- MANAGEIT is a IBM Lan Server utility for administering of Home Directories. It
- provides access and regulation to guarantee "the space is out there".

- MANAGEIT, an IBM Lan Server utility for administering home directories, can
- assist yoy in insuring "the space is out there". Administrators now have a
- utility to access the content of users' home directories and inform them of
- files that are inappropriate, illegal or vintage.

- MANAGEIT accesses the content of each user's home directory. Analysis provides
- for selection by size, date or name. Memos or networked messages with the
- administrator's suggested list of inappropriate files can be generated for each
- user requesting removal.

- Clean up confusion and enforce limits. Take control of home directory
- expansion and abuse with MANAGEIT and guarantee "the space is out there".

- Home directories provide an extension of hard disk capability for LAN users.
- For diskless machines the entire resource. machines. Disregarding this single
- exception what are the normal uses?
-
- o Archive storage
- o Program and application storage
- o Miscellaneous files considered temporary.
- o Shared data
-
- This storage space is not infinite and in most cases needs to be managed to
- contain it. Prior to release 4.0 of the IBM LAN SERVER there was no ability to
- fix a limit that controlled excessive utilization. What are the abuses that
- may be occurring in assigned home directories?

- o Archive storage - Aging may produce a fine wine. Data on the other hand may
- become useless or can even adversely effect good business decisions.
- Everyone has a heard stories of business loses caused by invalid data.
- o Program and application storage - The issue is licensing. If you are required
- or are attempting to limit the usage of "extra" copies of licensed programs
- the concern is how many are there without your knowledge?
- o Miscellaneous files considered temporary - Temporary files have a habit of
- becoming permanent. The best example is an installation of an application
- that does not "clean-up" after itself. Another example is the January 1992
- monthly sales extract that is still around years later.

- ΓòÉΓòÉΓòÉ 4. The big picture: ΓòÉΓòÉΓòÉ

- MANAGEIT is a series of interelated programs to collect and process the
- information about your users home directories and their content. MANAGEIT also
- provides for automated operations by providing a command line interface for
- selected programs. All programs except NOTIFY have been provided with this
- interface.

- ACCESS - provides for the collection of home directory detail, home directory
- print and user list print.
-
- BILL IT - provides for printing a register and the exporting of billing data.
-
- DUPLICATES - provides for printing the summary and full reports on duplicate
- files.
-
- FILTER - provides for creating a EXTRACT file using a pre defined filter
- profile.

- ΓòÉΓòÉΓòÉ 5. Access: ΓòÉΓòÉΓòÉ
-
- Access requires that you be logged onto a server as an administrator. Its main
- function is to access the server through API calls to provide a list of users
- who have home directories and the files they contain. The functions provided
- are:
-
- IBM CHKSTOR Utility
-
- You may execute the IBM Lan Server Utility CHKSTOR. It will provide a listing
- of all users who have a home directory with a limit set. If you have chosen not
- to set limits there will be no report.
-
- This facility is for your convenience. MANAGEIT does not require any data
- provided by this utility.
-
- To execute CHKSTOR by server:
-
- 1. Logon to your Lan Sever as an administrator.
-
- 2. Select a server. By selecting the Domain Controller you will access all
- users.
-
- 3. Press the IBM CHKSTOR Utility button. During the process a the file
- <servername>.CHK is created. It contains the report created by this
- utility. You may access this report at any time by opening the DAT folder
- and double clicking on the <servername>.CHK file you desire. This will
- cause the E-Editor to be loaded with the report.

- Access User List
-
- Any analysis of home directory content must begin with a list of users who have
- home directories. To obtain the access list:
-
- 1. Logon to your Lan Sever as an administrator.
-
- 2. Select a server. Select the Domain Controller to obtain information if you
- have multiple domains.
-
- 3. Press the Access User List button. During the process the file
- <servername>.USR is created. It contains a list of all defined users.
- During this process you will be asked if you wish to access detail
- information for each user. By selecting the YES option a detail file
- <servername>.DTL is created. This file will be used for later analysis. If
- your home directories' definitions change infrequently you may reuse the
- the user information just created by simply selecting Reaccess User Detail
- to refresh the detail information for analysis. You may edit the user list
- to break it into departments or function fo easier management.

