StarOffice Schedule Context Menu


The StarOffice Schedule context menus offer you context sensitive access to many commands. The following menu commands are available (for tasks, calendar and events in alphabetical order):

Print

The selected event or task will be printed.

Send as E-mail...

Displays a dialog that queries the format to be used and sends the task/ event as e-mail to the participant.

Displayed Columns

In the submenu, click the columns you want to display (or not display). A check mark will be added to the selected columns. Click again to remove the check mark and hide the column.

Icon

Check this command if you want an icon displayed in its own column. Use this icon to Drag&Drop the event/ task.

Owner

Choose this command to display the Owner field in a separate column. The field is read only; its contents cannot be modified.

Complete

Check here to display a column for the Complete field.

Percent Complete

Check here to display a column for the Percent Complete field.

Completion Date

Check here to display a column for the Completion Date field.

Due Date

Check here to display a column for the Due Date field.

Closed

Check here to display a column for the Closed field.

Categories

Check here to display a column for the Categories field.

Priority

Check here to display a column for the Priority field.

Close Date

Check here to display a column for the Close Date field.

Start Date

Check here to display a column for the Start Date field.

Status

Check here to display a column for the Status field.

Title

The title column is always displayed and cannot be removed.

Access Level

Check here to display a column for the Access Level field.

Current Layout

Activates a submenu allowing you to select and define layouts.

This is a list of layouts defined by you (the user) and Sun Microsystems. The current layout has a checkmark. You can activate a different layout by clicking the respective entry in the list.

Default Layout

In order to reset a layout to the original default, select Default Layout.

Group by Categories

This command groups by category.

Group by Participants

This command groups by participants.

Define Layout...

Opens the Task Layout or Event Layout dialog.

Current Filter

In the submenu, click the desired options.

This is a list of filters defined by you (the user) and Sun Microsystems. The current filter has a checkmark. You can activate a different filter by clicking the respective entry in the list.

Tasks in Progress

This filter only displays the unfinished tasks.

Tasks Due Today Only

This filter displays the tasks due today only.

Overdue Tasks Only

This filter displays the overdue tasks only.

Filter Off

Select this option to switch off all filters and redisplay all tasks.

Define Filters...

Opens the Task Filters or Event Filters dialog.

Group

Opens the Group dialog to group the displayed tasks.

Delete

Deletes the selected task or event, or removes the reference or participant from the list after a query has been displayed.

Open

Opens the selected task or event.

Sort by

Opens the Sort by dialog to enable a sorted view of the displayed tasks.

Hide Column

You can hide any of the available columns except the title column.Click the column header and select the Hide Column function in the context menu.

Column Selection...

Opens the Displayed Columns dialog which lists the displayed columns.

Show Events

Select this entry to highlight the days containing events. The Help (under Help - Tips in the menu), shows you the name of the events.

Display Week Numbers

Check here to display the number before each week of the calendar year.

Workweek

Opens the Workweek dialog.

Separate from Recurrence

Removes the selected event from the series of automatically inserted recurrent events in your calendar. You can individually modify or delete any event in the series.

Set as Last Event for Recurrence

Determines the selected event as the last of the recurrent events and deletes all subsequent calendar entries of this series.

AutoSize

This function in the context menu automatically adjusts the event to an optimal column width. If this option is not selected, the area size for the display of the day event does not adjust automatically if changed. You have to use the mouse to drag it to the appropriate width.

Scroll Zone

This option in the context menu of the right scroll bar, opens a submenu in the month view of the event calendar. Select here the scroll zone which should be covered from the top to the bottom. The default scroll zone corresponds to one year.

Use one of the two buttons at the bottom of the scroll bar to move further one unit at a time.

Current Layout

Activates a submenu which can be used to select and define layouts.

A list of the layouts defined by you (the user) and Sun Microsystems is shown here. The activated (current) layout has a checkmark. You are able to change the current layout by checking the desired entry in the list.

Default Layout

In order to reset the modified layout, choose the Default Layout option.

Define Layout...

Opens the Event Layout dialog.

Current Filter

A list of the filters defined by you (the user) and Sun Microsystems is shown here. The current filter has a checkmark. You can change the active filter by clicking the desired entry in the list.

Only Out-of-Office Events

This filter displays only the events taking place outside of your office.

Filters Off

This command switches off all the filters to redisplay all events.

Define Filter...

Opens the Event Filter dialog.

Background

Select here the background display for the event window.

Mark as Working Hours

The selected area will be marked with the corresponding default color for working hours.

Mark as Leisure Time

The selected area will be marked with the corresponding default color for leisure time.

