Quattro Pro lets you work collaboratively on a network. For example, you can share a notebook with other users and compare two different notebooks. You can also review a notebook, accepting or rejecting the changes that have been made.

Sharing notebooks
Some projects require input from several sources. Sharing a notebook is a convenient way of giving multiple users access to a single notebook. All users can make changes to cell data, and Quattro Pro records what each user enters in each cell.
Quattro Pro provides setup options to facilitate notebook sharing. For example, you can determine how notebook changes are updated, specify which changes will display in history during updates, and choose the number of days Quattro Pro keeps changes in its history.
If two users have a notebook open at the same time, a conflict arises if one user saves changes and the second user attempts to edit the data that has just been saved. You can resolve such conflicts when they arise.
To share a notebook
1 Click Tools Workgroup Sharing.
2 Enable the Enable notebook sharing check box.
3 In the Updating changes area, enable one of the following options:
When saving the notebook-changes to the notebook update only when saved by a user.
Every ## minutes-changes to the notebook are automatically updated at the specified interval.
If you want to specify how long changes are kept in history, enable the Keep change history for ## days check box and specify an interval. If you disable this check box, any changes you make are permanent and are not recorded in the change history.
4 In the Resolving conflicts area, enable one of the following options:
Ask me which changes to keep-Quattro Pro prompts you when a conflict has arisen between data you have entered in a cell and data previously entered (and saved) by another user during your session.
Keep the changes being saved-Quattro Pro accepts the last changes saved when two users are using a notebook at the same time.
Notes
You should save the notebook in a shared folder that has full read and write access to allow other users to access the file.

To resolve a conflict in a shared notebook
1 In the Conflict resolution dialog box, note the conflicting data.
This dialog box automatically displays when a conflict occurs.
2 Click one of the following:
Accept mine-accepts your change
Accept other-accepts the other user's changes
Keep original-reverts to the original cell data
Accept all mine-accepts all of your changes, and rejects the other user's
Accept all other's-accepts all changes previously made by another user
Tip
If you want to specify that, in the event of a conflict, the changes made by the last user to save the notebook take precedence over any changes made and saved previously, click Tools Workgroup Sharing, and enable the Keep the changes being saved check box.
Comparing notebooks
Quattro Pro lets you compare data between two notebooks, cell by cell. Comparing notebooks lets you quickly discover how data in one notebook differs from data in another notebook. For example, if a notebook lists wine sales by month for one year, and a second notebook lists wine sales by month for a different year, you can compare these two notebooks to discover sales trends.
To compare two notebooks
1 Click File Open.
2 Choose the drive and folder where the first notebook is stored.
3 Double-click the filename.
4 Click Tools Workgroup Compare notebook.
5 Choose the drive and folder where the second notebook is stored.
6 Double-click the filename.
Notes
Cells that differ between the two notebooks have comments added to them that explain the change. Point to these cells to show the change comments.
You cannot perform a comparison if both notebooks are open.
Reviewing notebooks
You can access commands to use in the review process. For example, you can accept all changes made by a particular user and discard all changes made by another. Reviewing a shared notebook allows you to restore original data that was changed after the notebook was shared. You can then review a shared notebook to determine which of the changes to keep or discard.
As well, you can choose whether cell comments display automatically, or only when you position the pointer over a comment cell.
To access review commands
1 Click View Toolbars.
2 Enable the Review check box in the Toolbar list.

Note
Take care before choosing Accept, Reject, Accept all, or Reject all. When you click any of these buttons, the change history is discarded.
To review a shared notebook
1 Click File Open.
2 Choose the drive and folder where the notebook is stored.
During a review, edited cells are tagged by a red triangle in the upper-right corner. When you point to a tagged cell, a comment displays listing the history of changes, and you can choose which revision to accept.
