0 or greater than 130 years old).
-
- When computing the average number of children in a family, only
- those families who have children are considered.
