Chapter 14 - Reports
Reports are available from the Report Menu, as well as from related
forms and tables. Function keys at the bottom of the screen are:
o Enter:Select - select the highlighted report.
o Esc:Exit - quit the Report Menu, and return to the Main Menu.
o F9:Set Report Parameters - assign various report printing settings.
The Report Menu is divided into three sections:
o Global data reports and portfolio summary reports.
o Portfolio detail reports, for the current or all portfolios.
o Activity summary reports for the current portfolio, for all or selected
securities.
Next to each report, the current Report Parameters that are set to YES
are displayed in abbreviated form. The following abbreviations are used:
BRF: Brief Formats
SUB: Show Subtotals
INACT: Show Inactive
COMB: Combine Portfolios
TIME: Calculate Time in Performance
REINV: Subtract Reinvested
After you specify options and select a report, the report is generated
and displayed on the screen. From there, you can use the Print function to
send the report to the printer or a DOS file.
If you'd like to include a custom report header, use the Set Report
Header option on the User Settings Form.
14.1 Set Report Parameters
When printing a report from the Report Menu, the Set Report Parameters
key brings up the Report Settings Form, described in Chapter 15, so you
can change various report-related settings.
When printing a report from a table or from, you can choose to print
the report with the current settings or change the settings first.

14.2 View the Report
The selected report is displayed in a scrollable window on the screen.
The online help facility also uses this viewer to display relevant parts
of the documentation. Functions available are:
o Up Arrow:Up 1 Line, Down Arrow:Down 1 Line - move the highlight bar up
or down one line.
o PgUp:Up 1 Screen, PgDn:Down 1 Screen - scroll the screen up or down one
full screen.
o Ctrl-PgUp:Top, Ctrl-PgDn:Bottom - go to the beginning or ending of the
report.
o Ctrl-F:Find String - search for the first occurrence of a text string.
o Ctrl-G:Go To Page - go to a specific a page number.
o Ctrl-N:Next String - search for the next occurrence of a text string.
o Ctrl-P:Print - send the report to a printer or file.
o Ctrl-X:Help Index - bring up the help topics index, if viewing help.
o Enter:Highlight On/Off - toggle the line highlight bar.
o Esc:Exit - return to the Report Menu.
14.2.1 Print
===>>> Use Print function to send the report to the printer or a DOS file.
14.2.1.1 Print to a File
If you print to a file, you'll be asked for the name of the DOS file
to print to. The Append Report global setting determines if the report is
appended to the file or overwrites the file.
===>>> Capital Gainz prevents you from writing over user data or
executable files. If you specify a file with a .DAT, .K01, or .EXE
extension, an error indicates that you specified an invalid file.
14.2.1.2 Print to the Printer
When you print to the printer, output is sent to the port specified in
User Settings. By default, this is LPT1, the first parallel printer port.

14.2.2 Find String, Next String
The Find String function prompts for a string to search for. Capital
Gainz searches for the string, and displays the page where it's found. The
Next String function finds the next occurrence of the string.
14.2.3 Go To Page
The Go To Page function prompts for a page number. Capital Gainz
searches for it, and displays the top of the specified page if it's found.
14.2.4 Help Index
If you are viewing help, then the Help Index function key pops up a
list of help topics. After choosing a topic, the relevant part of the
users manual is displayed.
14.3 The Graphics Program
The Capital Gainz Graphics Program lets you see prices, moving
averages, total return, allocation, and performance figures in graphical
format. It uses Capital Gainz data files directly, automatically choosing
optimal graph ranges and labels. A number of user settings allow you to
set preferences such as color. The Graphics Program is discussed in detail
in the Capital Gainz Graphics Program Users Manual.
14.4 Reports For All Portfolios
The first section in the Report Menu contains reports for global data
and portfolio summary information. Each report is discussed below.
14.4.1 Portfolio Summary Report
The Portfolio Summary Report lists portfolios in numeric order by
portfolio ID. If Brief Formats is NO, then any description stored with the
portfolio is also printed. If Subtract Reinvested is YES, then reinvested
distributions are subtracted from the cost in determining gain/loss. For
each portfolio:
o The Portfolio ID and name.
o The portfolio description (if Brief Formats=NO).
o The current Value of all holdings in the portfolio.
o The current unrealized Gain/Loss of all holdings in the portfolio.
At the end of the report, totals for the Value and Gain/Loss of all
portfolios are shown.

