You can use the word search facility on your machine to quickly locate items from the above list of Help contents.
PictureBase - An Overview
PictureBase presents Modules of teaching and learning materials in a series of interconnecting, interactive windows. A Module consists of a number (20 to 50) of graphics or photographic images which relate to a particular Subject. The focus of each PictureBase Screen is a Picture which has a Picture Title and is linked to a Description text and Key Words. Sound accompanies the Pictures and Descriptions in some Modules.
The program makes a note of each Module installed on your computer. You can search information contained in one or all Modules quickly in a variety of ways. You can also customise PictureBase to suit your own needs. On screen you can enter text onto a User Notepad. User Key Words can be added. You can also construct Picture Trails, sequences of Pictures you choose and arrange yourself. All work done can be protected by a Security facility. Pictures can be Saved as sprites to a disc or a paint program. Text can be Saved to disc or a text editor. You can also Print out Pictures and text to a quality that is limited only by your equipment.
In a nutshell, PictureBase is a very flexible resource. It provides interactive materials useful to almost every part of the curriculum.
INTRODUCTION
1.1 System requirements
RISC OS
This version of PictureBase will run on any Acorn Risc Os machine (Risc Os 3 or over).
RAM
2MB of RAM, recommended for modules without sound. 4MB of RAM recommended for modules containing sound.
HARD DISC
If the Modules are supplied on floppy discs, you will need 5-10MB of free
hard disc space per Module, plus 2MB of free hard disc space for the program.If supplied on CD you will need 2MB of free hard disc space for the program.
MONITOR
PictureBase is recommended to be run in mode 28 (640x480 resolution x 256colours), although it will function in any 256 colour screen mode.
CD
You will need a double speed CD Drive. If your CD drive is single speed,
then you will need to alter the !Run file. Drag !PicBase.!Run into !Edit.
Details on how to use the program with a single speed CD drive are
contained in the !Run file itself.
CDFS
You may need to change the configuration of the CDFS buffers.
It is recommended to set these to 128k.
To do this select the middle mouse button with the pointer positioned over
the CD icon on the iconbar. Move the mouse to the right of 'Configure' to
display the configure sub-menu. Move the pointer to the right of 'Buffers'
to display the buffers sub-menu. Select 128k with the left mouse button.
Quit any programs which are loaded on the iconbar.
Reset the machine.
The CDFS buffers are now set to 128k.
1.2 PictureBase installation
Important: Although you can install several PictureBase Modules on your hard disk, you must carry out the install procedure for each Module individually. Installing of separate Modules is not required when they are supplied on CD. The modules on the CD are all installed together in one operation. It is possible to run PictureBase using a mixture of Modules installed from floppy disc and from CD.
To install a PictureBase Module follow the instructions as below.
Registration
. First you must register the Program Disk. Making sure the write-protect
is off (i.e. the tab covers the hole), insert the Program Disk
into the floppy disc drive :0.
. Click on the floppy disc drive icon on the icon bar.
. In the filer window which appears, double click on the !Register
icon.
. You are first asked to enter the code number for your PictureBase
Module. This is written on an insert found in the PictureBase Module
box. Type it in and press Enter.
. You are next required to enter the name of your school, college,
institution or firm. Type this in and press Enter.
. You are asked to confirm that the details you have typed in are
correct. If you wish to retype the details, type n, and you are
taken back to the start of the registration procedure. If you are
sure of the details you have entered, type y.
Installing the PictureBase program
. Click on the floppy disc drive icon to open the PictureBase filer
window.
. You now need to create or choose the directory on your hard drive
where you will install PictureBase. Click once on the hard disc
drive icon on the icon bar.
. Either create and open a new directory (see the Risc Os User Guide
for details), or, if a PictureBase directory already exists on the
hard drive, simply open this directory. As an example, you could
name your PictureBase directory "PBase".
. Drag the PictureBase icon !PicBase from the PictureBase filer
window to the chosen directory and release it there.
. Close down the PictureBase filer window and the hard drive filer
window.
Starting the PictureBase program
. Double click on the PictureBase icon when it has appeared in the
directory filer. The "About PictureBase" window will appear on
screen, and the PictureBase icon is now on the icon bar.
. Click on OK.
. The icon bar is behind the PictureBase Introduction Screen.
(To view the icon bar, press Shift/F12. You can also move the
PictureBase window by clicking on and then dragging the title
bar.)
Installing PictureBase Modules
a) Installing PictureBase Modules supplied on floppy discs
. Click the middle mouse button on the PictureBase icon. The
PictureBase icon bar menu will appear.
. Click on 'Install floppies' if the Module you are installing is
supplied to you on floppy discs. The PictureBase Installation
window appears on screen.
. Insert the first Module disc (Disc 1) into the floppy drive, and
click on the floppy drive icon. A filer window will open.
. Drag the PictureBase Module icon (The PictureBase icon surrounded
with a light brown coloured box) from this filer window,
releasing it on the Installation window.
. Close the filer window for Module disc 1.
. Click on the hard drive icon on the icon bar.
. Open up the directory where you have begun installing PictureBase
(see above).
. Inside this directory, create a subdirectory where you can store
the Module data. As an example, you could call this subdirectory
"Modules".
. Drag the icon of this subdirectory on to the Installation Window.
. Close both the PictureBase and hard disc filer windows.
. You now need to state how you want to store the Modules on your
hard disc. The default is "Speed". When available space on your
hard disc is restricted, select "Compress".
. There is a Close button if you wish to cancel the installation at
this stage. If you are happy with the installation criteria, click
on Install.
On-screen messages inform you how the installation of each Module
disc is progressing, and tell you when you need to insert another
Module disc. You will be informed when the Module installation is
complete.
. To install another Module, repeat the above procedure. Every time
a further Module is installed, the PictureBase database will be
updated.
b) Installing PictureBase Modules supplied on CD
. Click the middle mouse button on the PictureBase icon. The
PictureBase icon bar menu will appear.
. Click on 'Install CD' if the Modules you are installing are
supplied to you on a CD. The PictureBase Installation window
appears on screen.
. Insert the PictureBase Program Disk into the floppy drive, and
click on the floppy drive icon. A filer window will open.
. Drag the PictureBase Module icon (The PictureBase icon surrounded
with a light brown coloured box) from this filer window,
releasing it on the Installation window.
. Close the filer window for the PictureBase Program Disk.
