Database structure
The 1-2-3 file that forms the basis for this shared file is stored as an attachment to the first document in the Main view of the database. All other documents in the database correspond to named ranges, versions, and scenarios.
The shared file document contains the
creator name (the person who first created a version or scenario in the .WK4 file), name of last modifier, creation date, last modification date, the name of the person who shared the file (the person who converted the file from a .WK4 file to a .NS4 file), and the date shared
Named range documents contain the range name and the range extents, i.e. 3 rows, 2 columns, 1 sheet.
Version documents contain the version name, range name, comment, creator name, name of last modifier, creation date, and last modification date.
Scenario documents contain the scenario name, comment, included versions,
creator name, name of last modifier, creation date, and last modification date.
What you can do using 1-2-3
Use 1-2-3 Release 4 to perform all data entry and editing in shared files. For more information about creating and using shared files, search on "Shared files" in the 1-2-3 online Help system.
What you can do using Notes
You use Notes to control access to shared files. For more information about access control, see Notes Help.
You can also use Notes to see information about contributions to the shared file, but you cannot see the spreadsheet data contained in the contributions. For example, you can use Notes to see whether the contributions you are waiting for have been entered, but you must use 1-2-3 to see the data in those contributions.
In Notes, you can see the following information about versions and scenarios in a shared file: version and scenario names, comments, contributor and modifier names, dates, and times.

The Main view contains the shared file document, followed by range name documents and version documents.

Using different Notes User IDs to access shared files on the same workstation
If you share your Notes workstation with another user by using different Notes User ID files and Desktop files, and you want to access shared files, you need to maintain two versions of the file 123NOTES.SUI, which Version Manager uses to store your individual settings for shared files. Think of this file as being like a Desktop file for the shared files you use.c
Using different versions of Notes in the same organization
There are some new features in Notes Release 3 that are not understood by Notes Release 2.1 (and earlier) servers or workstations. If you run Notes Release 3 with earlier versions, you should read this section.
Notes Release 3 shared files (.NS4) are more "shrinkable." This is a new Release 3 feature that requires an .NS4 on-disk format change. As a result, local shared files created with Release 3 cannot be viewed using earlier versions of Notes, unless the shared file is copied (using Notes File Database Copy) with the new .NS2 extension and then changed to .NS4.
This change affects only shared files created on your local disk drive, not shared files created on Notes servers. This change also affects the 123NOTES.SUI database that Version Manager uses to store your individual settings for shared files (unread markers, and so on).
If you create a .NS4 file on a local drive using Notes Release 3 and want to use it in Notes Release 2.1, use the File Database Copy command in Notes Release 3 to copy the file to a new file with the .NS2 extension. Then change the extension (using DOS or the Windows File Manager) to .NS4.
To use a 123NOTES.SUI database from a Notes Release 3 workstation in Notes Release 2.1, use the
File Database Copy command in Notes Release 3 to copy the file to a new file with the .NS2 extension. Then change the extension (using DOS or the Windows File Manager) to .SUI. Or, delete the 123NOTES.SUI file. You will lose your settings for shared files, but you will not lose any data.