14.4.2 Broker/Investment Company Report
The Broker/Investment Company Report subtotals all commissions and
fees over a specified period if the Show Subtotals user setting is YES.
Whether or not to print comments stored with records is determined by the
Brief Formats user setting.
Without subtotalling, the Broker/Investment Company Report lists
brokers/investment companies in alphabetical order by name, and shows:
o The Name of the broker/investment company.
o The Phone number of the broker/investment company.
o The Address of the broker/investment company.
o The City, State, and Zip code of the broker/investment company.
o Any Comments entered for the security (if Brief Formats=NO).
If the Show Subtotals report setting is YES, the commissions and fees
are subtotalled for the specified date range in the Broker/Investment
Company Report. For each portfolio holding a local security with a given
broker/investment company, the following values are added:
o The Portfolio ID and name.
o The portfolio's Total Commissions and Fees paid over the period.
For each local security in the portfolio, you're shown:
o The Account Number for the local security.
o The local Security symbol and name.
o The buy and sell Commissions over the period.
o The Fees paid over the period.
14.4.3 Global Security Report
The Global Security Report lists local securities linked to each
global security if the Show Subtotals user setting is YES. If the Brief
Formats user setting is NO, exchange and bond information is included, as
are any comments entered.
===>>> If a system date range is in effect, the price and yield on the
last date in the range is shown. So, if you want to see prices on
12/31/92, you can set the date range to 12/31/92 to 12/31/92.
The Global Security Report lists securities in alphabetical order by
symbol, and for each security shows:

o The global security Symbol and Name.
o The security Type.
o The last recorded Price.
o The current Yield.
o The Exchange and Exchange Symbol (if Brief Formats=NO).
o The Issue Date and Issue Price, if the security is a bond (if Brief
Formats=NO).
o The Maturity Date and Maturity Price, if the security is a bond (if
Brief Formats=NO).
o The Call Date and Call Price, if the security is a bond (if Brief
Formats=NO).
o The Coupon Rate, if the security is a bond (if Brief Formats=NO).
o Any Comments entered for the security (if Brief Formats=NO).
If the Show Subtotals report setting is YES, this report also lists
local securities linked to each global security. For each portfolio
containing local securities linked to the global security, the following
are added:
o The Portfolio ID and name.
o The symbols of all local securities in the portfolio that are linked to
the global security, 10 per line.
14.4.4 User Settings Report
The User Settings Report shows the current User Settings and colors.
14.4.5 Security Type Report
The Security Type Report shows security types, divided into sections
by class. Shown for each security type are:
o Type code.
o Description.
o Class, such as STOCK or STOCK FUND.
o Whether a global security with this type distributes Dividends or
Interest (DIV/INT), and if it is taxable.

o Where Short Term Capital Gains (STCG) distributions by a security of
this type are reported on the tax forms.
o Where Long Term Capital Gains (LTCG) distributions by a security of
this type are reported on the tax forms.
o Whether to group Sales of a security of this type on Schedule D-1.
o Where return of Principal distributions by a security of this type are
reported on the tax forms.
o How Sales Commission is treated on Schedule D-1.
The abbreviations used are:
o OMIT - omit the value from the tax forms.
o TAX - the value is included as taxable on Schedule B.
o NOTAX - the value is included as non-taxable on Schedule B.
o B SCH - include the value on Schedule B.
o D<-B - include on Schedule B, but subtract it out for Schedule D-1.
o EACH - each purchase for a given sale is listed separately on Schedule
D-1.
o GROUP - lump purchases into long and short term groups on Schedule D-1.
o COST - add sales commissions to open basis on Schedule D-1.
o SALE - subtract sales commissions from the price on Schedule D-1.
14.4.6 Total Return Report
The Total Return Report shows the total return of each global security
for the specified period, using values from the Price History File. If you
requested all dates, the first and last dates found in the Price History
File are used as the date range. Included are:
o The beginning and ending dates.
o Begin Price - the price found with the first date within the specified
period in the Price History File for this global security.
o End Price - the price found with the last date within the specified
period in the Price History File for this global security.
o Distr/Share - the distributions per share found in the Price History
File for this global security, summed over the specified period.
o Shares Bought - each distribution per share found in the Price History