Hide Day

This command hides the currently selected weekday in the context menu column of the event view. This command is not active in the monthly view.

Show Day

This command opens a submenu allowing you to show the previous or next day again.

Previous

The previous day will appear with this command.

Next

The next day will appear with this command.

Show Days

Opens a submenu allowing you to select weekdays which are to be shown in the month overview of the event area. Deselect the days that you do not want in the month overview by removing the marking.

Categories

Opens the Categories dialog allowing you to assign colors to the categories. The corresponding events will be displayed with these colors on the left margin.

Weeks

In the month view of the column header's context menu, you can select the displayed weeks.

Hide Selected Week

Hides the week where the cursor is positioned.

Add Previous Week

Additionally shows the previous week. If the previous week was hidden, it will be redisplayed with this command.

Add Next Week

Additionally shows the following week. If the following week was hidden, it will be redisplayed with this command.

Week begins on

Defines the beginning of the week.

Monday

Select this option if you want the week to begin with Monday.

Sunday

Select this option if you want the week to begin with Sunday.

Weekend

You can open in the column header's context menu (in the month view) to select the weekend (Saturday and Sunday) view:

Hide

Weekends are not displayed in the month overview of the events.

Normal Display

Weekends will be displayed as weekdays.

Compress Horizontally

Weekends will be displayed with the half the width of a weekday.

Compress Vertically

Weekends will be displayed with the half the height of a weekday.

Time Scale

Determine here how many minutes each grid line should represent in the event area. You will find the same submenu in the context menu of the hour headers.

Time Zone

Opens the Time Zone Settings dialog.


Choosing a vCalendar mode


When you send or export an event or a task, a dialog opens where you can choose the compatibility for the selected data.

Default

The data created corresponds to the default as published, for example, under www.imc.org/pdi/.

Netscape Calendar

The data is created in readable form for Netscape Calendar.

Using StarOffice Schedule


An introduction on how to use StarOffice Schedule locally and on a network can be found here. The command options available in the "Event Overview", "Tasks" and "Calendar" windows are additionally described in alphabetical order in the context menu. For further information refer to the User's Guide, in the basics section as well as in the intuitive solutions section.








Printing in StarOffice Schedule


This section contains information on how to print your events and tasks. The AutoPilot can assist you when creating your own design for a print layout.

If you want to print your events or tasks in a particular format, you can use one of the various print templates available. If you print with the icon Print File Directly on the Function bar, a suitable print template will be applied automatically.

The print template used depends on the view you are using. If the day view is active in the event calendar, for example, a day overview will be printed. If you prefer to use another print form, you can select one from the list:

In addition, the AutoPilot Print Forms can be helpful if you decide to create your own print template.


When printing for the first time in StarOffice Schedule, the print templates must first be calculated. This way the defaults in your operating system (language, date format, etc.) will be taken into account. Thus the first time you print may take an extra minute or two.


You can edit the form with your data before printing if you select the Print Preview field in the Print Form dialog. Instead of printing immediately, a StarOffice Writer document is created which you can edit as you wish and then print.


Properties of the Tasks View


Define a new task view or edit its properties. You can name it, specify a server and user and select the filter and style for this view.





View Options


Select here the filters and layouts for this view.

Layout

The list box provides the available (already defined) layout names. Use the Define Layout option to create a new layout.

Filter

Select a filter from the list. Use the Modify button to define a new filter.

Modify

Click this button to define a new filter or layout in this view.


Properties of the Events view


Define a new events view or modify the event properties. You can name it, specify the server to which you want to establish a connection or configure the settings for a scheduler user. You can also specify filters and layouts for this task view.





View Options


Select here the filter and layout for this view.

Events

Define the view for the events here.

Layout

Select the desired layout from the list. Click the Modify button to create a new or modify an existing layout.

Filter

Select the desired filter from the list. Click Edit to define a new filter.

Edit

Click here to define a new layout or a new filter for this view.

Tasks

Define here the view for the tasks in the event view. If you do not select the check box, the task window is not displayed in this view.

Layout

Select here the desired layout from the list. Click the Modify button to define a new or existing layout.

Filter

Select here the desired filter for this view. Click the Modify button to define a new or existing filter.

Edit

Click here to define a new or Modify an existing filter for this view.

Calendar

Check this box if you want to display a calendar in the event view.

Define some of the defaults for StarOffice Schedule.




Working Hours


Define here the beginning and end of the daily working hours. You can select the same working hours for each day or for all days (which are then highlighted in the view).

All

Check this box to set the same beginning and end hours for the whole working period.

Start

Select here the beginning of the working hours.

Ends

Select here the end of the working hours.


Settings


Define the general StarOffice Schedule settings here.