. Insert the CD into the CD ROM drive, and click on the CD icon. A
filer window will open.
. Drag the 'ACORN' directory icon from this filer window, releasing
it on the Installation window.
. Close the CD filer windows.
. There is a Close button if you wish to cancel the installation at
this stage. If you are happy with the installation criteria, click
on Install. You will be informed when the Module installation is
complete.
. Click on OK.
. To install another Module, repeat the above procedure. Every time
a further Module is installed, the PictureBase database will be
updated.
1.3 To run PictureBase
To run PictureBase you simply double click the left mouse button on
the PictureBase icon to load the program. You will be taken to the
PictureBase Introduction Screen.
1.4 PictureBase components
A Module This is a group of some 20 to 50 Pictures related
to a named Subject. Each Module has a different
reference (COM) number and is purchased
separately. Details of available Modules can be
obtained from the latest AVP catalogues. The
program keeps a record of all the Modules that are
installed on your computer. PictureBase has a
Portfolio facility which enables you to see a
collection of all the Pictures in a Module at a
glance (see Portfolio below).
The PictureBase Screen
This is the basic feature of the program. The
Screen is divided up into the following fields,
each of which is described below:
the Subject field
the Picture field
the Picture Title field
the Description field
the User Notepad field
the Key Words field
the User Key Words field
Subject The Subject is the name of the Module. Some
Subjects are relevant to particular disciplines
but many have cross-curricular appeal. The Subject
name is shown in a box at the top left of a
PictureBase Screen. The Subject name cannot be
changed.
Picture This term refers to the graphics or photographic
image which is the focal point of a PictureBase
Screen. There are usually between 20 and 50
Pictures in a PictureBase Module. The number of
Pictures that can be accessed depends only on the
number of Modules you have installed and the
memory constraints of your computer system. The
Picture is located on the centre right of a
PictureBase Screen. Pictures may be landscape or
portrait. You can Print out any Picture or Save it
as a sprite to disc or paint package.
You can, if you wish, look at any PictureBase
Picture enlarged to full screen size and without
accompanying text. To do this, simply double click
the left mouse button with the pointer positioned
over the Picture on the standard PictureBase
Screen. Although the screen buttons will not be
available you will still be able to access all
PictureBase functions using the PictureBase menu
and keyboard shortcuts. To return to the standard
PictureBase display mode double click on the full
screen Picture.
Picture Title This term refers to the title of an individual
Picture. The Picture Title is found in a box at
the top right of a PictureBase Screen. Picture
Titles cannot be changed.
Description The Description is a panel of text which draws
attention to, or elaborates on, information in the
Picture. The text has been written by experts.
In some Modules the Description will relate to
Pictures and Sound that form a Narrative Sequence.
In this case the text in the Description panel
will begin and/or end with a row of five dots. You
can move to the first Picture of a Narrative
Sequence by using the button on the
PictureBase screen. The first Picture in a
Narrative Sequence will have a row of dots at the
end of the Description but not at the beginning.
The Description panel is found on the centre left
of a PictureBase Screen. You can Print out the
text or Save it to a disc or text editor. The
Description text cannot be changed. If the
Description is long, you can scroll by clicking
just below the bottom edge of the Description box
and just above its top edge to see the complete
text. One click moves up or down one line.
If you wish, you can mask the text in the
Description panel and prevent it from being seen
on screen. To do this you need to switch Security
Off, select Description On/Off from the Edit
options on the menu bar, and change Security back
to on. There is on screen information to tell you
how to return the dDescription panel to its normal
state. This facility is useful in language work
when you want a student to listen only to spoken
words.
User Notepad The User Notepad is part of the Picturebase Screen
that is reserved for the user's personal input. It
is found bottom right beneath the Picture. You can
enter text on the User Notepad and change it if
you wish at a later date. All text on the User
Notepad can be Saved to disc or a text editor and
be Printed out as required. There is a Security
facility for protecting text on the User Notepad.
You will not be allowed to type on the User
Notepad when PictureBase protection is on. If the
text entered on the User Notepad is long, you can
scroll by clicking just below or just above the
edge of the User Notepad box. Each click moves up
or down one line.
Key Words There is a string of Key Words linked to each
Picture. These can be very useful when you make a
search of the database looking for Pictures
related to particular topics. Key Words can be
seen in a box which becomes visible on the bottom
left of a PictureBase Screen when you click on the
button showing the Key Words icon. (This button toggles
between Key Words hidden, Key Words visible and
User Key Words.) Key Words cannot be changed.
Note: Key Words must be distinguished from User
Key Words.
User Key Words To enter additional keywords you need to make
entries in the User Key Words field. The User Key
Words field is a box which becomes visible on the
bottom left of a PictureBase Screen when you
click on the button showing the Key Words icon. (This
button is a toggle between Key Words hidden, Key
Words visible and User Key Words.) Once entered,
User Key Words can be edited and deleted. You can
search User Key Words, Print them out, or Save
them to a disc or a text editor. They are
extremely useful when you wish to tailor the data
to your own specific needs. For example, you might
want to insert your own User Key Word to "tag"
Pictures from several Modules. User Key Words
should be seen as a flexible extension to the Key
Words facility.
Portfolio This allows the user to see the contents of a
Module at a glance. It is a display of the
Pictures (in miniature form) belonging to the
Module. To see the title of any Picture click the
middle mouse button with the pointer positioned
over the image. The number of images that can be
seen at once on screen depends on the screen mode
you are using. You can access the Portfolio for
the current Module by clicking on the Screen
button showing the Portfolio icon.
Where there is a large number of Pictures in a
Module you can use the scroll bar on the Portfolio
screen to see the remaining images. By clicking
the left mouse button on any image in the
Portfolio you can go directly to the full
PictureBase Screen for that Picture.
Find Search This simple search facility enables you to find
quickly any occurrences in your installed Modules
of a chosen word or phrase. You can start a Find
search by clicking on the PictureBase Screen
button showing the Search icon.
Filter Search This facility enables you to make a complex
(Boolean) search of all Modules installed. A set
of Pictures matching your search criteria is
produced for viewing. To begin a Filter search you
need to click on the PictureBase Screen button
showing the Filter icon.
Picture Trail This feature allows you to select Pictures from
any of your installed PictureBase Modules and
group them into a "Trail". This means you are able
to view your own choice of Pictures, perhaps ones
relating to a specific theme, in the order that
you wish. You give each new Trail a name so that
it is easily identifiable, and it is automatically
stored in memory for later use. Picture Trails can
be browsed, edited or deleted. They can also be
protected by PictureBase Security.