File, divided by the next share price found, and summed over the period.
o Total Return - the total return of a single share, if held from the
beginning to the ending date and assuming reinvested distributions.
o Rate - the simple yearly compounded rate of return for the security,
based on the dates shown. Reinvestment of distributions is assumed.
14.5 Reports For Current/All Portfolios
The reports in the second section show activity detail for the current
portfolio or for all portfolios:
o F3:Toggle All/Current Portfolio - toggles the selection of current or
all portfolios, as shown on the top line of this section.
If the Combine Portfolios User Setting is YES and ALL PORTFOLIOS are
selected, portfolios are combined into one large portfolio.
If a date range is in effect, then holdings on the specified End Date
are calculated.
14.5.1 Portfolio Detail Report
The Portfolio Detail Report will subtotal by broker/investment company
if the Show Subtotals user setting is YES. If the Brief Formats user
setting is YES, then only a single line per local security is printed,
with comments ignored. You can have reinvested amounts subtracted from
cost by setting the Subtract Reinvested to YES.
The Portfolio Detail Report is similar to the Local Securities Table.
For each portfolio, local securities are listed in alphabetical order by
symbol, and include:
o The Local Symbol.
o The associated global security's name, plus (IRA) if you specified that
the security was tax-exempt (if Brief Formats = NO).
o Average price paid for shares owned (if Brief Formats = NO).
o Last price and last price date.
o The current number of open Shares.
o The current Yield.
o The Cost of the current open shares (if Brief Formats = NO).
o The Value of the current open shares, based on the last price.
o The unrealized Gain or Loss on the current open shares.
o The broker/investment company and account number for this local

security, if the account number is not blank (if Brief Formats=NO).
o Any Comments specified for this security (if Brief Formats=NO).
At the end of each portfolio, security totals are shown for Yield, Value,
and Gain/Loss.
If the Show Subtotals report setting is YES, then local securities
values are grouped and subtotalled for each broker/investment company with
holdings in the portfolio. This format looks best if Brief Formats=NO.
If the Subtract Reinvested user setting is YES, reinvested
distributions are subtracted from cost. To remind you that the gain/loss
includes reinvested distributions, Subtract Reinvested is printed on the
header.
14.5.2 Portfolio Allocation Report
The Portfolio Allocation Report gives you a percentage breakdown by
security, security type, and security class for each portfolio:
o The current Value of the holdings in the portfolio for each security,
security type, and security class.
o The Percentage of the holdings in each security, security type, and
security class, based on the total value of the portfolio.
o The Total Value of the portfolio.
14.5.3 Schedule B & D-1 Reports
The default treatment of individual securities can be altered by
modifying the security's type, described in Chapter 13. Additional reports
are added to the end of the Schedule B report, listing any fees paid for
the year, and to the Schedule D-1 report, listing potential wash sales.
You can specify several options:
o The Year for the tax report. The previous year is displayed.
o Whether to Round values to the nearest dollar. For Schedule B, the total
interest and dividend amounts for each security are rounded. For
Schedule D-1, each purchase and sale is rounded. The default is YES.
o Whether to Group Sales of every security, so each sale only lists a
single short term and a single long term entry. Multiple purchases are
grouped, and the date shown is VARIOUS. The default is NO.
o Whether to generate the Wash Sale Report. The process executes faster if
wash sales are not checked for. The default is NO.
o Whether to generate a TXF (Tax Exchange Format) export file for
Schedules B and D. This file can be imported into most popular tax