Time zone

Select the default time zone here.

Week begins

Select the day to be used for the beginning of the week in the month and week views.

First Week of Year

Select here the first week of the year.

Automatically importing vCalendar e-mail invitations into the default calendar view

If you check this box, the StarOffice Schedule network e-mail invitations will be automatically imported into your default calendar.

Inboxes taken into account

Displays the inboxes which take into account e-mail invitations.

Include all new mails from the inbox selected.

If you tick this box, all incoming e-mails are checked to see whether they are calendar e-mails, otherwise only e-mails with <!> in the header. The calendar e-mails with <!> in the header arise when participants are loaded automatically by e-mail for an event or a task (see StarOffice Schedule in network). E-mails with the following content types are recognized: Multipart/mixed with text/x-vCalendar body or text/calendar body and pure text/calendar body from Microsoft Outlook 2000.

Start Schedule reminders with StarOffice

Confirm here if you want StarOffice Schedule to be started at the same time you start StarOffice. You will be immediately reminded about due dates when StarOffice is started..

If the properties dialog box is not checked, StarOffice Schedule will be started later on. Select this option if you want to benefit from the StarOffice Schedule's reminder function. StarOffice however, starts faster and needs less disk space if you do not use the reminder function.


Settings


Define here the settings for the server connection. This tab page can vary, depending on if you modify the properties for your own computer or for another computer.

Server

Enter here the name of the network server. This field is only displayed if you create a new server connection or modify the properties of a server.

The server name will be rechecked and if it cannot be found, the Login dialog will appear. This dialog will ask you to login again with a new password.

Port

Enter the port here. The default is 4243.

Login

Define the identifier to login to your computer and the StarOffice Schedule Server.

Password

Enter a password.


User


Define here the settings for a new user.

Login

Enter the login PIN.

Password

Enter a password here.

Administrator

Check this box if you want the registered user to have administrator server rights. This field is only visible to an administrator. You can change your administrator status on your own server only if at least one other administrator exists on your server.

E-mail address

Each user that wants to be informed per e-mail about common events and tasks in the network must enter his own e-mail address here so that the StarOffice Schedule Server is able to send an e-mail. Refer to StarOffice Schedule in the Network.

General Read Access

If you deselect this option, only the user and their designates will have access to the events and tasks. For all other users, the calendar will remain empty and no existing participant information will be made available.

Delegates

This list box displays the entered delegates. A delegate has the same rights in the calendar as the owner.

Add...

Opens the Add Delegate dialog.

Select a delegate from the defined user for the current server connection in the list box.

Delete

Click this button to delete the selected user from the designate list. It is not possible to delete the default user.

You can remove foreign items from your own calendar

You can remove foreign items from your own calendar by default. Foreign items exist if, for example, events are imported from other users or if you are invited to an event or task. If you would like to edit one of these items in your calendar, you must first copy the item, delete the original and now edit the existing copy. This option is only visible to administrators.


Settings


Define here the StarOffice Schedule settings for one user on a server. If you want to use StarOffice Schedule locally only, edit the settings under "My Computer/Default User".

Categories

In this list, enter all the categories to be displayed (for this calendar on the server) in the list boxes available for the user. In addition, you can define a category by entering your name in one of the available category combo boxes (for example, if defining a filter or one of the event details).

New...

Click New... to enter a new category to the list. You will then see the New Category dialog which allows you to enter a name for this category.

Delete

Click this button to delete the selected category from the list.

Colors

You can choose a color here for the selected category.

Set Working Hours...

This button opens the Working Hours dialog. Determine here which working hours you want to be displayed when you open this calendar (=user).

Display event reminders

Check this box if you want to receive the defined reminders in this calendar as if it was your own calendar.

This field is automatically enabled for the "standard user's" event calendar. If you create a new server connection, all event calendars on the server will have the Reminder function deactivated except your own.

Default Reminder

Check this box if you want a Reminder dialog to be displayed when a newly entered event is due or if you want to be automatically reminded before the due date.

In this list field, you can select how far in advance your event reminder dialog should appear.

Default Access Level

Select the access level to register a newly entered event. The default is "public".


Login


Correct here the settings if the login is incorrect.

Login

Enter the login data here.

Password

Enter the password here.

Remember login data for this server connection.

Check this box if you want the login and password data to be registered in the server connection.


Properties


Configure how many threads the server should use for the execution of requests.

Number of server threads

Select the number of threads in this spin button. The default is 5 threads.


Server Communication


Define here how the server will communicate with other StarOffice Schedule Servers in order to exchange tasks and events between different servers. This entry does not exist in "My Computer".

