@a-head@<:#280,9025>Document Sharing Application
<+@><:#1200,9025>You must have Lotus Notes to use the Document Sharing Application. Document Sharing is a special Lotus Notes database that enables you to create, store, and track documents in a central location. Document Sharing automatically puts the author/editor into th
e right application with the right format, allows many people to access the document at the same time, and keeps track of who has accessed the document and what they did.

@a-head@<:#280,9025>Notes/FX Enhancements
<+@><:#240,9025>Following is information about the Notes/FX enhancements.
<:#2160,9025>Ami Pro 3.1 offers three implementations of Notes/FX. The first level is the user-defined bi-directional exchange of data between a Notes field and an Ami Pro bookmark within the body of the word processing document. The second level is the application-defi
ned Doc Info fields where Ami Pro passes to Notes information such as the number of pages or edits associated with a document. The third implementation is user-defined Doc Info fields where up to eight fields in Ami Pro could store information passed betwee
n Notes and Ami Pro. This information is stored at the overall document level, not within the body of the document. This final option is very necessary for applications, such as contract management, where you may want to store information, such as contract
status or region, with the document but not within the body of the document.
<:#480,9025>Ami Pro 3.1 offers some significant enhancements of FX which brings Ami Pro further in its drive to be the best word processor for Notes.
<:#240,9025>The four key FX enhancements to Ami Pro 3.1 are:
@bulleted list@<:#480,9025><:B<*1>> The eight user-defined Doc Info fields are now defined per document as opposed to eight fields globally defined in Ami Pro,
@bulleted list@<:#240,9025><:B<*1>> FX fields can now be placed within an Ami Pro document more than once,
@bulleted list@<:#480,9025><:B<*1>> Ami Pro 3.1 has been fine tuned to exploit the advantages of Notes/FX 1.1, including faster launching and more efficient document handling,
@bulleted list@<:#240,9025><:B<*1>> Three new implementations of Notes Field Exchange.
<:#480,9025>The new implementations of Notes/FX offer powerful new possibilities in developing Notes applications with Ami Pro.
@b-head@<:#280,9025>Doc-Level Variables
<:#1440,9025>Ami Pro 3.1 greatly extends the 8 field limit of the user-defined Doc Info fields by adding Doc-Level Variables. This new option allows Notes developers to create as many document level fields as necessary. These fields are then easily shared between Ami Pr
o and Notes through the powerful macro language of Ami Pro. This additional implementation offers a dramatic new degree of controlling Notes applications using Ami Pro. Now, everything from controlling the text placed in a document to the actual behavior of
the document itself can be driven from within Notes.
<:#1200,9025>This option delivers more power and greater flexibility for the Notes developer. Essentially, it allows Notes to pass information directly to an Ami Pro macro which can then, in turn, trigger a number of behaviors that can be associated with the document. T
he results of a macro can be passed back to Notes to trigger a Notes process. The developer can now set and control the word processing environment from within Lotus Notes.
This integration level is critical to develop truly robust applications tying together Notes and the word processor as the editor.
<:p<* >>
<:#240,9025><+">Technical Backgrounder<-">
<:#1440,9025>Through the Ami Pro macro language, variables can be declared for an individual document. These variables are stored with the document. You can have an unlimited number and they can be 300 characters long each. These variables can participate as Notes/FX
fields, so they can be declared programmatically from within Ami Pro, used in Notes forms and views, and can be updated bidirectionally. See the Ami Pro Help, Macro Docs information on SetDocVar, and GetDocVar to use these fields with Ami Pro macros.
@b-head@<:#280,9025>Macro field passing
<:#720,9025>A Notes field can now be defined to hold the name of an Ami Pro macro to be run upon launching the document. This offers the ability for Notes to determine what process, or macro, Ami Pro will launch dependent upon actions that occur within Notes (user inpu
t, calculated formulas, external lookups).
