- EasyMoney is an entry level accounts program. It is suitable for first time
- users and those new to computer accounts software. It will also appeal to
- those experienced users with smaller business that do not require the
- complexity of a larger accounts system. This simple and easy to use program
- records cash type transactions. It is designed for the smaller cash based
- business, or those wishing to start using a straightforward accounts
- program and then upgrade to the Enterprise Accounts or Enterprise
- Professional programs at a later stage.

- It is ideal for "Home Office" type situations such as businesses run from
- home, small clubs like scouts, youth clubs, and social clubs, and PTA
- organisations. This is the ideal starting point for those wishing to
- computerise their accounts. Firstly, because it is a true accounts program
- offering ease of use and a low cost. Secondly, because being the entry level
- for the Enterprise Accounts System, a continuous upgrade path is available
- from home office level right up to Enterprise Professional with Payroll in
- easy stages as the business grows.

- Facilities in EasyMoney
-
- Income: Money received from... Sales, Sale of an asset,
- Money drawn from a loan or capital introduced.
- All money received can be paid into the cash or bank accounts, money can
- be banked at any time (any number of cash and bank accounts are permitted).

- Expenses: Expenses paid by cash/cheque/credit card/or petty cash
- Stock purchases, Asset purchases, Pay off a Loan, Pay the VAT.
- All credit card payments are sent to a credit card account where they are
- totalled until the credit card payment is made.

- Transfers: Cash drawn from the bank, Petty cash drawn from bank or cash
- Bank transfer (between bank accounts)
- Depreciation of an asset
- Adjustment to allow transfers from one category of income or
- expenses to another.

- Reports: A range of printed documents can be produced covering:
- All categories of income and expenses
- Transaction listings including all items in any expense or
- income category, and a full listing of the cash and bank
- accounts.
- Profit & Loss account

- Full VAT facilities are provided including VAT Return and the latest EC VAT
- requirements for the single market from 1st January 1993.

- Automatic standing orders facility covering Income received, Expenses
- paid out, and Transfers such as Loan and HP repayments.

- Specification

- The EasyMoney program will run multi-tasking with no restrictions on
- any Acorn 32bit computer with 1mb of memory. A minimum of 1 floppy disc
- drive is required, and it will also run on a hard disc, and with any
- printer supported by RISC-OS printer drivers. This demonstration disc
- is configured for use with RISC OS3. To use the program under RISC OS2
- please contact ACP Ltd for details.

- USING THE DEMONSTRATION PROGRAM
-
- This help file is in the form of a tutorial that will explain how to
- start up the system and will demonstrate the methods used to access
- the many facilities, with some examples of the multi-tasking
- operations. To run the program, double click on the !EasyMoney icon.

- STARTING THE PROGRAM
-
- To start the program, click on the !EasyMoney icon on the icon bar. The
- Working date dialogue box is displayed.

- The Working date is used as the standard date throughout the program.
- This can be today's actual date, but other dates can also be used, for
- example if information is being entered for yesterday, or last week.
- Once set, items can still be entered with a different date if the need
- arises. For this example, just click on OK and the EasyMoney
- Control Panel will be displayed.

- The Control Panel provides access to all parts of the program. It displays
- four pictures that represent four specific areas of the program, and
- provides quick and easy access to the facilities in each section. The
- Control Panel shows the name of the person or organisation that owns the
- program, together with the current Batch number and the Working date.

- In this example, we will enter two everyday transaction to the
- program, and then demonstrate some of the powerful multi-tasking
- facilities of EasyMoney. Before starting to use the program, it is
- important to understand how the four sections of the program relate to
- the pictures on the Control Panel. The first picture, Maintain, covers
- those areas of the program that relate to setting up, creating the
- categories that will list all the business transactions, and other
- features that are used from time to time, such as printing reports and
- the VAT return.

- The remaining three pictures cover the actual handling of money. They are
- the everyday transactions that will be recorded by the program. They cover
- three areas. The first, named Received, covers all Money Received from any
- source. It is entered here and it will be recorded in the appropriate part
- of the program. The next picture, called Paid out, covers all Money Paid out.
- The final picture, Transfer, covers all money transferred from one place to
- another within the program, such as transfers between bank accounts.