preparation programs. The default is NO.
===>>> The tax forms generated may not be identical to the actual tax
forms, and thus they are not legal substitutes for the actual forms.
However, they do provide data easily transferrable to the actual Schedule
B and Schedule D-1 Forms, and you can even generate an import file for
many tax preparation programs, such as TurboTax.
Any securities specified as tax exempt are skipped completely, so only
use this designation for securities held in retirement plans, like IRAs.
14.5.3.1 Schedule B Report
The Schedule B Report lists distributions for securities over the
requested year. You can control the treatment of various securities, such
as whether they are taxable or tax-free, using the security type, as
described in Chapter 13. For each portfolio, you're shown:
o Part I Interest Income - interest recorded for local securities.
o Part II Dividend Income - dividends, capital gain distributions, and
return of principal for local securities.
14.5.3.2 Fee Report
===>>> The Fee Report is not a tax form, but reports fees that may be tax-
deductible. For each fee in the specified year, you're shown:
o The local Security symbol and name.
o The Type (FEE).
o The Date the fee was paid.
o The Amount of the fee.
o Any Notes recorded with the fee.
14.5.3.3 Schedule D-1 Report
Since Capital Gainz only has security sales information for the year,
Schedule D-1 is used instead of Schedule D. You can control the treatment
of various securities, such as whether the purchase commission is added to
the cost or subtracted from the proceeds, using the security type, as
described in Chapter 13. For each portfolio, you're shown:
o Part I Short-term Capital Gains and Losses.
o Part II Long-term Capital Gains and Losses.

Each sale shows the local security symbol and the number of shares
involved. If you grouped sales, Schedule D-1 would use VARIOUS as the
purchase date for sales that closed multiple purchases.
14.5.3.4 Wash Sale Report
The Wash Sale Report is not a tax form, but reports potential wash
sales. Wash sales occur when you sell shares of a security at a loss, and
have similar purchases within 30 days prior to or after the sale. The loss
should be eliminated or reduced by adjusting the basis of the shares sold,
and adding it back to the purchases. Capital Gainz can automatically
adjust for wash sales, but certain restrictions apply.
For each possible wash sale, you're shown:
o The local Security name and symbol.
o The Sell Date and number of Shares Sold.
o The Date and number of Shares for purchases of the same security within
30 days of the sale. The purchases displayed are limited by the number
of shares involved in the sale.
===>>> If any potential wash sales are printed, Capital Gainz asks if you
want to automatically adjust for them. If fewer shares are purchased than
were involved in a wash sale, then the entire loss is not adjusted. Thus,
this may still appear to be a wash sale. If you generate the tax reports
for this year again, you must not adjust for wash sales again!
14.5.3.5 TXF Import File
If you choose the TXF export file option, then instead of Schedule B
and D-1 reports, a file containing tax exchange format codes interleaved
with your data is generated that can be read into tax preparation programs
that support TXF. Refer to your tax preparation program's users manual for
information on how to import the TXF file. The capabilities of such
programs vary, so if you have an exceptional situation, such as multiple
Schedule B's, then the tax program may not process the complete import
file. If you have sales that closed many purchases, it's a good idea to
use the Group Sales option.
===>>> Capital Gainz actually has Schedule B data, such as tax-free and
capital gain distributions, that is not defined in the Tax Exchange
Format. We've requested support for these additional fields, but until
they are added to the TXF standard you'll need to manually transfer them
from the Capital Gainz Schedule B report.
Only the current portfolio is used to create the import file unless
you use the Combine Portfolios feature and choose ALL PORTFOLIOS.

14.6 Reports for Current Portfolios
The reports in the third section show security detail for all or
selected securities in the current portfolio, and for all or a range of
dates. The function keys that apply to this section are:
o F2:Select Date Range - limit the report to a range of dates.
o F4:Select Securities - select local securities to include in the report.
14.6.1 Select Securities
The Select Local Securities Table allows you to tag securities for the
activity reports. Functions keys at the bottom of the table are:
o Enter:Toggle Select - toggle the tag on the highlighted security. The
local security is tagged or cleared, and the next one is highlighted.
o F2:Select All - tag all local securities.
o F3:Clear All - clear all tags, such that no local securities are tagged.
o Esc:Done - exit the table.
Leaving the table with no local securities tagged is the same as leaving
it with all of them tagged.
14.6.2 Activity Summary Report
Divided into three sections, the Activity Summary Report uses a full
page for each security. If the Brief Formats user setting is YES, only the
last section is printed, so several securities are printed on each page.
===>>> If you requested all dates, the first date is determined from the
activity logs. The last date is the last date found in the price history
file for active securities, or the last activity date for inactive
securities. Thus, the performance of active securities is bracketed by the
first activity date and the last price date, and the performance of closed
out securities is bracketed by the first and last activity dates.
The first section shows:
o Open Activity Summary - total and short term totals are shown for shares
purchased during the specified period, and not sold as of the current
date. This mirrors the totals at the end of the Open Shares Detail
Report.
o Closed Activity Summary - total and short term totals are shown for
shares sold during the specified period. This mirrors the totals at the
end of the Closed Shares Detail Report.
o Distribution Activity Summary - total and short term totals are shown