<:#1200,9025>Let's use the example of creating our contracts with Ami Pro with the process being managed through Notes. Each time the document is opened I may want a different macro to run depending upon the "status" of the document. If, for instance, the document is in
"edit" mode, I may want Ami Pro to automatically turn on revision marking mode. If Notes indicates the document is "completed", maybe I want a print macro to automatically run.
<:#480,9025>This is another example of how Ami Pro has been modified to offer centralized control of the Notes object.
<:#240,9025><+">Technical Backgrounder<-">
<:#480,9025>The field name in Notes that stores the Ami Pro macro name may be a defined value or a calculated field. It must be called __FXMACRO, where the first two characters are underscores.
@b-head@<:#280,9025>Five Custom Fields
<:#1200,9025>Ami Pro 3.1 added five automatic field names that may be passed through Ami Pro macros. When a Notes form contains fields with the names __FXPARAM1 through __FXPARAM5, these fields are readable and writeable by an Ami Pro macro. This allows you to more eas
ily transfer information from a form to a macro. The difference between these 5 fields and Doc-Level Variables is that they are automatically available even without declaring a doc-level variable beforehand.
<:#240,9025><+">Technical Backgrounder<-">
<:#480,9025>The field names must be __FXPARAM1 through __FXPARAM5, where the first two characters are underscores.
@a-head@<:#280,9025>Electronic Mail Integration
<:#480,9025>Ami Pro now works with any electronic mail package that is either VIM (Vendor Independent Messaging) or MAPI (Messaging Application Programming Interface) compliant.
<:#720,9025>Upon choosing File/Send Mail, you can compose a new mail message and attach a file to a mail message. You can also address your message by selecting from a list of names the people to whom you want to send the mail message.
<:#960,9025>In addition, you can reply to an Ami Pro mail message through Lotus Notes and cc:Mail and then save your response in Ami Pro. The Send Mail feature allows you to select to reply to everyone listed in the address as well as keep a copy of the original messag
e with your reply. You can also forward an Ami Pro mail message to a person you specify in the address.
<:#480,9025>For information about the Send Mail feature, refer to "Sending a mail message" and "Replying to Ami Pro mail messages" in the
<+">Read This First<-"> booklet included in your Ami Pro package.
<:#720,9025><+!>Note<-!> If you are using a MAPI compliant electronic mail package, you choose File/Send Mail, and you receive the error message "Mail server not responding," you may have had Lotus Notes or cc:Mail installed on your computer system at one time. Edit yo
ur WIN.INI file and remove the line SMI=1.
@a-head@<+@><:#280,9025>Filter Information
<+@><:#480,9025>Ami Pro now supports the following filters for importing and exporting files. Ami Pro uses the "file-to-file" conversion for these filters.
<+@><:#960,9025>When opening a document from one of the above formats, Ami Pro converts the document to an Ami</`>Pro document with the same name and a ".sam" extension. For example, if you choose File/Open and select TEST.WPD as the file to import, Ami Pro converts the fi
le to \AMIPRO\DOCS\TEST.SAM.
<+@><:#720,9025>If an Ami Pro document with this name already exists in the directory, Ami Pro displays the message "test.sam already exists. Do you want to overwrite it?" You can choose No, then specify a new file name.
<+@><:#960,9025>If the Word for Windows 6.0 or WordPerfect 6.0 document is really a Word for Windows 2.0 or WordPerfect 5.x file, Ami Pro attempts to import the document using the existing Word for Windows 2.0 or WordPerfect 5.x filters. In this case, Ami Pro converts the
document as an "Untitled" document.
@b-head@<+@><:#280,9025>Exporting
<:#960,9025>You can export a document that is "Untitled" and contains text. Ami Pro saves the document using the same name specified for the export and a ".sam" extension. For example, if you export an "Untitled" document to Word for Windows 6.0 with the name TEST.DOC,
Ami Pro saves the Ami Pro document as \AMIPRO\DOCS\TEST.SAM and converts this file to TEST.DOC.
<:#720,9025>If an Ami Pro document of the same name already exists in the directory, Ami Pro displays the message, "test.sam already exists. Do you want to overwrite it?" You can choose No, then specify a new file name.