Connect to remote StarOffice Schedule Servers

Check this box to enable the server to request data from other servers.

Enable the access to remote StarOffice Schedule Servers

Check this box to enable the server to respond to inquiries from other servers.


Notification via e-mail


Allows the automatic e-mail notification for participants with common events and tasks.

Permission to send e-mails

If you check this box, the server or your computer can send an e-mail message to the participants so far as the other two conditions are fulfilled (mailto: registered e-mail URL in the calendar field of the address book and active automatic notification to the participants in the Details / Participants area).

Allow the sending of reminder e-mails

Check this box, if the (internal or external) StarOffice Schedule Server should send reminder e-mails.

Sender E-Mail Address

This field enables the administrator of the StarOffice Schedule Servers or the user of the local StarOffice Schedule to enter an address here. This address will be then entered in all reminder e-mails as Sender. Normally, this entry is not modified. This additional field is only used in the case that the used Mail Server is not able to process the automatically generated sender addresses.

By default, "StarOffice Schedule Reminders <${FirstUserEmail}>" appears here. ${FirstUserEMail} functions as a placeholder, which will be replaced by the e-mail address of the StarOffice Schedule user from whose calendar the corresponding event has come from (the e-mail address of a StarOffice Schedule user can be found under Explorer - Tasks & Events - Data Source - "User" - context menu command Properties - tab User - E- mail address).

Which SMTP Mail Server should be used for outgoing e-mails on this server?

Enter here the name of the SMTP Mail Server to which you would like to send the outgoing message from this Schedule Server.


Data Source Properties


Define here the settings for a data source, this means for a server connection or "My Computer".




User Properties


Define here the settings for a user in StarOffice Schedule (corresponds to a calendar on the network).





Administrate


Define here the settings for the administration of a StarOffice Schedule Server or for "My Computer". You need administrator rights to open this dialog.





Data


Determine from which user and on which data source you want to view the data.

Data Source

Select a server connection from the list box.

Add...

Click this button to open the New Connection dialog corresponding to the Server Connection Properties dialog.

User

Select here one of the users defined on the server connection.


Symbols and Icons in the Calendar


The StarOffice Schedule workplace shows you through various colors and icons the visible object's current properties. In the following table, the colors and icons are displayed with their definitions.

PalmPilot Integration


In StarOffice, it is possible to synchronize events and tasks as well as the address book's contents between StarOffice Schedule and the PalmPilot.


After installing StarOffice, you must close and restart the PalmPilot Hotsync Manager under Windows if you want to synchronize the PalmPilot at the same time.


It is a requirement under Windows to install the PalmPilot software (included with your PalmPilot purchase) on your system. Under OS/2 and UNIX, StarOffice handles the data transfer to the PalmPilot Docking Station. If you're working in OS/2 or UNIX, you will find the command for calling the PalmPilot dialog in the Tools menu if you selected the PalmPilot module in the StarOffice Setup program. You can also install this module later.


No multi-user support is available in the StarOffice PalmPilot software under OS/2 and Linux. If you perform a data synchronization with a second PalmPilot, the events of the first PalmPilot will be deleted in StarOffice and replaced with those from the second PalmPilot. Under Windows, the PalmPilot software will create multiple users, and you can select which PalmPilot user will be synchronized with a certain user calendar in StarOffice Schedule.


The "PalmPilot Integration" Software

If you already installed the PalmPilot software under Windows prior to installing StarOffice 5.2, the StarOffice Setup program will detect this and automatically install the PalmPilot module from StarOffice at the same time. If the PalmPilot software is only installed after installing StarOffice or if your computer runs under OS/2 or Unix, you must install PalmPilot support later. This is what you have to do:



HotSync ManagerConfiguration

The PalmPilot support is now installed on your system. The PalmPilot software must now be configurated so that appointments, tasks and addresses can be synchronized together with StarOffice.


Click on the PalmPilot HotSync symbol in the Windows start button.

Choose in the HotSync menu the User-defined... command.


You will see the User-defined dialog. You can now define the "Calendar" and "Task" actions as default. To synchronize the addresses, the "Address" entry must also be edited (see the note at the end of this page).

Double-click on the "Calendar" entry.


You will see a dialog where you can change the Hotsync action for calendars.

Select the "No Action" option. In addition, select the "Default Settings" field.

This specifies that the calendar will no longer be synchronized using the events software of the PalmPilot. It is now possible to synchronize the PalmPilot calendar with the events calendar in StarSchedule.

Click "OK". The User-defined dialog will appear again.

Similarly, set the same "No Action" and "default Setting" options for the "Tasks" and, optionally, for the "Addresses".

Click on Finish to close the User-defined dialog.