for distributions during the specified period. This mirrors the totals
at the end of the Distribution Detail Report.
The second section of the Activity Summary Report includes the total
return of the global security over the period. This section shows how a
single share of the security fared, using the beginning price, ending
price, and distributions per share from the Price History File. These
figures are identical to those in the Total Return Report, described
above.
The third section evaluates your specific performance over the period.
This is the only section printed if you choose the Brief Formats option:
o Start - shows the earliest date found in the Price History File for the
specified range, and the corresponding price. Open totals are shown for
shares owned at that time, even if you sold them later.
o Buy Activity Over Period - shows the total purchases made during the
period, even if you sold them later.
o Distributions Over Period - shows the total distributions during the
period.
o Sell Activity Over Period - shows the total selling activity during the
period.
o End - shows the latest date found in the Price History File for the
specified range, and the corresponding price. Open totals are shown for
shares owned at that time, even if you sold them later.
The following figures are used to calculate your performance:
o The date range specified.
o End Value - the value of shares open at the end of the period.
o Sell Amount - Sell Commission - the amount received from sales during
the period, less selling commission.
o Distributions - Fees - distributions over the period, less fees paid.
o Initial Value + Buy Amount + Buy Commission - the value of open shares
at the start of the period, plus the amount of purchases and purchase
commissions over the period.
===>>> The final figure shows the total ending value, plus the sale
proceeds received, plus distributions received, less purchases and the
initial value. This is your return over the period. The percentages are
over the date range shown. Purchases held for partial periods are
adjusted, so the return percentage is calculated by dividing the return
amount by the initial value plus the purchase amount less an adjustment.
If a purchase is recorded on the same date as a distribution, the
distribution is assumed to be reinvested. A yearly rate is calculated for
the result.

If you specified more than one local security, the Activity Summary
Report also generates grand totals. If all dates were specified, the grand
total return is a rough approximation, since different securities cover
different periods.
14.6.3 Price History Report
The Price History Report shows the price history associated with a
global security. At the top of the page:
o The global security Symbol and name.
o Today's date if no date range was chosen, otherwise the entered date
range.
o The Exchange and Exchange Symbol (if Brief Formats=NO).
Price history records are interleaved with distributions and splits,
sorted in descending date order. For prices, the report shows:
o The Date of the price.
o The Price.
o The trading Volume (in hundreds), if recorded with the price.
For distributions, the report shows:
o The type of distribution.
o The distribution amount per share.
For stock splits, the report shows:
o The Date of the split.
o The split ratio.
At the end of each security are the following values:
o The High price and date and Low price and date found within the date
range.
o The Monthly Average price.
o The total Distributions per share.
The distribution per share amounts explain price drops due to dividend
or capital gain payouts. The highest price for the period is flagged with
an H, and the lowest price for the period is flagged with an L.

14.6.4 Activity Detail Report
The Activity Detail Report lists all buy, sell, and distribution
transactions. There are several variations for this report.
o ALL buy, sell, and distribution logs.
o Just the OPEN logs, CLOSED logs, or DISTRIBUTION logs.
o Buy, sell, and distribution activity MIXED together, in chronological
order.
o Listing grouped by LOGTYPE: all buy logs, all sell logs, and all
distribution logs, or grouped by SECURITY: the buy/sell/distribution
logs for security 1, the buy/sell/distribution logs for security 2, etc.
If Brief Formats is YES, then a only single line per record is printed.
14.6.4.1 Open Shares Detail Report
The Open Shares Detail Report is similar to the Open Shares Log. The
records of shares bought over the period and still held as of the current
date are sorted in ascending order by date. At the top of the page is:
o The local security Symbol and name.
o The security's Current Price.
o The local security's Account Number.
o Today's date if no range was chosen, or else the selected date range.
For each open shares record, you are shown:
o The purchase Date.
o The number of Shares purchased.
o The Open Price (basis price), which is the same as the purchase price if
the average method is not being used.
o The Open Amount (basis amount), which is the same as the purchase amount
if the average method is not being used.
o The Open Commission or load. A negative commission signifies a purchase
discount.
o Any Notes recorded for the purchase (if Brief Formats=NO).
o The current unrealized Gain/Loss.
o The Short Term or Long term status of the open shares, based on the
current date (if Brief Formats=NO).

