This database is the central repository for addressing and server configuration information for users, groups, and servers within a Notes domain. These documents allow Notes to find addresses of users and servers, determine connection paths, configure servers, define foreign domains, and perform many other important functions and features.
Below is a quick outline of Public Address Book forms and folders/views. For more information, see the
Lotus Notes Release 4 Administrator's Guide.
Forms
Person.
This is the default form. It allows you to create documents required by Notes to identify and locate each Notes user. This form consists of sections called Name, E-Mail, Business, Home, Misc, and Administration.
Details:
includes the user's first name, middle initial, and last name, as well as the user's distinguished name, short nickname, or any other aliases.
E-mail consists of mail-related fields. The fields depend on the type of mail system (Notes, cc:Mail, etc.) specified in the Mail system field. By default, the mail type is Lotus Notes.
Business identifies the user's business location.
is a section consisting of the user's address and related fields.
Misc includes a comment field and public key information.
Administration is a collapsible section for entering Notes administrative information.
Group.
This lets you create groups of users to which you can collectively send mail, assign access and roles, and so on. Groups can be one of four types: Multipurpose (default), Database and server ACL only, Mailing list only, and Deny Access list only.
Location.
This defines information various work locations (home, office, remote site, and so on). This is especially useful for mobile users. This form consists of five sections: Basics, Phone Dialing, Mail, Replication, Advanced, and Administration.
Details:
Basics identifies the location name and (Local Network, Modem, Both Modem and Local Network, and No connection), as well as ports, servers, and other information.
Phone Dialing contains dialing information. This consists of various dialing prefixes (such as area code) that may be required before this location can successfully dial and connect to a server.
Mail consists of mail-related information such as whether mail is server or workstation based, the local mail domain, and related settings.
Replication defines whether and when replication occurs at this location
Advanced contains miscellaneous information for advanced users, such as optional TCP server name.
Administration is a collapsible section for entering Notes administrative information.
Server.
This contains information required for a Notes server to function. This includes server identification, configuration, and security. The form consists of the following sections: Basics, Server Location Information, Network Configuration, Security, Restrictions, Agent Manager, X.400 Message Transfer Agent, cc:Mail Connector Information, Internet Message Transfer Agent, Contact, and Administration.
Details:
Basics is for entering standard server information (server name, domain, and so on) and selecting routing tasks. l
Server Location Information identifies the server's location.s
Network Configuration defines and enables network ports.
Security enables/disables anonymous access, and whether Notes compares public keys against those stored in the Public Address Book.u
Restrictions places limitations on server access.
Agent Manager configures the Agent Manager feature, introduced in Notes R4. This includes defining who can create and run agents, as well as when and how agents run on the server.
X.400 Message Transfer Agent (X.400 MTA) requires the separate X.400 MTA add-in program. If this program is not installed , a message appears informing you of this.
cc:Mail Connector Information requires the separate cc:Mail Connector add-in program. If this is not installed, a message appears.
Internet Message Transfer Agent (SMTP MTA) requires the separate Internet (SMTP) MTA add-in program. If this is not installed, a message appears.
Contact allows you to enter optional owner identification data.
Administration is a collapsible section for entering Notes administrative information.
Configuration.
This allows you to administer the server's NOTE.INI settings. The server periodically reads its server configuration document and update its NOTES.INI variables accordingly.
Connection.
This creates connections between a workstation or server and another server. The connection type can be Local Area Network (default), Dialup Modem, Pass Through Server, X.400, SMTP, Remote LAN Service, X.25, or cc:Mail. This form is context-sensitive; the fields it displays depend upon which connection type you select. c
Domain. y
This defines users domains. Possible domain types include Foreign Domain (default), Non-adjacent Domain, Adjacent Domain, Foreign X.400 Domain, Global Domain, and Foreign SMTP Domain. The fields on the Domain form are context-sensitive, similar to the Connections form. The fields displayed depend upon which domain type you select.