Installing StarOffice Sync on the PalmPilot

Next, you must load the starsync.prc module from the Office52/palmpilot or Office52\PalmPlt directory to the PalmPilot. To do this, your operating system contains several Freeware tools to load prc files to the PalmPilot. If you also have a Windows system installed on your computer, you can use the Windows software included with your PalmPilot for this purpose. This software is described below.

Now you can install StarOffice Sync on your system. After the next synchronization with the PalmPilot, StarOffice Sync will be automatically installed on the PalmPilot. Please do the following:

Select in the Windows Start menu under Programs in the group PalmPilot Desktop 2.0 the program PalmPilot Installations-Tool. The Tool window will appear.



Click the Browse button. Select in the StarOffice/share directory the new subdirectory "palmpilot" and the "ssync52.prc" file contained in there. Remarks: In StarOffice 5.1 and earlier the "starsync.prc" file was used. The change in name was carried out to simplify using older data .



Choose Open. In the Installation-Tool dialog, click Install..., and then click Close in the next confirmation dialog.

You can now start StarOffice 5.2 (essential) and open the StarOffice Schedule calendar (optional).

Next, call a PalmPilot synchronization by pressing the Sync key on the PalmPilot.

StarOffice Sync can be quickly installed on the PalmPilot.

Exit the PalmPilot HotSync Manager. To do this, click on its icon on the StarOffice 5.2 Task Bar. In the HotSync Manager menu, choose the Exit command>.

Restart HotSync Manager. To start, find the "Hotsync Manager 2.0" command under Start menu / Program / Autostart.

Changing the StarOffice Sync Options

During synchronization with the PalmPilot (using the Windows PalmPilot software or one of the available Freeware programs), the module is loaded on the PalmPilot. You can then restart your other operating system.

Configure the new StarOffice Sync software on your PalmPilot:

Sync Tasks means that the PalmPilot To Do list is synchronized with the tasks in StarSchedule.

Sync Events means that the PalmPilot Date Book is synchronized with the events in StarSchedule.

Sync Addresses means that the PalmPilot Address List is synchronized with the address book in StarOffice.

This selection can be changed in the PalmPilot at any time.

If you click on the Hotsync symbol on the Task Bar and choose the User-Defined... command, you will see a new entry for StarOffice Sync. Open StarOffice Schedule. You can now choose the Tools - Configure Palmpilot Hotsync command on the Menu Bar.


You can only edit the new entry called "StarOffice Sync" if both StarOffice 5.2 and StarOffice Schedule are running. Double-clicking "StarOffice Sync" will display the StarOffice Sync Setup dialog with tabs where you can set the properties for the StarOffice Sync synchronization. After choosing this command in the Tools menu, you will see a dialog where you can enter the serial port used and the desired transfer rate. You will find the correct port name in the documentation for your operating system. Under OS/2, it may be entered as com2 (with no colon following), under Unix, it might be called ttyS0. As the transfer rate, you can set the same rate as selected in the PalmPilot, e.g. 9600.

In this dialog, select Wait for PalmPilots connect confirmation for the specified port. You can only synchronize if this field is selected. However, the port will not be available to other programs or devices in the meantime, so first close any application that expects a fax modem, for example, at the specified port.

Call Configure Conduit..., and you will see a dialog containing three tabs:

Synchronizing data with the PalmPilot

This option synchronizes the changes in StarOffice Schedule and the PalmPilot. After synchronization all data on both systems are identical. This means that the changes you make on one system are also applied to the other system. For example, if you deleted all events in StarOffice Schedule since the last time you synchronized and you re-synchronize the events, all events will be deleted in the PalmPilot as well!

Replacing the PalmPilot data with local data

This option overwrites the PalmPilot data with the StarOffice Schedule data. The old PalmPilot data will be lost.

Replace local data with the PalmPilot data

This option overwrites the StarOffice Schedule data with the PalmPilot data. The previous StarOffice Schedule data will no longer exist.

StarOffice Sync Setup: Categories

Here you can assign the categories of one system to those of another system. For example, you can assign the "Career" category from StarOffice Schedule to a synomous PalmPilot "Company" category. The appointments and tasks of one category will be assigned when synchronizing the appointments and tasks of the other category.

Address Syncronization Note

If you set the "Addresses" entry in Hotsync to "No Action", as described above, you can also synchronize the PalmPilot addresses with the StarOffice address book.

To detect identical address records, a combination of first and last names is used. Therefore, if two records contain the same identical first and last names, the remaining content of this address will be synchronized. Multiple phone numbers of the same type in the PalmPilot will be converted to a comma-delimited list in StarOffice.