- Reaccess User Detail

- The analysis of home directory content requires a detail list of their content.
- To Reaccess a detail list:
-
- 1. Logon to your Lan Sever as an administrator.
-
- 2. Press the Reaccess User Detail button. You will be required to select the
- <servername>.USR for the detail required. A detail file <servername>.DTL
- will be created created. This file will be used for later analysis.
-
- View\print User list:
-
- Access User List will create a file <servername>.USR that contains a list of
- all users with home directories. The printed report displays by user the
- assignment, limits, server location, and paths of each home directory.

- View\print user detail:

- The file <servername>.DTL is created when you Access the user list or Reaccess
- User Detail contains information about all the files in users directories. The
- printed report contains the date, size, and name of files located in each users
- Home directory.

- ΓòÉΓòÉΓòÉ 6. Filter: ΓòÉΓòÉΓòÉ

- The Filter program uses the data collected by the Access program. It provides
- the ability to reduce or select files from the users home directory. This
- selection may be by date, size or name. You may delete users or files manually
- before or after the extract is created. The resulting extract is saved for
- reports, billing, or duplicate analysis. You may save your selection criteria
- for future use once you have found the proper mix.

- The left List Box (Original Detail) allows you to remove users or files from
- being considered by the filter process. The EXTRACTED DETAIL list box contains
- the users and their files that have been passed through the filter process.

- Setting Filters:
-
- These critera should be set before the Extract button is pressed. You may retry
- filter criteria multiple times to find the proper combination.
-
- After the proper extract critera has been determined you may save these
- definitions for future use.

- The following filters may be set:
-
- 1. By Date - The date is in MM/DD/YY format and selection can include files
- created before or after that date.
-
- 2. By Size - The size in Bytes of files to be included be greater or lesser
- than this value.
-
- 3. By a 1 to 8 character string - You may select specific strings to include
- or exclude from the extract. All file names for a FAT system are upper
- case. If you use HPFS and are expecting lower case names uncheck the "Upper
- case only" checkbox. The string can occur anywhere in the filename.

- The notify program provides the facility to create/edit text to be sent
- electronically as a note or printed as a letter. The notice may contain a list
- of files that you determined in the FILTER process that should seriously be
- considered for removal from home directory storage.

- The supplied mechanism is for the IBM LAN SERVER. An exit is provided to
- replace this service with another of your choice.
-
- This exit can also be used to place a copy of the note and the file list in the
- users home directory. The supplied REXX programs will move the file and display
- the note to the user prompting them by file to delete each one.

- provision to export billing information for use in another charge back process.

- Find Duplicates will produce a detail or full sorted report. Organized by
- filename, size and date it provides information related to duplicate files in
- Home Directories. You may perform limited editing of the input before the
- report is generated. The sorted data of all user files may be optionally saved
- for your use.

- CHECKIT for IBM LAN SERVER to " take charge". CHECKIT monitors all your
- servers. Continually updated graphics provide a visual display of
- availability. If during the polling process a server becomes inoperative,
- CHECKIT will send a message and/or call your BEEPER. Click a server ICON to get
- the current status of shares, users, and response. Selectively trace any
- server's activity and graph mean response, sessions, shares, bytes transferred,
- print jobs, big buffer and request buffer allocations. Statistical data is
- exportable for use in your favorite spreadsheet or database for further
- analysis or archiving.

- and user activity. Easily analyze them and improve performance and anticipate
- capacity problems.

- WATCHIT automates collection of IBM LAN SERVER capacity and performance
- statistics. WATCHIT will help you quickly and easily improve performance and
- anticipate capacity problems. Collection may be automated at the server or
- manually controlled from your desktop. Thresholds will generate warning
- messages during data collection or notification via generic alerts, NET.ERR
- logging or simple messages. WATCHIT graphs mean response, sessions, shares,
- bytes transferred, print jobs, big buffer and request buffer allocations.
- Graphs direct you to the detail information needed to improve performance and
- expand capacity. IBMLAN.INI parameters can be compared to the collected
- statistics to assist you in making the proper settings. Session analysis
- provides information to determine the number of connections required and file
- opens. Analyze ALIAS access. Statistical data is exportable for use in your
- favorite spreadsheet or database for further analysis or archiving. The
- on-line manual includes operation suggestions to help you "make your server
- serve".