Mail-in Database.
This lets you define a mail-in database. A mail-in database can receive mail messages, for example for workflow applications.
Program.
This determines whether and when a program runs on the server.
Setup Profile.
This defines a document of default user information, such as default pass through server and other initial remote connections. You can create any number of Setup Profile documents (for regular users, for mobile users, for users in one domain or another, and so on). When you create a Person record, you can select an existing Setup Profile to automatically provide desired default values.

These examples assume that the parameter 'Local part constructed from' is specified to be the short name. When mail is from another domain, it is likely that we will not have access to the Person record in the N&A Book and therefore will not be able to retrieve the Short Name. Therefore, the following examples which include a domain string may be misleading. However, I'm on the fence with this.

Select Yes to require that public keys on client IDs match those stored in the Public Address Book. Default is No. If you select Yes, only clients with public keys that match those in the Public Address Book can authenticate with the server. This helps prevent unauthorized use of IDs. For example, if an unauthorized person copies an ID and the owner changes the public key on the original as a result, select Yes to prevent the unauthorized user with the original ID and public key from authenticating. This feature also prevents someone not listed in the Public Address Book from authenticating, for example, someone from another organization or someone who has left the company.

Select Yes to allow server access to Notes clients that are not properly certified. Default is No. If you select Yes and there are entries in the Access Server field in the Restrictions section of the Server document, add the entry "Anonymous" to that field so that uncertified Notes clients can access the server; don't do this if the Access Server field is blank.
Add the entry "Anonymous" to database access control lists to control the level of access uncertified Notes clients have to databases. If there is no "Anonymous" entry, uncertified Notes clients have the -Default- access.
Allow anonymous Notes connections:
AnonymousAccessChoose Yes if you want users who cannot be authenticated due to lack of proper certification to access the server anyway.
Yes|1No|0
Select Enabled to require this server to check for correct Notes passwords during authentication. Default is Disabled. This feature helps prevent an unauthorized user holding an ID with an obsolete password from authenticating with the server. You must also enable password checking in Person documents for this to work. If enabled, the server verifies that the passwords on the IDs of users authenticating with the server are the most recent ones as recorded in Person documents. If you require password changes at certain intervals (selected when you configure Person documents for password checking), the server also checks that passwords haven't expired.

You can use one wildcard (*) per entry. For example, you can enter *.com to deny access to any site that ends with .com. A more specific reference overrides a less specific one. For example, if you enter www.*.com in this field and www.ibm.com in the "Allow access to these Internet sites" field, users can access www.ibm.com but not sites like www.lotus.com. If you have identical site references in this field and in the "Allow access..." field, the "Allow access..." field overrides this one.

Enter the fully qualified host name of the computer on which you installed the Domino Web server. Default is blank. This can be a host name as registered by a DNS (Domain Name System) (for example host1.acme.com) or the server IP address (for example 123.110.200.203). If the field is blank, Domino uses the host name specified in the operating system's TCP/IP stack; with Windows NT, you can verify this name by looking at the TCP settings on the Network Configuration tab of the Control Panel.
Host name:
HTTP_HostName
HTTP_BindToHostName
You must supply a host name if bind to host name is enabled.{
5S6S
HTTP_HostNameReturned to browser. Should exist in DNS. Blank indicates use platform's host name
Enter the URL for the About document, navigator, or database you want Domino to return when users enter a site name without specifying an explicit directory or page name (for example, http://domino.lotus.com).
If you do not specify a URL, the default /?Open displays a list of databases on the server.
If you use an HTML file as a home page, leave this field blank and enter the HTML file name in the "Default home page" field in the HTTP Basics section instead.

Enter the number of threads the Domino Web server can use at one time to process requests. Default is 40. If the server reaches the number, it holds new requests until threads become available as previous requests finish. The more powerful your machine is, the more threads you can specify. If your machine spends too much time on overhead tasks, such as swapping memory, specify a lower number of threads.