Characters This is a special facility enabling you to type
special or accented characters as part of any text
entered.
Security This feature is designed to protect work you have
done when customising PictureBase to your own
needs. Security can be used to prevent
unauthorised changes to entries on the User
Notepad and the User Key Words field. It is also
for protecting Picture Trails. Security runs on a
single password, which can be changed if
necessary.
Sound This facility is not available on all PictureBase
Modules. Where Sound is available, you can access
the Sound facility by clicking on the button
showing the Sound icon.
1.5 PictureBase commands
1.51 The PictureBase menu
The PictureBase menu appears when you click the middle mouse
button anywhere on the PictureBase Screen. By clicking on one of
the options on this menu you are able to access commands for
running PictureBase. The commands on the menu are:

explained in detail in section 3 of this manual.
Click the left mouse button once with the pointer anywhere on the
screen to close the PictureBase menu window.
1.52 The PictureBase icon bar menu
The PictureBase icon bar menu appears when you click the middle
mouse button on the PictureBase icon on the icon bar at the
bottom of the PictureBase Screen. You can bring the icon bar in
front of the PictureBase Screen or move it behind by toggling
Shift/F12.
The commands on the icon bar menu are:

1.53 Command Buttons
These appear on the standard PictureBase screen and are used for
a variety of procedures. There are times when certain buttons
cannot be selected, in which case they are greyed out. The
command buttons are:

Sound Note: The Sound button will be visible only when
a Picture has accompanying Sound files.

2.1 Finding the Picture you want
PictureBase allows you to search through a large database of
material in a variety of ways:
2.11 How to locate the first Picture in a Module
. Click the middle mouse button on the PictureBase Screen.
. Select Contents on the PictureBase menu
A selection box will appear containing a list of the
PictureBase Modules which are installed on your computer.
. Select the title of your choice then click the left mouse
button on View first Picture in Module. The first Picture
belonging to the chosen Module will appear on screen.
Note: You cannot view a Module where there is a Filter attached.
If this happens a message will appear on screen. You will need
to operate the Remove Filter procedure before continuing (see
section 2.14).
2.12 How to locate a Picture using Contents
. Click the middle mouse button anywhere on the PictureBase
screen.
. Select Contents.
. Select the Module of your choice.
. Select the Picture of your choice from those listed in the
Picture Title list box.
You will be taken directly to that Picture.
Note: If the Picture appears full screen and you want to see the
accompanying text, click the left mouse button anywhere on the
Picture. The program will return to the normal PictureBase
display mode.
2.13 Using Find
How to make a simple search using Find
. Click on the button showing the Search icon. This activates the
Search Text window.
. Click the left mouse button on the Select Field menu button.
. Select the field(s) you want to be searched.
The choice is:
All Fields
Picture Title
Subject
Description
Key Words
User Notepad
User Key Words
. A cursor will appear in the Find What dialogue box. Type the
word (or words) you want to search for.
You may want to add accented characters or special characters as
part of the search criteria. In the Find What box, place the
cursor at the position you want the special character to go.
Select the Characters button and the Foreign Characters window
appears. Click on the required character, and it will appear at
the correct place in the Find What dialogue box.
. Click the left mouse button on the Find Where menu button and
select the option of your choice.
There are three different Where options in the Search Text
window.
Any Part of Field is likely to be useful for the majority of
searches using Find. If the word string appears anywhere at all
in the text field(s) being searched, it will be found. For
example, a search for the word "water" will bring up occurrences
of the words "water", "waterworks", "underwater" etc.
Whole Field allows you to search for a field whose entire
contents are known to you, eg. for a Picture Title or a Subject
that you know exists in your database. Unless you accurately
type in the entire Picture Title or Subject, no matches will be
found. This is a very quick method of searching as long as text
is typed in carefully.
Start of Field is useful when you know the first word or words in
the text field for which you are searching. For example, if you
can remember the first word or words of a Description or Picture
Title, type these in accurately and select Start of Field. The
matching text field will be found very quickly; the search is
much quicker than an Any Part of Field search. However, be sure
to type the words carefully or no matches will be found.
Any Part of the Field is the default. It appears when the program
is run for the first time. However, the program remembers which
of the three options was the last to be selected, so you need to
check which one is current each time you make a search.
. When you are happy with the criteria you have set on the Search
Text panel, select Find First. You are taken to the first
Picture of your installed Modules which matches the search
data. If there are no matches to be found, you are informed by
a message box stating "No Matches Found".
. If you wish to Find other Pictures matching your criteria,
click on the Search icon, and select Find Next to continue
searching through your Modules. When there are no more matches
to be found, you are informed "No Matches Found".
Notes: i) Do not use the Next or Previous buttons on the
PictureBase Screen, or the Next or Previous command in
the Browse submenu on the PictureBase menu, when
wishing to continue a Find search. These facilities
will only take you to the next or previous Picture in
the Module.
ii)A Find search can be set up while a Filter search is
already in operation (see section 2.14). However, under
these circumstances, Find will only search the set of
Filtered Pictures. If wishing to search entire Modules,
first ensure that the Filter is removed.
The speed of any search will depend on the amount of data in the
chosen search field(s). Searches of fields containing a small
amount of data will be fast. A search of fields containing a lot
of data or a search of All Fields will be comparatively slower.
Also, if you have several PictureBase Modules installed on your
computer system it will take longer to search through the data.

2.14 Using Filters
How to make a complex search using Filters
. Click on the button showing the Filter icon. (Alternatively you
can select Attach Filter from the Browse submenu on the
PictureBase menu.)
You are now able to choose the logic for the search and select
the field(s) in which to look for desired text.
. Click the left mouse button on the Select Field menu button
then select the field you wish to search by clicking on the
correct field name.
. Text for the search can be entered by clicking in the relevant
Find What dialogue box. A cursor will appear ready for the text
to be typed in.
. Choose the logic for the search by clicking in the appropriate
"or" or "and" option.
Up to six entries of text from one to six different fields can be
searched in different combinations.
The Characters button allows you to add accented characters or
special characters as part of the search criteria. In the text
box, place the cursor at the position you want the special
character to go. Select the Characters button and the Foreign
Characters window appears. Next select the required character,
and it will be inserted at the correct place in the text box.