Synchronizing StarOffice Schedule - PalmPilot

You are now able transfer appointments and tasks between systems.The StarOffice 5.2StarOffice Schedule should be also running. Simply press the "Sync" button on the PalmPilot.


StarOffice Schedule on the Network


Here we describe how to use StarOffice Schedule on a network.

Overview

StarOffice Schedule can manage its event calendars (for appointments and tasks) on networked computers as well as on your own local computer.

After installing StarOffice, beneath the Tasks & Events entry in the Explorer, you will find two entries for viewing events and tasks that refer to your local event calendar. In the Explorer, you can enter further views for event calendars that have been set up on other computers in the network.

The StarOffice Schedule Server can be installed on one or more computers in a network. This software is installed via its own separate Setup program. The StarOffice Schedule Server is not included in the download versions of StarOffice but in the available CDs from Sun Microelectronics . The StarOffice Schedule server communicates with the clients via TCP/IP.

All users can use an event calendar on one or more StarOffice Schedule Servers as well as on their local computer. In this way, all other users on the same server basically have read access to the 'public' events that you entered on the server. The Access rights setting in the Details list box determines which details of an appointment or task other are viewed by other users:

Participants in workgroups can log on to a StarOffice Schedule Server under a joint user name and work with the same event and task data. This makes it much easier to organize the availability of conference rooms.

Setting up a Server

You can install the StarOffice Schedule Server via its own Setup program. The server is not included in the download versions of StarOffice. For information about installing the server, please look in the Server folder on the CD.

To install the server, log onto the system as system administrator (in Windows 9x, you should log on as a normal user and then assign a password later: see below).

Installation Requirements

You will require about 20-40 MB of free space for the server files in the directory in which you want to install the server. In addition, you will need a further approx. 2 MB of space in said directory for each user that will be maintaining an event calendar on the server.

Starting Setup

Start Setuprespectively the Setup.exe(Depends on platform) program. The Setup program is in the directory that holds the files for installing the Schedule server.

The Setup program will start and initialize itself.

Dialogs in the Setup Program

First, the welcome screen will appear.

Many of the dialogs within the Setup program have a Help button that provides help concerning the current dialog. Once you have read the help text, you can return to the Setup program via the Back button. Do not close the help text via the Close button, or you will exit the Setup program!

You will now see a window with the contents of the readme.txt. file. You can also open and read this file after installing the server directory.

A window containing the license agreement will appear.

Selecting the Installation Directory

Select the installation path from the selection dialog by clicking the Browse button or by directly entering the path into the text box. The default path for the installation reads as follows: /root/SdlSrv52respectively C:\SdlSrv52(Depends on platform) .


Do not install in the same directory where StarOffice is installed. Make sure that the StarOffice Schedule is installed in a different directory than the StarOffice program.



Click Next.

A dialog will tell you that all the necessary data for copying the program files have been supplied. Click Finish if you wish to continue installing.

On the screen you will see a progress bar indicating how far you have got with the installation.

Shortly before the installation completes, a dialog is displayed where you can select the HTTP port (default: 80) as well as the administration port (default: 8120) for the server. Under normal circumstances, if there are no other servers running on the same computer, you should not change the default values. If other servers are running on the same computer, each server must be assigned its own port. Mark the Start all services after installation check box and click then on OK.

The installation is now complete. Click Finish.

Controlling the Server

The StarOffice Schedule Server will be installed as Service and starts automatically every time the system starts up. This has the advantage that the functionality of the StarOffice Schedule Server is available without having the need of logging in.

The "Service Manager" entry is available in the Start menu via Programs - StarOffice - Schedule Server 5.2 under Windows. Under Windows NT, you will also be able to access the Service Manager in the Control Panel under "Services".

This application enables you to manually stop and restart the StarOffice Scedule Server process.

Basic administration (number of servers, ports) is carried out via TCP/IP by means of html pages.

After installing you can call up the StarOffice Schedule as the administrator via http. Generally, this administration via the http port is not necessary.

If the server computer has, for example, the name sserver in the network, start a Java-capable web browser and enter sserver in the URL input line. This applies if the StarOffice Schedule Server can be installed on HTTP port 80. If this port is already occupied, select, for example, HTTP 8080 when installing the server. In this case, the server should be called up via the following URL: http://sserver:8080. If you install several StarOffice Schedule Servers on one computer, each one must be assigned its own HTTP port.

If you login to administer the server you should register with an Administrator Login an a password under Linux, Solaris and Windows NT (as "root" under Unix). Under OS/2 and Windows 9X, the password will be empty at the beginning. You should define a password here as soon as possible after logging in for the first time.