Number active threads:
HTTP_MaxActiveThreadsIncreasing this number decreases available memory. Example:100
NOTE: The following parameter is no longer used in Domino 4.6. You should use it only for server running versions prior to 4.6.
Enter the minimum number of threads the Domino Web server keeps open for processing requests. Default is 20. The server always keeps this number of threads open, even if they are idle. The more powerful your machine is, the more threads you can specify. If your machine spends too much time on overhead tasks, such as swapping memory, specify a lower number of threads.
Minimum active threads:
HTTP_MinActiveThreadsIncreasing this number decreases available memory. Example:30

About Public Address Book
Welcome to the Notes Public Address Book. The Public Address Book is the central repository for addressing and server configuration information for users, groups, and servers within a Notes domain. Notes accesses the Public Address Book whenever it needs to contact a server or user, for example when sending mail or replicating. All users and servers within a Notes domain share the same Public Address Book.
Notes users
can examine the Public Address Book for information such as phone numbers, locations, and so on. However, access to create or modify Public Address Book documents should be limited to Notes administrators only, since this information is critically important to proper Notes operation. Users can use PERNAMES.NTF to create Personal Address Books if they require addressing, connection, location, and related information not included in the Public Address Book.
Notes administrators
create Public Address Book documents. These documents allow Notes to find addresses of users and servers, determine connection paths, configure servers, define foreign domains, and perform many other important functions and features. Administrators also define the replication strategy for this database, since all servers in a Notes domain must have a replica of the same Public Address Book.
Important:
For most Notes sites, Public Address Books created with PUBNAMES.NTF should require no modification. Public Address Book information is used by many features throughout Notes. Therefore, any customizing of Public Address Book views, forms, or fields should be done only if absolutely necessary, by experienced Notes administrators familiar with database design. For more information, consult the
Lotus Notes Release 4 Administrator's Guide.

UPDATERS
Updaters expects an integer which is equivalent to the number of Indexer processes running on the server simultaneously. Caution: Multiple updaters is CPU intensive and is primarily meant for multi-processor machines. A change to this parameter is not dynamic, and will require a restart of the Notes server in order to take effect.
UPDATE_NO_FULLTEXT
When set to 1, disables the update of all full text indexes on this server.
NSF_BUFFER_POOL_SIZE
Views that are currently in use are kept in this pool. The size of this pool defaults to a value based on the amount of memory available when Notes initializes. The default value may be overidden by setting this parameter to a value in bytes. To see the current value, examine the server statistic Database.Maximum. (Note that Database.Allocated is the statistic for the amount of the buffer pool that has been allocated and it is normal for it to sometimes be larger than Database.Maximum.) You should only set this parameter to be larger than the default value - smaller values will result in poor indexing performance. A change to this parameter is not dynamic, and will require a restart of the Notes server in order to take effect.
FYI: NSF_POOL_SIZE ; NSF_BC_POOL_SIZE ; NIF_POOL_SIZE are no longer needed in Release 4.
LOG_REPLICATION
Log replication determines the level of logging for all replication events performed by the current server. There are 5 levels to choose from:
1 - logs that a database is replicating"
2 - logs summary for each database
3 - logs document info
4 - logs information about every field replicated"
5 - logs information about space saving"
SERVERPULLREPLICATION
Forces all replication initiated by this server to be Pull - Pull instead of the default Pull-Push and also overrides connection record.
REPLICATORS
Expects an integer corresponding to the number of replicators to be started automatically when the server starts up. A change to this parameter is not dynamic, and will require a reboot in order to take effect.
MAILMAXTHREADS
Determines the maximum number of transfer threads or processes which can be launched by the router.
SHARED_MAIL
When set to 0, shared mail is not used. When set to 1, tells the router to use the shared mail database for mail delivery. When using the shared mail database (MAILOBJ.NSF), messages (Rich Text and Attachments) sent to multiple users on the same server will only be stored once. When set to 2, tells the server to use MAILOBJ.NSF for both delivery and transfer of messages.