. When your search criteria are established, select the Attach
button.
The program attaches a Filter, the search is begun, and a Filter
Set created. You will get a message informing you of the number
of Pictures in your Filter set. (If there are no Pictures which
match your search criteria, a message appears on screen to inform
you. Click on OK, and you are taken to the PictureBase
Introduction Screen.) Click on OK, and you are taken to the first
Picture in the set. Pictures in a Filter set appear with their
Subject and Picture Title in red.
When a Filter is operating, you can only see Pictures that are
part of the Filter set. You can browse these Pictures either by
clicking on "Next" or "Previous" in the Browse submenu on the
PictureBase menu, or by using the or buttons.
The Attach Picture Filter window has two other important buttons:
Cancel This allows you to abort the Filter search you
have just begun. You will be taken to the
PictureBase Introduction Screen.
Reset Filter This allows you to reset the criteria for a Filter
search. The previously set criteria will be
cleared for new entries to be made.
How to remove a Filter
When you want to exit from a Filtered set of Pictures (Picture
Titles in red):
. Click the mouse on the PictureBase Screen button showing the
Filter icon. You will be taken to the PictureBase Introduction
screen.

Included in Appendix II of this manual is an example of a Filter
search.
2.15 How to select and view a Picture Trail
A Picture Trail is a sequence of Pictures, taken from any Modules
installed, that are chosen and arranged by the user. They can be
extremely valuable for teaching purposes or for a student's
personal use. For details on how to construct a Picture Trail,
see section 2.23. Each Trail is given a name and is stored in the
program until deleted.
To select a Picture Trail that has already been created:
. Click the middle mouse button anywhere on the PictureBase
Screen to see the PictureBase menu.
. From the Picture Trail submenu, choose Select or Create a
Picture Trail. The Select a Picture Trail window will appear on
screen.
. Click on the menu button to the right of Current Trail. A list
box containing the names of available trails will appear on
screen. If no Trails have been created this button is
non-selectable.
. Select the Trail you are wishing to see by clicking on its
name. The name of the chosen Trail then appears in Current
Trail box.
. Click on OK. You will automatically be taken to the first
Picture in the Trail.
To view a Picture Trail
. Select the Trail you wish to view (see above). Then use the
button on the Picturebase Screen to move forward through
the Trail. Alternatively, from the Picture Trail submenu on the
PictureBase menu, select Go to Next in Trail XXXX. (XXXX is the
name of the current Trail.) A message will appear on screen to
tell you when you have reached the last Picture in the Trail.
NB Do not use the or buttons, as these will simply
take you to the previous or next Pictures in the Module, not to
the next in the Trail. The same applies to the Next and
Previous commands on the Browse submenu. However, these buttons
and commands may be useful when you have finished working on a
Picture Trail and want to return to normal PictureBase
operations.
2.16 Browsing
How to move between Pictures
You may want to browse through Pictures in a Module, or look
through a set of Pictures resulting from a Filter search (Picture
Titles in red). This can be done in more than one way.
. You can move forwards or backwards using the and
buttons on the PictureBase Screen. Simply click on the button
showing the appropriate icon.
. You can also move between Pictures using the Next and Previous
commands on the Browse submenu on the PictureBase menu.
2.17 Using Portfolio
The Portfolio facility allows you to see a display of all the
Pictures in a Module. The number of miniature images to a screen
depends on the screen mode you are using. In mode 28 it is about
30. Using this facility you are able to see the contents of the
Module at a glance. A Portfolio of the current Module can be
accessed from any of its PictureBase Screens. Should you wish to
view the Portfolio for a different Module, you initially need to
load the first Picture in that Module (see section 2.11).
How to access Portfolio
With an appropriate Picture on screen:
. Click on the PictureBase Screen button showing the Portfolio icon.
The Portfolio of the current Module, containing a set of
reduced-size images of Pictures will appear on screen. To see a
Picture Title, position the pointer over an image and click the
middle mouse button. To see another Title move the pointer over
another Picture and click the middle mouse button again.
. If the current Module is large, i.e. if it contains over 30
Pictures, you will need to use the scroll bar to see all the
images.
. Click the left mouse button on any image in the Portfolio to
move directly to the full PictureBase Screen for that Picture.
2.2 How to customise PictureBase to suit your needs
PictureBase has several useful facilities which allow you to
interact with the Pictures and text contained in any of the
Modules installed on your computer system:
2.21 Using the User Notepad
Before you can enter text on the User Notepad or delete from it
you will need to switch PictureBase protection off. See section
4.2 as to how this is done.
To use the User Notepad:
. Click on the User Notepad (The User Notepad field is located
bottom right of the PictureBase Screen).
. A cursor will appear in the User Notepad area. The position of
the cursor can be altered by moving and clicking the mouse. You
can type text directly onto the User Notepad using the
keyboard.
Provision is made for typing in special characters or those with
accents (see section 3.3). The latter facility will be
especially useful for teachers or students using a foreign
language.
In order to handle long text the program automatically scrolls
down when you reach the bottom line of the Notepad. To return to
the top line, simply position the pointer just above the top edge
of the Notepad and click the left mouse button. One click moves
up one line.
Text already entered on the User Notepad can be altered using
the normal keyboard operations.
The entire contents of the User Notepad can be deleted at once.
This is done by selecting Edit from the PictureBase menu, and
then Clear User Notepad.
All text entered on the User Notepad is automatically saved when
typing is finished and the mouse pointer is moved to another area
of the Screen.
Once you have finished editing the User Notepad, it is good
practice to switch PictureBase Security back on (see section
4.2). This facility prevents unauthorised users from altering or
deleting your entries on the User Notepad.
You can Print the User Notepad (see section 2.3). The contents
can also be copied to a floppy disc or text editor. This is done
by selecting Edit from the PictureBase menu, and then Save User
Notepad.
Text on the User Notepad can be searched both by a Find search
and a Filter search.
An example of the flexible use of the User Notepad in an
interactive sense is found in Appendix IV.
2.22 Using User Key Words
Before you can enter or change the User Key Words you will need
to switch PictureBase Security off. See section 4.2 as to how
this is done.
How to insert and edit User Key Words
. Click on the Key Words icon until the User Key Words field appears
in the bottom left of the PictureBase Screen. (The button
toggles between Key Words Hidden, Key Words visible, and User
Key Words).