After logging on to the HTTP service, you can call up "Daemons Administration" (which has exactly the same functions as the Service Manager).

Now you should change the administrator password under Windows 9x.

Click Password in the left frame. You may now enter the new password in the dialog; the administrator should use it as a form of identification.

Once you have made any necessary changes on the HTTP page or on Schedule, click the Set Properties button (at the bottom of the page in question, scroll if necessary) and then stop and restart the StarOffice Schedule Server.


If you want to back up your Schedule data, you must first stop the Schedule server so that open files can be closed.
The following files are necessary for a Backup: the files server.cal and srvfmt.cal in the directory /user/store/server<x> of the StarOffice Schedule Server Installation.



User Logging in

Only the administrators of this StarOffice Schedule Server have the right to login or delete users on a StarOffice Schedule Server.

The recently installed StarOffice Schedule Server first recognizes a user named "Default user". He is also the administrator of the StarOffice Schedule Server. The login and password fields are empty.

In the following, you will be logged in as "Default user" on the StarOffice Schedule Server by StarOffice. This is done to additionally login additional users via the server connection.

A calendar is automatically created for each new user.




Proceed as follows:

Before adding new users, you should enter a password for the "Default user" so that no unauthorized persons login as administrators on your StarOffice Schedule Server.

Call up the User Properties dialog via the context menu of the "Default user" entry in the Explorer, enter a new password in the User tab and close the dialog with OK. You'll need to confirm the password. Enter then the new password in the properties of the server connection. If you don't do that, it will be impossible to establish a valid connection the next time you login and you'll need to enter your password again.

You can now log the user on under this new server connection.

Setting up and Using a StarOffice Server: Example

In a network, the StarOffice Schedule Server should run on the computer using the network name 'mathis'. The users Mathis, Sample and Smith wish to run their own event calendar under their own name. In this example, the computer with the name 'mathis' is also the workplace computer of Mr. Mathis.

Since the computer of Mr. Mathis should be used as the server for the events, it must run the StarOffice Schedule Server continuously on his computer. If user Mathis switches off his computer, no one will be able to access the joint event calendar until he switches on his computer again. The StarOffice Schedule Server will start automatically each time the computer is started up and after the StarOffice Schedule Server has been installed.

In this example, we are assuming that Mr. Mathis has already installed the StarOffice Schedule Server as administrator on his computer, as described above and hasn't changed the default settings (for example, for ports and names).

Mr. Mathis now starts StarOffice on his computer and establishes a server connection to StarOffice Schedule Server as "Default user" as described above. He can rename the "Default user" via the context menu under "Mathis" and assigns a password as described above.

Mr. Mathis now creates two new users under the name Sample and Smith. Both, Mr. Sample and Mr. Smith start StarOffice on their computer (which are connected to the computer of Mr. Mathis via a network) and set up connections there from their side to StarOffice Schedule Server.

Enter the computer name of Mr. Mathis in the Server field contained in the Settings tab of the New Connection dialog and, under Login and Password, enter the same as what Mr. Mathis entered for these two fields.

Defining an Event View for a Calendar on a StarOffice Schedule Server

To observe a calendar on the StarOffice Schedule Server, open the server connection in the Explorer, search the corresponding calendar from the user's list and double click it.

Under certain circumstances, this can be a nuisance with StarOffice Schedule Servers that have many users. In this case, it is maybe better to call up the context menu of the list entry in question and select the "New Events View..." command. In the following dialog, select the General tab and enter a name such as "My Server Calendar" and confirm it wit OK. You'll notice that this name appears in the Explorer under Tasks & Events. Double click it to open the event view for the user that has been selected above.

Inviting participants to events

You can invite further participants to an event by dragging & dropping their name from the Address Book or an e-mail onto the event. The participants will then be displayed in the detail view of this event in the Participants area.


Display the Detail view of an event by clicking the Details icon on the Object bar. In the Detail view, click on Participants.






If these participants are sharing the current event calendar with you on the same server, the event will be automatically entered in the participants' event calendar. More information on this topic can be found in the User's Guide.

Data Exchange between Calendars and Servers

StarOffice Schedule Server can exchange information about events and tasks between servers. Use the StarOffice Schedule Protocol for this purpose. Also participants that are not entered in any StarOffice Schedule Calendar can be automatically informed via e-mail.

Event modifications can be sent from the Schedule Server via an e-mail to the recipient and as attachment in vCalendar format and CDE format. On the other hand, you also have the possibility to import these mails automatically in the default view of StarOffice Schedule. In this way, calendars will be able to automatically communicate via e-mail.