MAIL_LOG_TO_MISCEVENTS
When set to 1, forces the server to log all router events to the Miscellaneous Events view instead of the Mail Routing Events view.
SERVER_SHOW_PERFORMANCE
When set to 1, logs to the server console the number of transactions and users on a per minute basis.
LOG_SESSIONS
When set to 1, logs the opening and closing of all sessions.
LOG_TASKS
When set to 1, logs information when the Server and Server Configuration document are being polled.
SERVER_MAXSESSIONS
Defines the maximum number of concurrent sessions allowed on the server before it starts recycling the least recently used sessions.
SERVER_SESSION_TIMEOUT
Defines the maximum amount of time an idle session will remain on the server before being logged off. On preemptive systems (OS/2, Windows NT, Windows 95, Unix) the default is 4 hours. On non-preemptive systems (NLM) the default is 30 minutes.
ADMINPINTERVAL
This parameter expects an integer equal to the number of minutes which determines the interval that the Administration Process uses to look for work to do.
LOG_MAILROUTING
10 - Only logs errors and warnings (minimal)
20 - Minimal plus transfer output and delivery output (normal)"
30 - Normal plus information about transfer threads/processes
plus more detailed information about the transfers and deliveries"
(informational)"
40 - Informational plus more detailed information about transfer"
queues (verbose)
ADMINPMODIFYPERSONDOCUMENTSAT
Determines the hour at which the Administration agent will modify User documents in the Public Address Book. You must specify the time specified in 24-hour format, where 0 = 12:00 AM (midnight), 23 = 11pm, and so on. If no time is set, or if the time exceeds 23, the agent changes Person documents at 12:00 AM.
DEFAULT_INDEX_LIFETIME_DAYS
Specifies a default lifetime for indexes associated with database views. Without this setting in the NOTES.INI file, the default index lifetime is 45 days. Specifying a default index lifetime is a space
saving feature since the index associated with the view is automatically purged when the index is inactive for the specified number of days. The Indexer server program handles this task.
MAILTIMEOUT
Specifies the number of days after which the Notes server returns undelivered mail to the sender. Without this setting in the NOTES.INI file, undelivered mail is returned after one day. Increase this setting when you have a lot of mail returned in one day or you are sending mail to foreign domains. For a timeout period of less than one day, use MailTimeoutMinutes.
MAILLOWPRIORITYTIME
Routes Low priority mail during the specified time. Without this setting in the NOTES.INI file, the Notes server routes Low priority mail only between 12:00 A.M. (midnight) and 6:00 A.M. Set the time range using 24
hour format. You must specify a time range for this setting; Notes won't deliver Low priority mail if only one specific time, such as 4:00, is listed. For example: MailLowPriorityTime=21:00-23:00
MEMORY_QUOTA
(OS/2 only) Specifies the maximum number of megabytes of virtual memory that Notes is permitted to allocate. This gives administrators more control over the growth of the swap file. The minimum value is 4MB. Without this setting in the NOTES.INI file, Notes uses all available memory.
NO_FORCE_ACTIVITY_LOGGING
Prevents the Statlog task from automatically enabling activity logging on all databases: 0 - Prevent logging. 1 - Enables logging. Without this setting in the NOTES.INI file, the server's Statlog task enables the Record Activity option for every database on the server and adds 64KB to each database. Even when activity is not being recorded for the database, the information is still recorded in the server's Notes Log file.
PHONELOG
Specifies whether phone calls are written to the Notes log:
0 - Does not log phone calls to the Notes log file.
1 - Logs all calls except those that fail because of a busy signal.
2 - Logs phone calls to the Notes log file.
SWAPPATH
Specifies the location of the server's swap file. If this setting exists in the NOTES.INI file, the Statistics Reporter uses this location for the statistic 'Server.Path.Swap.' Without this setting in the NOTES.INI file, Notes looks for the swap file in C:\OS2\SYSTEM for the location.
