- ■ INTRODUCTION
-
- DAYO EOP (End of Period Pack & Inventory) contains routines that are
- normally run at the end of a reporting period (ie: Month). DAYO EOP allows
- you to permanently remove deleted records from the Accounts Receivable (AR),
- and Accounts Payable (AP) databases, and to erase old report text files.
- There is also a routine for performing a Physical Inventory. Many reports are
- included (ie: AR Ageing, AP Summary, Inventory Movement). DAYO EOP is by
- default a multiuser system, however the AR, AP, and Report Cleanup processes
- must have exclusive access to the DAYO databases and files.

- To setup DAYO EOP, copy the contents of the DAYO EOP floppy disk into a
- directory on your hard disk (ie: \DAYOEOP). If this is the Shareware Version,
- you need to UnZip/UnArc the files here. When running DAYO EOP for the first
- time, it will create all the database, index, and configuration files it
- requires for operation. If you are using other DAYO modules, be sure to enter
- the location of these databases into the DAYO EOP configuration. Type and
- enter 'DAYOE' at the DOS prompt to run the program (ie: C:\DAYOE ).

- *** Your CONFIG.SYS file must have the buffers set to a minimun of 10, and
- your files must have a minimun setting of 55! Failure to edit the CONFIG.SYS
- file is the #1 cause for DAYO installation problems! A CONFIG.SYS file is
- created if there is a problem detected, in the directory that this DAYO
- module is being run in. You may copy this file into your root/boot drive.
- Refer to your DOS manual for more information on the CONFIG.SYS file!

- The process of physically counting your inventory (actually seeing
- it...), is called your Physical Inventory. What DAYO Inventory 'says' you
- have (onscreen or report), is called your Perpetual Inventory. DAYO EOP
- provides you this Physical Inventory routine to identify and reconcile your
- '2' inventories. DAYO Physical Inventory allows you to data entry ITEM
- counts, edit them, print variance reports, and subsequently post the Physical
- Inventory counts to the Perpetual Inventory (INV.DBF & WAREHOUS.DBF).

- If this is the initial entry into Physical Inventory, or you are about
- to start an inventory, you need to INITIALIZE the Physical Inventory
- database. Initialization means the removal of all records (ZAPPING) from the
- database PHYINV.DBF.

- Be very careful with this option; you do not want to ZAP all your counts
- DURING an inventory!

- After initializing the Physical Inventory, you can start the data entry.
- You must first select the warehouse or location you are 'counting'. You will
- be presented with a selection of your main inventory (the ONHAND field in the
- database INV.DBF), and all the other warehouses (the LOCxxx fields found in
- the database WAREHOUS.DBF).

- ║This routine provides a data entry screen for the input of inventory counts.║
- ║Physical Inventory counts must be grouped by the warehouse. The primary ║

- editor/word processor. This process can also create a problem; lack of disk
- space! DAYO Cleanup is the module you can use periodically to 'cleanup'

- - If you are on a multiuser network, you must 'flag' (change file attributes)
- of all files to make them sharable, readable and writable. Note that the
- command/program 'flag' may be called by a different name on your network.

- - Backups of your data and configuration files should take place daily! You
- have no doubt heard many 'scare' stories about losing data. They are all
- true! The key files that need to be backed up all have the extension of
- .DBF, .DBT, and .CFG. The .DBF files are your databases. The .DBT files
- are notes/memos. The .CFG file(s) contain your configuration information
- (as seen in the Configuration module).

- - If you are on a network, it is NOT recommended that you use dBase III+ with
- the databases. It may write an end of file marker not always recognized by
- DAYO. Appending additional records to the database after this point often
- leads/creates a 'bad record' in the database.
-
- - If you must use dBase (tm) with DAYO EOP, and you are on a PC based
- network/LAN, be sure to SET EXCLUSIVE OFF before you open ANY databases.
- This will allow the opened databases to be shared, and more importantly,
- prevent a user (or all users!) from 'crashing'!

- - If the SIMPLE EDITOR tends to 'hang' your CPU, even on small files, then
- do not use it... Hope to fix this 'feature' with the next upgrade...