Overall and short term totals are shown for Shares, Open Amount, Open
Commission, and Gain/Loss. Also shown are the Open Value based on the
current price, and the weighted Average Purchase Price.
14.6.4.2 Closed Shares Detail Report
The Closed Shares Detail Report is similar to the Closed Shares Log.
The records of shares sold over the period are sorted in ascending order,
first by sell date then by buy date. At the top of the page is:
o The local security Symbol and name.
o Today's date if no date range was chosen, or else the selected range.
For each closed shares record, you are shown:
o The selling Date.
o The number of Shares sold.
o The Sell Price.
o The Sell Amount.
o The Sell Commission or load.
o Any Notes specified for the sale (if Brief Formats=NO).
o The Open Date of the shares sold (if Brief Formats=NO).
o The Open Price (basis price) of the shares sold, which is the same as
the purchase price if the average method was not used (if Brief
Formats=NO).
o The Open Amount (basis amount) of the shares sold, which is the same as
the purchase amount if the average method was not used (if Brief
Formats=NO).
o The Open Commission or load of the shares sold (if Brief Formats=NO).
o The realized Gain/Loss amount and percentage for the sale.
o The Short Term or Long Term status of the sale (if Brief Formats=NO).
For uncovered short sales, the current position is shown.
If a particular sale resulted in the creation of multiple closed
shares records, a subtotal is given for the sale date. Overall and short
term totals are shown for Shares, Sell Amount, Sell Commission, Open
Amount, Open Commission, and Gain/Loss. Also shown is the weighted Average
Sell Price.

14.6.4.3 Distribution Detail Report
The Distribution Detail Report is similar to the Distribution Log. The
records of distributions and fees over the period are sorted in ascending
order by date. At the top of the page is:
o The local security Symbol and name.
o Today's date if no date range was chosen, or else the selected range.
For each distribution record, you are shown:
o The Date of the distribution.
o The Type of the distribution.
o The Amount of the distribution.
o The distribution Per Share.
o Any Notes specified for the distribution (if Brief Formats=NO).
Overall and short term totals are shown for Dividend/Interest Amount,
Dividend/Interest Per Share, Capital Gain Distribution Amount, Capital
Gain Distribution Per Share, and Fee Amount.
14.6.4.4 Mixed Detail Report
===>>> The Mixed Detail Report resembles statements you receive from
mutual fund companies. It shows all buy, sell, and distribution activity
over the period, in chronological order. Realized gains and losses for
sales, and unrealized gains and losses for purchases, are not shown. At
the top of the page is:
o The local security Symbol and name.
o Today's date if no date range was chosen, or else the selected range.
o The local security's Account Number.
o The security's Current Price.
All purchases during the period, even if you sold the shares later, show:
o The purchase Date.
o The number of Shares bought.
o The actual purchase Price, even if the averaging method was used.
o The actual purchase Amount, even if the averaging method was used.
o The purchase Commission or load.

o If you sold the shares during the period, a line below the purchase
information shows the date you SOLD them.
All sales during the period show:
o The selling Date.
o The number of Shares sold.
o The selling Price.
o The selling Amount.
o The selling Commission or load.
For each distribution, you are shown:
o The Date of the distribution.
o The Type of the distribution.
o The Amount of the distribution.

of shares is shown after each purchase and sale.
At the end of each security, total Shares, Amount, and Commission are
shown for purchases and sales over the period. The average purchase and
sale Prices are calculated. Total Amounts and Per Share Distributions are
shown for Dividend/Interest, Long and Short Term Capital Gains, and Fees
Finally, your current open position is shown for the security:
o The number of open Shares as of the current date.
o The Value of the open shares based on the last recorded price.