UPDATE_SUPPRESSION_LIMIT
Overrides the Update_Suppression_Time setting if a certain number of duplicate requests to update indexes and views are received.
UPDATE_SUPPRESSION_TIME
Specifies the delay time between full text index and view updates, even if immediate indexing is scheduled as a server task.
AMGR_WEEKENDDAYS
When agents use the On Schedule trigger, the Run on Schedule Options box is available and includes the 'Don't run on weekends' checkbox option. When you select this option, the agent will not run on weekend days. The default value for weekend days is Saturday (7) and Sunday (1). You can specify any number of days, up to 7. For example, AMgr_WeekendDays= 1,6,7 will result in those agents (with 'Don't run on weekends' option checked) not to run on Sundays, Fridays, and Saturdays.
MAILDISABLEPRIORITY
When set to 1, the MailDisablePriority parameter causes the Mail Router to ignore the DeliveryPriority of mail messages. This has the effect of making all messages appear to be of 'Normal' delivery priority.
REPORTUSEMAIL
Allow the Report server task to use the mail Router to send statistics to another server in the same domain: 1 - Use the Mail Router. 0 - Use the statistic delivery API call.
REPL_PUSH_RETRIES
Specifies the number of times that you attempt to replicate (push) to a R3 destination server. When you get the message 'Database is currently being replicated or copied elsewhere,' use this setting to make sure the replication occurs. You usually see this message when several Notes users are replicating to the same replica copy of a database on the same R3 server over slower communication lines. R4 servers allow for simultaneous replications. The default retry wait period of 30 seconds cannot be changed.
REPL_ERROR_TOLERANCE
Specifies the number of replication errors of the same type that can occur between two databases before the server terminates replication.
NAME_CHANGE_EXPIRATION_DAYS
Specifies the number of days a ChangeRequest may remain active. The minimum is 14 days; the maximum is 60 days; the default is 21 days.
NETWARENDSNAME
Defines the NetWare Directory Services (NDS) Object Name that this Notes Server will be known as in the NDS tree. Used by the SPX PortDriver in support of NDS. The NDS Object Name must be specified as the fully qualified distinguished name. For example NetWareNDSName=CN=Sales.O=Acme
NWNDSUSERID
Defines the NetWare Directory Services (NDS) User ID that a Notes Server will use to login into the NDS tree. The NDS User ID must be specified in NDS syntax as a fully qualified distinguished name. For example 'NWNDSUserID=CN=NotesAdmin.O=Acme'. This is an optional parameter used by the SPX PortDriver to support NDS in unattended environments. If not specified the administrator must login to NDS before starting the Notes Server.
NWNDSPASSWORD
Defines the NetWare Directory Services (NDS) password that a Notes Server will use to login into the NDS tree. This is an optional parameter used by the SPX PortDriver to support NDS in unattended environments. If not specified the administrator must login to NDS before starting the Notes Server. This variable must be used in conjunction with NWNDSUserID. NOTE: The password is not going to be encrypted.
LOG_VIEW_EVENTS
When set to 1, an informational message is written to the console and Notes Log indicating the name of the database, view name and reason why a view is being rebuilt. The ini variable may be dynamically toggled on or off.
SHOW_TASK_DETAIL
When set to 1, the show task command adds the name of the currently executing transaction to the session message. The ini variable may be dynamically toggled on or off.
LOG_AGENTMANAGER
Specifies whether or not the start of agent execution are included in the Log file and shown on the server console: 0 - Do not log agent execution events. 1 - Log agent execution events.
AMGR_NEWMAILEVENTDELAY
Specifies the delay time (in minutes) that Agent Manager schedules a new mail triggered agent after a new mail is delivered. The default value is 1 minute.
AMGR_NEWMAILAGENTMININTERVAL
Specifies the minimum elapsed time (in minutes) between execution of the same new mail triggered agent. The default value is 0.