- Maintain
-
- Place the pointer over the Maintain picture and click. A menu entitled
- Maintain will appear. A menu of this type will appear when clicking over
- any picture. It is possible to click on the picture or the name. The items
- listed here are the things that cover the general running of the program.
- Edit categories is particularly important as it is used to set up the
- specific categories required for each business. A category is required for
- each area of income, such as cash sales or credit card sales. A category
- is also required for each area of expenses such as Petrol, Postage and Rates.
- Click on Edit category. The dialogue box will be displayed. Click on the
- arrows alongside the name to see a selection of the categories set up in
- this demonstration program. Click on Cancel to close the box.

- Money received
-
- In this example, the program has been set up to do the accounts of a small
- shop. At the end of the day, the money received has to be entered. Click on
- the Received picture. A menu listing all the possible types of income is
- displayed. Click on the top item, Money from sales. A dialogue box is
- displayed. A dialogue box of this type is displayed from every menu entry
- on the Received, Paid out and Transfer menu's. In this case, it asks us to
- enter the amount of money received in the Menswear department. Enter an
- amount, e.g. £50 in the Amount box and press Return. This is the amount
- including VAT. Enter a 1 in the VAT box, press Return and the VAT amount
- will be calculated and displayed. Click OK to file the details on disc.
- This is a simple entry of money received. This process can be repeated,
- e.g. if money has been received in several departments.

- Money paid out
-
- The next entry will be for some petrol bought on a credit card. As this is
- money paid out, click on the paid out picture, and then click on the top
- item Paid Cash/chq/ccard. This displays the first expense category at the
- top of the box, which is postage. This is not the correct category as our
- expense is for petrol. Delete the word postage and enter the letters "motor".
- Press return, and the desired category "Petrol and motor costs" is displayed.
- Enter the word Petrol in the Reference box to explain what it is for. Enter
- the Amount as 20.00 and VAT code 1. The left hand side of the box has 3
- radio buttons entitled Cash, Bank and C/card. These indicate how the
- payment was made. Click on C/card as this payment was by credit card. The
- credit card account is shown at the bottom of the box. As many credit card
- accounts as required can be set up. Click OK to file the details on disc.

- Multi-tasking
-
- The multi-tasking facilities of EasyMoney mean that it is not necessary
- to abandon a partly finished operation in order to do something else.
- Click on the Maintain picture to display the Maintain menu and select
- Edit category. Let us assume that there is an urgent need to change the
- rate of VAT.

- Click on the Maintain picture to display the Maintain menu. Move to the
- bottom of the menu and move to the right over the Set up option. The Set up
- option provides all the setting up requirements, such as the owners name
- and the rates of VAT. It also includes hard disc backup and restore
- routines, and the Automatic standing order facility. Now click on the
- Edit VAT rates option. This opens the VAT rates dialogue box and the
- rates can be altered. As can be seen, more than one dialogue box can be
- open at any time. There is no limit to the number of boxes that can be
- open at any time in EasyMoney, except that only one transaction box can
- be open at a time. This multi-tasking ability is an extremely useful
- facility. For example, while entering money paid out, Edit category could
- be opened and the balance of the bank account viewed in order to see that
- there were sufficient funds available to cover the cheque.

- Printing
-
- Any report or printed document will display a Print/Save dialogue box.
- To print a document either drag the text icon to a RISC-OS printer
- driver, or click on the Print button. To save the document as a text
- file, drag the text icon to a directory viewer. To view the document
- on the screen, click on the Screen button and a window will display
- the report on the screen.

- The document can also be viewed on the screen using the !Edit
- application. Before selecting the report, run the !Edit application.
- Drag the text icon from this box onto the !Edit application on the
- icon bar. The report will be displayed. This principle can also be
- used for other applications, e.g. drag to a DTP program and add styles
- before printing.

- Follow the principles of this example to examine the other parts of the
- program. This demonstration disc is a fully working program with two
- exceptions. Firstly, nothing will be saved onto the disc. The disc
- contains sample data files and the information from them will be
- displayed where appropriate, but no changes and no new items will be saved.
- Secondly, the reports routine will only print a selection of sample
- documents.