<:#480,9025>If the document you are exporting already exists in the export format, Ami Pro displays the message, "TEST.DOC already exists. Do you want to overwrite it?" You can choose No to abort the export.
<:#480,9025>You can also export a titled document that is saved. Ami Pro converts the document and does not create another Ami Pro document for the file-to-file conversion.
<:#480,9025>If the document is titled but you edited the file since you last saved it, Ami Pro saves the document using the same name specified for the export and a ".sam" extension.

@a-head@<+@><:#280,9025>Fonts - Understanding the AMIFONT.INI file
<+@><:#720,9025>The AMIFONT.INI file is located in the WINDOWS directory and contains lists of fonts that Ami Pro can use to display text on the screen. The file is divided into sections, with each section representing a group of screen fonts.
<+@><:#960,9025>The AMIFONT.INI file automatically lists six sections. Five sections correspond to the font families provided with Windows: Roman, Swiss, Modern, Script, and Decorative. The sixth section represents a group for fonts not listed in any other group. In most c
ases, these six groups will provide Ami Pro with correct screen fonts for any printer fonts you use in a document.
<+@><:#480,9025>Ami Pro uses the information in the AMIFONT.INI file only when you select a font that is available as a printer font but is not available as a screen font. This can occur when:
@bulleted list@<+@><:#240,9025><:f,2Symbol,></w><:f> There is no screen font with the exact same typeface name as the printer font.
@bulleted list@<+@><:#240,9025><:f,2Symbol,></w><:f> A matching screen font cannot be scaled to the point size you specified.
<+@><:#480,9025>If either situation exists, Ami Pro checks the AMIFONT.INI file to see if the printer font is listed in any group.
@bulleted list@<+@><:#480,9025><:f,2Symbol,></w><:f> If the printer font is listed in a group, Ami Pro chooses a screen font that is within the same group and currently available.
@bulleted list@<+@><:#480,9025><:f,2Symbol,></w><:f> If the printer font is not listed in any group, Ami Pro chooses a screen font that is within the matching Windows font family group.
<+@><:#960,9025>For example, your printer supports a Palatino font, but you do not have a matching Palatino screen font. Ami Pro chooses one of the fonts listed in the Roman group, such as Tms Rmn, as the screen font for Palatino. Ami Pro cannot choose Caslon Open Face for
Palatino because that font is not listed in the Roman group.
<:#960,9025>If you are using unusual printer fonts, you may need to add a group to the AMIFONT.INI file so Ami Pro will choose a compatible screen font. For example, your printer supports a downloadable Bodoni font, but you do not have a matching Bodoni screen font. Yo
u want to make sure Ami Pro chooses Goudy as the screen for Bodoni. In the AMIFONT.INI file, type the following lines:
@1st lev para@<+@><:#240,9025><[>Group#] - where # equals the next consecutive number after the last existing group number.
@1st lev para@<+@><:#240,9025>Font1=Bodoni
@1st lev para@<+@><:#240,9025>Font2=Goudy
<+@><:#240,9025>Ami Pro chooses the Goudy screen font when you select Bodoni as the desired font for your text.
<+@><:#240,9025>Follow these guidelines if you need to modify the AMIFONT.INI file:
@bulleted list@<+@><:#720,9025><:f,2Symbol,></w><:f> If you want to force Ami Pro to choose one of several screen fonts when you use a particular printer font, create a new group and list both the printer font and the desired screen fonts in that group. The order of the fonts does not ma

@bulleted list@<+@><:#480,9025><:f,2Symbol,></w><:f> If you want to force Ami Pro to choose only one screen font when you use a particular printer font, create a group that contains only one printer font and one screen font.
@bulleted list@<+@><:f,2Symbol,></w><:f> Type the font names exactly as they appear in the Ami Pro Font list box, including spaces, but excluding capitalization.<:p<* >>
@bulleted list@<+@><:#240,9025><:f,2Symbol,></w><:f> Do not specify the same font name in more than one group.