. Click the mouse in the User Key Words field near to the point
where you wish to enter the text. A cursor will appear and you
can type in your User Key Words.

When you have finished editing User Key Word text it is wise to
switch PictureBase Security back on. This is a safeguard against
the possibility of another user deleting important information
(see section 4.2).
You can search the text you have entered in the User Key Word
field using a simple Find search or a more complex Filter search.
The User Key Words facility often proves itself very useful in
these circumstances. Teachers may "tag" a group of Pictures they
wish to show to their students by inserting an appropriate User
Key Word by each. They can then quickly search for these Pictures
by entering this User Key Word as search criteria. User Key Words
can also be helpful to a pupil who needs to identify his/her
selection of Pictures. For example, a pupil called John could
enter "John" in the User Key Words field to identify Pictures he
is using for a project. This selecting of Pictures for personal
purposes can also be done by creating Picture Trails (see section
2.23).
2.23 Constructing and editing Picture Trails
When browsing through your installed Modules or following a Find
search, you may decide to store one or more of the Pictures as
part of a customised set. Such a set can be extremely valuable
for teaching purposes or the student's personal use. It enables
you to see your own selection of Pictures in whichever order you
choose. For cross-curricular purposes, a Picture Trail can be
assembled by selecting Pictures from several Modules.
How to make a Picture Trail
Note: A Picture Trail cannot be constructed while a Filter is
operating. For details on how to exit from a Filtered set, see
section 2.14.
First ensure that Security is off. (See section 4.2)
Next you need to give your Picture Trail a name.
. From the Picture Trail sub-menu on the PictureBase menu, choose
Select or Create a Picture Trail.
. Click on the button alongside Create New Trail.
. Type in the name for your new Trail (up to 10 characters) and
click on OK. The new name will be added to the Current Trail
menu list.
You now need to find the first Picture you want to include in
your Trail. You might use a Find search or browse the Contents or
Portfolios of your installed Modules (see sections 2.13, 2.17 or
2.12 respectively).
Once you have the chosen Picture on screen:
. From the Picture Trail sub-menu on the PictureBase menu, select
Add Picture to Trail XXXX (XXXX should be the name of the Trail
you are working on).
The first Picture has now been added to your Trail.
To add a second Picture to your Trail:
Search for the required Picture and when this is on screen:
. From the Picture Trail sub-menu on the PictureBase menu, select
Add Picture to Trail XXXX.
The second Picture has now been added to the Picture Trail.
This procedure can be repeated for each of the remaining Pictures
to be added to the Picture Trail.
When a Picture Trail has been created, a button showing the Picture
Trail icon becomes selectable on the PictureBase Screen. This is the
button used to browse through a Trail once it has been created
(see section 2.15).
Once you have finished constructing your Picture Trail, it is a
good idea to put PictureBase Security back on (see section 4.2).
This ensures your work is not altered or lost.
There is an upper limit of 20 to the number of Trails that can be
arranged and protected. Note that there is only one password
which protects PictureBase. You cannot have separate passwords
for individual Trails. Protected Trails cannot be changed without
first switching off Security. For this, knowledge of the password
is necessary.
For details about how to view a Picture Trail, see section 2.15.
An example of constructing and editing a Picture Trail can be
found in Appendix III of this manual.
Sorting Pictures in a Picture Trail
You can rearrange the order of the Pictures in a Trail as
follows.
. PictureBase Security has to be off before you are able to edit
a Picture Trail (see section 4.2)
. From the Picture Trail sub-menu on the PictureBase menu, select
Edit Pictures in Trail XXXX.(XXXX should be the name of the
Trail you wish to edit. If it is not, click on Select or Create
a Picture Trail. In the Select a Picture Trail window which
appears on screen, click on the menu icon and then select the
correct Trail. Click on OK. Then from the Picture Trail
sub-menu on the PictureBase menu, select Edit Pictures in Trail
XXXX.)
. The Picture Trail Edit window appears with a list of the
Picture Titles in the Trail.
. Click the left mouse button on the Picture Title you wish to
move. Then click the right mouse button on the position you
wish for it to go. On-screen instructions are provided to help
you.
. Select Update Trail.
. "Close" allows you to opt out of Picture Trail Edit without
making any changes.
In order to protect your work, it is good practice to switch
PictureBase Security back on after editing a Picture Trail.
An example of constructing and editing a Picture Trail can be
found in Appendix III of this manual.
Deleting a Picture from a Picture Trail
You can delete Pictures from a Trail as follows:
. PictureBase Security has to be off before you are able to
delete Pictures from a Trail (see section 4.2)
. From the Picture Trail sub-menu on the PictureBase menu, select
Edit Pictures in Trail XXXX. (XXXX should be the name of the
Trail you wish to edit. If it is not, click on Select or Create
a Picture Trail. In the Select a Picture Trail window which
appears on screen, click on the menu icon and then select the
correct Trail. Click on OK. Then from the Picture Trail
sub-menu on the PictureBase menu, select Edit Pictures in Trail
XXXX.)
. The Edit Picture Trail window appears with a list of all the
Titles of the Pictures in the current Trail.
. Click on the Picture Title you wish to Delete.
. Click on Delete from Trail.
. You are asked to confirm you wish to delete this Picture from
your Trail. Click on OK.
The Picture will now be removed from the Picture Trail.
When work is complete, it is wise to protect it by switching
PictureBase Security back on (see section 4.2).
An example of constructing and editing a Picture Trail can be
found in Appendix III of this manual.
Deleting a Picture Trail
Picture Trails can be entirely deleted using the following
procedure:
. PictureBase Security will have to be switched off (see section
4.2) before a Trail can be deleted. This requires knowledge of
the password.
. From the Picture Trail sub-menu on the PictureBase menu, select
Select or Create a Picture Trail.
. If the Trail you wish to delete is not currently selected,
click on the Current Trail menu button, and in the window which
appears on screen, click on the correct Trail name. Click on
OK.
. Click on Delete.
. You are asked to confirm that you want to delete this Trail.
When you are sure that you do, click on OK.
. Click on OK to close the Select a Picture Trail window.
The Picture Trail will be deleted from your list.
It is wise to switch PictureBase Security back on once you have
finished your work (see section 4.2).
2.3 Printing from PictureBase
How to send output to the printer and Print a Picture or text
displayed on a PictureBase Screen
The printing functions of the program are accessed by clicking
the left mouse button on the screen button showing the Print icon.
