The Problem
The greatest challenge in attaining ISO 9000
Registration is creating procedures and developing
the necessary documentation, according to a survey of
2500 Registered Companies.

Most companies spend only 20% of their time designing
and up to 80% of their time writing quality system
documentation, resulting in ineffective systems
described by poorly written documents. What's more,
statistics show that greater than 60% of companies
fail their first registration assessment. EtQ 9000 Maps

The Solution
Developing an ISO or QS 9000 quality system while
running a business is no easy feat. EtQ 9000 Maps
streamlines the process by helping you design and
document your quality system using a technique called
process mapping. A process map is a picture of how
people do their work. A process map can be created
to illustrate any series of activities, whether they
are in the office or on the production floor. A good
process map is the foundation for effective quality
improvement efforts. It provides an easy-to-visualize
way for people to analyze and agree on the most
efficient routes under various circumstances.
EtQ 9000 Maps uses specially designed flowchart
templates to completely map the core processes
required for an ISO or QS 9000 quality system - Why
reinvent the wheel? Process mapping drastically
reduces the time required to document the multitude
of information needed to demonstrate ISO or QS 9000
compliance. And using EtQ 9000 Maps ensures that the
requirements of ISO or QS 9000 are understood and
addressed.
Each map template outlines the input, responsibilities,
steps to be taken, records to be kept and output of
a particular process. But EtQ 9000 Maps goes a step
further. Each Map is linked showing the interrelation
of all the processes that together make up the quality
system. Moving from one map to the next, and then
back, is as easy as clicking a button.
Using EtQ 9000 Maps
When executives embark on a quality improvement
effort, whether ISO or QS 9000 or another methodology,
they typically identify large processes for
examination - that's the way they see things. The
preferred method is to begin with smaller, micro
processes which, when improved one by one, add up to
significant cross-functional macro improvements.
Optimizing quality improvement efforts begin with
breaking down broad ideas for improvement into smaller,
more manageable parts.
EtQ 9000 Maps is a tool designed to help you define
and fully document the micro processes that make up your
ISO or QS 9000 quality system. To optimize its power
EtQ 9000 Maps should be used by an ISO or QS 9000
implementation team as part of an orchestrated plan
to develop specific process maps. These maps, when
complete, will collectively define your ISO or QS 9000
quality system.
A process is defined by the person who provides the
input (the supplier), the person who creates the
output (the manufacturer) and the person who receives
the output (the customer). The best process maps are
created by cross functional teams that have
responsibility for the entire process - from start to
finish.
EtQ 9000 Maps identifies the crucial micro processes
that must be addressed when developing an ISO or QS 9000
quality system and demonstrates their appropriate level
of detail. Using an EtQ 9000 Maps template as a
starting point, the people that know the process best
can work together to analyze, improve and formalize
their process. Once each process map is complete,
developing well organized, concisely documented
procedures is a snap.
Documenting a Quality System
In basic terms, a documented quality system is
composed of four tiers. The top tier, or quality
manual, summarizes the quality system by answering the
question, why. Tier two, the quality system
procedures, define the structure of the entire system
by answering the questions, who, what, when and where.
The bottom tiers, work instructions and forms, provide
very specific details on how each part of the system
works.
Experience shows that defining and developing the
network of interrelated quality system procedures
needed to comply with ISO or QS 9000 is the most
important step in developing a quality system that
adds value and makes sense. The procedures form the
bridge between policy and reality. By developing
sound procedures first, the rest of your quality system
will flow naturally. The policies simply summarize the
procedures. And each procedure will define where work
instructions are needed. Everyone knows that developing
procedures can be an overwhelming task, this is where
EtQ 9000 Maps comes to the rescue. The 21 crucial process
map templates provided form the hub of a quality system.
Starting with an EtQ 9000 Maps template, a team will
customize it to address their work flow. Once the map
is complete, they will use it to write a quality
system procedure describing the process. Mapping the
process first not only saves time and effort but it
ensures that complete, clear, easy to follow quality
system procedures are the result. Mastering EtQ 9000
Maps allows the implementation team to gain the
technology and momentum to rapidly develop the
remaining process maps needed to close the loop on the
quality system.
Using the Templates
EtQ 9000 Maps includes 21, linked, crucial process map
templates that can be edited using ABC FlowCharter
4.0. For more information on editing Maps, refer to
the ABC FlowCharter User's Guide.
Each template has five sections, Map, Referenced Map,
Definitions, Prerequisites and Associated Maps which
are described below:
Map - Each map is made up of four shapes to illustrate
the process. Rounded rectangle (terminal), rectangle
(process), diamond (decision) and circle (connector).
Directly outside each shape is an example of the job
position commonly responsible for that task. Double
clicking on shadowed shapes that reference other maps
will bring you directly to that map. To return to
the map that you came from, simply double click its
button in the Referenced Map or Associated Map
section. Moving from one map to the next, and then
back, is a snap.
Referenced Maps - A list of all the maps referenced
in the open map. Double clicking on a linked shape
will bring you directly to the map indicated. Only
the shadowed maps are presently available. Additional
Maps will become available as you develop the quality
system and form links to new maps. For more information
on building links between maps, refer to the ABC
FlowCharter User's Guide.
Definitions - Definition of any unique term(s) or
abbreviation(s) used in the map.
Prerequisites - Identifies supporting items that are
needed to implement the process illustrated by the
map. Prerequisites could include forms, reports and
records, just to name a few.
Associated Maps - A series of shadowed, rectangular
shapes that allow you to go to all of the Maps that
are linked to the open map. Double clicking on
shadowed shapes will bring you directly to the map
indicated.