AMGR_DOCUPDATEEVENTDELAY
Specifies the delay time (in minutes) that Agent Manager schedules a document update triggered agent after a document update event. The default value is 5 minutes.
AMGR_DOCUPDATEAGENTMININTERVAL
Specifies the minimum elapsed time (in minutes) between executions of the same document update triggered agent. The default value is 30 minutes.
BILLINGCLASS
For use with Notes Advanced Server only:
Specifies one or more of five classes of billing activity:Database, Document, Mail, Replication, Session, Agent The Notes billing process tracks only the Notes activities that you specify in the BillingClass variable.
BILLINGSUPPRESSTIME
For use with Notes Advanced Server only:
Specifies the frequency of record stamping during session and database activities if session and database activities are specified for the BillingClass variable. If you want billing data collected more frequently, shorten the default value of 15 minutes. To minimize the billing workload on your system, lengthen the value.
BILLINGADDINWAKEUP
For use with Notes Advanced Server only:
Specifies how often the billing add-in task runs. For example, BillingAddinWakeup=300 specifies that the billing add-in task will wake up every five minutes (300 seconds) to process the billing records in the billing message queue. The BillingAddinWakeup value must be greater than the value you specify for BillingAddinRuntime."
BILLINGADDINRUNTIME
For use with Notes Advanced Server only:
Specifies how long the billing add-in task runs. For example, BillingAddinRuntime=30 specifies that the billing add-in will process billing records for 30 seconds. After 30 seconds the billing add-in stops processing records, even if there are additional records to be processed. The BillingAddinRuntime value must be less than the value you specify for the BillingAddinWakeup variable."
KILLPROCESS
For use with Notes Advanced Server only:
Enables or disables the shutdown procedure that cleans up all processes related to a partitioned server in the event of an unplanned server shutown. In order to perform the cleanup, the setting KillProcess=1 must be set in the server's NOTES.INI file prior to the startup of the first process."
MAILCLUSTERFAILOVER
For use with Notes Advanced Server only:
Enables or disables Mail Router request failover. If users have replicas of mail files located on multiple servers, you can set this variable in the NOTES.INI file of all Notes R4.X servers in the domain to enable users to receive mail from servers within and outside the cluster when their home servers are down.
SERVER_AVAILABILITY_THRESHOLD
For use with Notes Advanced Server only:
Specifies the acceptable level of system resources available to a server. By setting this value for each server in a cluster, you determine how the workload is distributed among cluster members. Valid values are 0 to 100. Notes compares this value against a server's availability index; when the availability index falls below the Server_Availability_Threshold value, the server becomes BUSY. A Server_Availability_Threshold value of zero (0) indicates a fully available state and workload balancing is disabled; a value of 100 indicates the server is BUSY (since the availability index can never be greater than 100) and the Cluster Manager then tries to redirect user requests to more available cluster members.
SERVER_MAXUSERS
For use with Notes Advanced Server only:
Sets the maximum number of users that are allowed to access a server. When this number is reached, the server state becomes MAXUSERS, and the server stops accepting new Database Open requests. Use the following values to set this variable: "
0 - Unlimited access to server by users
any number - Restricts number of active users to the number you specify
SERVER_RESTRICTED
Enables or disables server access to a server. If access is disabled, the server does not accept new Open Database requests.
Use the following values to set this variable:"
0 - Server access is unrestricted
1 - Server access is restricted for the current server session. Restarting the server clears the setting.
2 - Server access is restricted persistently, even after server restarts.
Select either clear the value or the parameter. Before clearing a parameter, you must clear it's value first and insure that all servers have replicated the cleared value.
The list above will not reflect this until you hit OK to close the Server Configuration Settings dialog box. You may clear other values before closing. This message will only appear once per session.
You can upgrade from the version of Notes you are running to the latest version of Notes in two easy steps. The first step is to replace the Notes software on your computer with the latest Notes software.