The Print Selection window appears.
Make sure the correct printer driver is selected. Refer to the
Riscos User Guide supplied with your machine for details.
The program asks you to:
. Choose the number of copies.
. Decide whether you wish to pause between pages. This facility
is useful, for example, when sending different pictures to the
same file via a PostScript printer.
. Click on Print when ready.
. If pausing between pages, click on Next to print the next page.
Material from any Screen can be printed out to a quality that is
only limited by the equipment available, from full colour
Postscript device to a simple matrix printer.
Included in your printout are the Subject, Picture Title,
Picture, Description and User Notepad. Format of the printed page
will vary according to whether the Picture is portrait or
landscape.
2.4 Hearing Sound
How to hear and replay Sound (where available)
Some PictureBase Modules contain Sound files. To access these
files you must click the left mouse button on the Sound icon on the
PictureBase Screen. The files are loaded and the Audio Control
window appears. The function buttons on the Audio Control window
are as follows:
Play Previous Phrase
Play Next Phrase
Play All sound files for this Picture
Pause
Rewind to beginning
You are able to listen to either the entire Sound file, or to
just one sentence or phrase at a time, repeating that phrase over
and over again if you wish. This facility is especially useful
for language work. Sound can be stopped at any point, and you can
return to the beginning of the recording.
PICTUREBASE MENU COMMANDS
Commands on the PictureBase menu are accessed by clicking the middle mouse button anywhere on the PictureBase Screen.
3.1 Info
Choosing this command brings up a window containing registration
details and version number of the PictureBase you are using.
3.2 Contents
Selecting Contents on the PictureBase menu brings up the
PictureBase Contents window. This contains two list boxes, a text
panel and three buttons.
The Installed Modules list box lists all the Modules (Subjects)
installed on your system.
. Click on the Module of your choice.
Information about the chosen Module appears in the Module
Information window and all Picture Titles in the Module appear in
the Picture Title List box. Scroll to see the complete list.
Alternatively, if you wish, click on the Go to First Picture in
Module button or on the Portfolio button. The latter is
identified by the Portfolio icon.
However, you may want to select a particular Picture from the
Titles in the list box. Simply click on the Picture Title of your
choice and you will be taken directly to the Picture. Note: If
the Picture appears full screen with no text, you can double
click on the Picture to restore the normal PictureBase display
mode.
The Module Information panel provides some useful general notes
related to the chosen Module.
3.3 Edit commands
The following commands can be accessed via the "Edit" submenu on
the PictureBase menu. Click the left mouse button on the command
of your choice.
Save Picture Save Picture is a command that allows you to
(F3) save the Picture, either as a sprite to a
disc or to a paint program.
Save Description This command allows you to save the whole of
(Ctrl D) the Description text field, to your own
floppy disc or to a text editor.
Save User Notepad This command allows you to save the whole of
(Ctrl V) the User Notepad to your own floppy disc or
to a text editor. This is an extremely useful
facility especially when the User Notepad has
been used in an interactive mode. (See
Appendix IV for details).
Clear User Notepad This command allows you to delete the whole
of the text from the User Notepad. Ensure
that Security is off (see section 4.2).
Remember to switch PictureBase Security back
on in order to protect your work.
Clear User Key Words This command allows you to delete the whole
(Ctrl K) of the text from the User Notepad. Ensure
that Security is off (see section 4.2).
Remember to switch PictureBase Security back
on in order to protect your work.
Insert Characters This command brings up the Foreign Characters
(Ctrl C) window. It enables you to enter special or
accented characters into the User Notepad or
User Key Words. Teachers and students of
Modern Languages will find this facility very
useful.
Note that the Characters menu item in the
Edit sub-menu on the PictureBase menu will be
automatically switched off when Security is
on. See Security (section 4.2) for details on
how the protection system works.
Description On/Off This command allows you to mask the text in
the Description panel so that it cannot be
seen. This is useful, for example in language
work, where you want to encourage a student
to listen to spoken words. Security needs to
be Off for you to change the mode of the
Description panel (see section 4.2). Security
should be changed back to On after switching
the Description Off. This will prevent an
unauthorised user from bringing the
Description back into view.
3.31 How to use Characters
. Ensure PictureBase Security is switched off (see section 4.2).
. Move the text cursor to the position in the User Notepad or
User Key Words field where you want the special character to be
inserted.
. On the Edit submenu from the PictureBase Screen, click on
Characters. The Foreign Characters window appears on the
screen.
. Click on the appropriate character on the window. The character
will now appear in the text at the chosen position.
For example, if you want to type the word "Levee", type "Leve"
and position the cursor before the second "e". From the Edit
sub-menu from the PictureBase menu, select Characters. When the
Foreign Characters window appears, click on the "e". The window
will disappear and the word "Levee" is now on screen.
3.4 Browse commands
The following commands can be accessed via the "Browse" submenu
on the PictureBase menu.
Next This command takes you to the next Picture in
(F2) your installed Modules or the next Picture in
a Filter set.
Previous This command takes you to the previous
(F1) Picture in your installed Modules or the
previous Picture in a Filter set.
Search This command calls up the Search sub-menu
containing the following three options:
Attach Filter This command calls up the Attach Picture
(Ctrl F) Filter window. See section 2.14 for details
on Filter searches.
Remove Filter This command allows you to remove a Filter
(Ctrl R) that is currently operating. It has the same
function as clicking on the button with the
Filter icon on the PictureBase Screen. After
using it you will be returned to the
PictureBase Introduction Screen.
View Portfolio This command calls up the Portfolio window
(Ctrl P) (see section 2.17). You are able to see the
contents of the Module at a glance.
3.5 Picture Trail commands
The following commands are found on the "Picture Trail" sub-menu
on the PictureBase menu:
(Note: When PictureBase Security is on, or if a Trail has not yet
been selected, some of these commands will not be available. For
how to switch Security off, see section 4.2. For how to create or
select a Trail see sections 2.23 or 2.15 respectively).
Go to First in Trail XXXX
(F5) This command is available only when a Trail has
been created and selected (see section 2.23 and
2.15). XXXX marks where the name of the selected
Trail will appear. The command is used to see the
first Picture of the Trail.
Go to Next in Trail XXXX
(F6) This command is used when you want to see the next
Picture of the current Picture Trail. XXXX
indicates where the name of the selected Trail
will appear. You can also see the next Picture in
a Trail if you click on the PictureBase Screen
button with the Picture Trail icon.
Add Picture to Trail XXXX
(Ctrl A) This command is used when you want to add the
Picture on screen to a Picture Trail (see section
2.23). XXXX indicates where the name of the
current Trail will appear. PictureBase protection
has to be off for you to add a Picture to a
Picture Trail (see section 4.2). Ensure that the
currently selected Picture Trail is the one to
which you want to add the Picture (see section
2.15 for how to select a Picture Trail).
Edit Pictures in Trail XXXX
(Ctrl E) This command is used when you wish to sort
Pictures in a Picture Trail or Delete those you no
longer need (see section 2.23). XXXX marks where
the name of the selected Trail will appear.
Clicking on this command brings up the Picture
Trail Edit window. PictureBase protection will
have to be off for you to edit a Picture Trail
(see section 4.2). Check that the currently
selected Trail is the one you wish to Edit (see
section 2.15 for how to select a Picture Trail).
You can change the order in which you wish
Pictures to be viewed, or delete Pictures from the
Trail. After completing a Picture Trail Edit, it
is good practice to switch PictureBase Security
back on (see section 4.2). This will prevent
unauthorised changes being made to the Trail.
View This Picture's Trails
(Ctrl T) This command calls up a list of names of Picture
Trails to which the Picture on screen belongs. The
position of the Picture in those Trails is also
given.
Select or Create a Picture Trail
(Ctrl S) This command is used when you wish to create a new
Trail (see section 2.23), select a different one
(see section 2.15) or delete an entire Trail (see
section 2.23). The command calls up the Select a
Picture Trail window. This displays the name of
the currently selected Trail, and will be blank if
no Trail has been selected. This is important
and needs to be checked carefully before adding to
or altering a Picture Trail. It is advisable to
switch PictureBase protection back on when you
have created or edited a Picture Trail. This
prevents your work being altered or deleted by
other PictureBase users unless they know the
password.
Note: A Picture Trail cannot be constructed if a
Filter is operating. For how to remove a Filter,
see section 2.14.
PICTUREBASE ICON BAR COMMANDS
4.1 Info
Choosing this command brings up a window containing registration
details and version number of the PictureBase you are using.
4.2 Security (Protection)
The Protection facility is designed to protect entries the user
has made in the User Notepad and User Key Words fields. Picture
Trails can also be protected. When you first load PictureBase,
the protection is on. This means that text cannot be entered or
altered and Picture Trails cannot be created or edited.
Note that only one password is used to protect PictureBase. It is
not possible to protect the User Notepad, User Key Words or
Picture Trails individually with separate passwords.
To turn Security off.
. Click the middle mouse button on the PictureBase icon on the
icon bar (use Shift/F12 to show the icon bar if this is
behind the main PictureBase window).
. Select Security on the PictureBase icon bar menu. The
Security window will appear on screen.
. Type the password in the text box (the password which operates
the program as supplied is "USER").
. The button alongside Protection shows a tick when Security is
on. Click on this to switch Protection off.
. Then select OK.
NB: IT IS ALWAYS ADVISABLE TO TURN SECURITY BACK ON AFTER
FINISHING ANY WORK PICTUREBASE (see below).
Changing the Password
The password can be changed as follows:
. Click the middle mouse button on the PictureBase icon on the
icon bar (use Shift/F12 to show the icon bar if this is
behind the main PictureBase window).
. Select Security on the PictureBase icon bar menu.
. In the Security window, type in the current password. The
password supplied with the program is "USER".
. Click on the New Password button. A tick will appear.
. Type in the new password (up to 9 characters are allowed).
. You are asked to verify the new password.
. Select OK.
To turn Security on
On is the default. However you will need to turn Security on
manually after making entries on the User Notepad, in User Key
Words or after creating or editing a Picture Trail.
. Click the middle mouse button on the PictureBase icon on the
icon bar (use Shift/F12 to show the icon bar if this is
behind the main PictureBase window).
. Select Security on the PictureBase icon bar menu.
. Type in the password.
. Click on the button alongside Protection. A tick will appear
to show that Protection is now on.
. Then select OK.
When the Security (protection) window is on screen and you do not
wish to change the situation that already exists, click on
Cancel.
4.3 Install floppies
This command is used in the install procedure (see section 1.2)
4.4 Install CD
This command is used in the install procedure (see section 1.2)
4.5 Help
This command provides access to an on-screen Help file containing
similar information to this manual. You can use your machine's
word search facility to gain quick access to more information
about the PictureBase components and procedures that concern you.
When you have finished with on-screen help close down the Help
window in the usual way.
4.6 Quit
This command should be selected when you want to leave
PictureBase. Once this has been done you will need to run the
program again (see section 1.3) if you want to continue or renew
use of PictureBase.
PICTUREBASE SCREEN BUTTONS (ICONS)
5.1 Previous
This is identified by the Previous Picture icon. Click on it to move to the
previous Picture in your installed Modules or to the previous
Picture in a Filter search when the Filter is operating. It will
not take you to the previous Picture in a Find search or a
Picture Trail. Use this button when you wish to browse Pictures.
5.2 Next
This is identified by the Next Picture icon. Click on it to move to the
next Picture in your installed Modules or to the next Picture in
a Filter search when the Filter is operating. It will not take
you to the next Picture in a Find search or a Picture Trail. Use
this button when you wish to browse Pictures.
5.3 Find
This is identified by the Search icon. Click on it to begin the
process of making a simple Find search (see section 2.13).
5.4 Key Words/User Key Words
This is identified by the Key Words icon. Click on it to toggle between
Key Words hidden (the default), Key Words visible and User Key
Words visible.
5.5 Print
This is identified by the Print icon. Click on it to begin the
procedure for printing (see section 2.3).
5.6 Filter\Remove Filter
This is identified by the Filter icon. Click on it to begin the
procedure for making a complex (Boolean) Filter search (see
section 2.14). When a filter is in operation Subject and Picture
Titles will be in red. In that situation clicking on this icon
will clear the Filter and return you to the PictureBase
Introduction screen.
5.7 Sound
This is identified by the Sound icon. It will only be selectable when
there are Sound files related to the current Picture. Click on
it to begin the procedure for playing sound.
5.8 Picture Trail
This is identified by the Picture Trail icon. It is not selectable until you
have created and/or selected a Picture Trail. Click on it to move
forwards through the currently selected Picture Trail.
5.9 Portfolio
This is identified by the Portfolio icon. Click on it when you wish to
look at a Portfolio of all the Pictures in the current module
(see section 2.17).
APPENDIX I

An example search of the Subjects field - looking for "Habitats":
. Click on the Search icon. This activates the Search Text window.

Search User Notepad
An example of a search of the User Notepad field - looking for "endangered" (this will only be possible if text has already been entered on the User Notepad):
. Click on the Search icon. This activates the Search Text window.

this is not already selected.
. If text is already in the "Find What?" dialogue box, delete it using
the Delete key.
. Type "endangered". (Alternatively, abbreviations can be used, for
example, you might type "enda". Use this facility with care as it
will often reveal unwanted matches).
. Any Part of Field should be selected.
. Select Find First.
. Browse the first Picture on "endangered".
. Select the Search icon.
. Select Find Next.
. Browse the next Picture on "endangered".

Note: Searching "All Fields" may take some time when several
PictureBase Modules are installed.
APPENDIX II
An example of a Filter Search
You are wanting to search for Pictures with the words "village" in the Subject (Module name) and "shop" in the Description, or "high" in the Picture Title and "street" in the Picture Title, or "Manor" in the Description and "rural" in the Key Words.
. First click on the icon on the PictureBase Screen.
. Then set the criteria you wish to match.
Search criteria can be set as follows:
1st Selected Field - Subject; Text - Village
And
2nd Selected Field - Description; Text - Shop
Or
3rd Selected Field - Picture Title; Text - High
And
4th Selected Field - Picture Title; Text - Street
Or
5th Selected Field - Description; Text - Manor
And
6th Selected Field - Key Words; Text - Rural
Abbreviations can be used, for example you might type "vill" as text to match in the 1st Selected Field. however, use this facility with care as it will often reveal unwanted matches.
. Select Attach and the program will search for Pictures which match
your criteria.
If Pictures are found, a Filter Set is created. You are taken to the first Picture in the set and informed how many Pictures it contains. Pictures in a Filter Set appear with their Subject and Picture Title in red.
You can browse the Pictures in your Filter Set by using the Screen Buttons showing the Previous or Next Picture icons.
To exit from your Filter Set simply click again on the Screen Button with the Filter icon. You are taken to the PictureBase Introduction Screen.
The example search described here matches Pictures in PictureBase COM2707.
APPENDIX III
An example of constructing and editing a Picture Trail
You want to set up a Trail of five Pictures to illustrate farm animals.
(Note: A Picture Trail cannot be created if a Filter is attached. For how to remove a Filter, see section 2.14.)
i) First of all if Picturebase Security is on you need to switch it
off:
. Click on Security on the PictureBase icon bar menu.
. Click on the button alongside Protection to remove a tick that
shows Protection is on.
. Type in the password.
. Select OK
ii) Then you need to give your Picture Trail a name:
. From the Picture Trail sub-menu on the PictureBase menu, choose
Select or Create a Picture Trail .
. Click on Create New Trail. A tick appears in the box.
. Type in the name for your new Trail (up to 10 characters),
let's say "Livestock".
. Select OK. The new Trail "Livestock" now appears as the Current
Trail in the Select a Picture Trail window.
iii) Next you need to find the first Picture you want to include in
your Trail. You might use a Find search to look through the
installed Modules for farm, animal, cow, sheep, pig, chicken,
etc., or you might view the Portfolios of the Modules and choose
Pictures from there.
For instance, COM2701 has a Picture of "A Pig", COM2702 has "A
Ewe with Lamb" and "A Jacob sheep", COM2703 has "A Cow" and
COM2715 has "Highland Cattle".
iv) When you have located a Picture, say "A Pig", you can add it to
your Trail. The procedure is as follows:
With the Picture "A Pig" on screen:
. From the Picture Trail sub-menu on the PictureBase menu,
select Add Picture to Trail Livestock
The first Picture ("A Pig") has now been added to your Trail.
v) Now you can add a second Picture to your Picture Trail;
Search for the Picture "Ewe with Lamb" and when this is on sreen:
. From the Picture Trail sub-menu on the PictureBase menu,
select Add Picture to Trail Livestock .
The second Picture ("a Ewe with Lamb") has now been added to
your Picture Trail.
vi) Repeat section v) above for each of the remaining Pictures you
want to add to your Picture Trail.
vii) You also have the option to sort the Pictures in your Picture
Trail into a different order. To do this:
. Select Edit Pictures in Trail Livestock from the Picture Trail
sub-menu on the PictureBase menu. The Picture Trail Edit window
appears with a list of the five Picture Titles you have chosen.
Now, for instance, you might want "Highland Cattle" to be
inserted before "Ewe with Lamb". "Highland Cattle" was the last
Picture added to your Trail and appears at the bottom of the
list.
. Follow the on-screen instructions and use the left and right
mouse buttons as appropriate to move the Pictures into a new
order.
. Select Update Trail.
. Close the Picture Trail Edit window.
viii)Should you wish to delete a Picture, for example "A Cow", from
the Trail you have created, you can do so quite easily using the
following procedure:
. Select Edit Pictures in Trail Livestock from the Picture Trail
sub-menu on the PictureBase menu. The Picture Trail Edit window
will appear.
. Select "A Cow" from the list of Picture Titles.
. Select Delete from Trail.
The Picture "A Cow" has now been removed from your Livestock
Picture Trail.
. Close the Picture Trail Edit window.
ix) When you are certain that your Picture Trail is complete, it is
wise to protect it by switching PictureBase Security back on:
. Choose Security on the PictureBase icon bar menu.
. Type in the password.
. Click on the button alongside Protection. A tick will appear to
show that Security is being turned on.
. Select OK.
APPENDIX IV
An example of use of the User Notepad
Although the User Notepad appears to be simply an area for entering text, it is in fact a very versatile facility.
For example, a teacher can type questions related to the Picture, entering them at the top of the User Notepad field (scroll to top). These questions are then visible on the PictureBase Screen whenever that Picture is viewed. After entering the questions, by using the carriage return the teacher can scroll down the User Notepad and type in the correct answers in the lower part of the field. When the Picture is viewed, these answers cannot be seen unless, of course, the User Notepad is scrolled down. A pupil could be asked to type their own answers immediately after the questions. The User Notepad can then be printed out and the teacher and pupil are able to compare answers.