For the two mailing methods, there are two different URL schemes for Calendar URLs: The structure of the StarOffice Schedule Protocol is similar to the structure of ftp.

Example:

.schedule://username@servername.sun.de:4243/

This is the default calendar of the user with the login name "username" on the StarOffice Schedule Server servername.sun.com, port 4243 (this is a fictitious address).

Another protocol is addressed via mailto URLs. Because the StarOffice Schedule Server sends the mails, it also needs information about a user's mail address, so that it can generate valid reply addresses. This setting can be found in the Properties dialog of the Schedule user in question.

These features are configured as follows: Explorer / Tasks & Events / Data Source / Server Name / context menu command Administrate.

Server Communication tab

Indicate here whether the StarOffice Schedule Server sets up connections to external servers and whether external servers are granted access to this server. This tab doesn't exist in the case of "My computer", since "My computer" cannot be active as a server outside and thus can only communicate via the mailto protocol.

Notification via e-mail tab

Here you will find the setting for determining whether a server sends e-mail for participants with mailto-Calendar-URLs. If the setting is activated, a valid SMTP mailserver must be supplied.

The following applies to receipt of e-mail notifications:

The default view is the view that has a check mark before the Default view command contained in the context menu of the Explorer. You can set any view as the default view by checking it. The default view will be then opened if you double click the time display on the StarOffice Status bar.

Customizing the Message's Text

The automatic notifications via e-mail will be sent as attachment in iCalendar, vCalendar and CDE format. The text of the e-mail will be created based on a template, in which a text macro of the form ${x} will be replaced by the contents of the field x. In DateTime fields you should define if the date or the time is to be replaced: ${StartDate,Date} resp. ${StartDate,Time}. The corresponding templates are first searched in the directory Office52/user/template. If they are not found there they are then searched in the directory Office52/share/template/english/wizard.

Regardless of the automatic notification, you may send any given event or task as an e-mail via a command in its context menu. The e-mail contains an HTML part, a vCalendar part, an iCalendar part and a CDE part.

Participant Availability Display

An Schedule Server can publish their users' availability information if requested, so that the users' availability can be viewed on other servers in the availability display. For this to happen, the other server must be available at the time of the request.

You may encounter problems if you use two or more calendars, as you may not be able to find a given event or task because you are looking in the "wrong" calendar. We therefore recommend that you use just one event calendar on the server.

De-installing the StarOffice Schedule Server

To remove StarOffice Schedule Server from your system, call up the setup program from the StarOffice Schedule Server directory. You will find the following shortcut to the Setup program under Windows via Start menu \ Programs \ StarOffice Schedule Server 5.2 \ Setup.

In the Setup program, you are offered the option of removing the server or repairing server installation.


Print Form


This is a list of the provided print forms to print tasks and/or events. You can access the event print templates if you open this dialog from an event view or from a mixed task and event view. If you open this dialog from a task view, you will see only the task print forms. See also Printing in StarOffice Schedule.

Printing Your Tasks and/or Events

The filter setting that is visible on your screen enables you to print your tasks and/ or events anytime you want. For example, if you only want to print your "office" events, just set a filter to only display the office events and click the Print File Directly icon on the Function bar.

If you click the Print File Directly icon, the print form that corresponds to the current view will be used. If you see a day view, the print form "Day overview" will be printed. If a week view is displayed, the "Week overview" print form will be used, and in the month view the "Month overview" will be used.

If you select the print command via the context menu of an event or task, the Details overview of the event or task will be printed.

The events in your event calendar that are defined as Day events will be specially marked when being printed and do not contain any time specifications. If you entered a location for a certain event, it will also be printed.

If you would like to print in another print form, you must open the respective dialog with File - Open and then click on Options.... Select here the print form by hand option.

You are able to edit at anytime all print forms created with StarOffice Schedule 5.2. You can either edit with the help of the AutoPilot Report or edit the template as an StarOffice Writer document. You can also create new forms by using the help of the AutoPilot Report.

New Form

Click here to open the AutoPilot Report. Use it to create a new print form.

Edit a Form

Click here to edit the selected form. The AutoPilot Report allows you to edit the form.

Edit as Template

Click here to edit a copy of the selected form as a StarOffice Writer document including all the form's fields. The original will not change. Enter a new name for the template. The name of the template, displayed in the Print Form dialog can be modified via menu File - Properties. The Stylist allows you to modify the fonts in the different form sections as well as to adapt other character and Paragraph Styles.

Delete Form

Click here to delete the current selected form. A security response will follow.

Print Range

Select in this section the event area you would additionally like to print.

Displayed days

This option allows only the displayed days to be printed.

All days

Select this option to enter the start and end dates.

current selection

Select this option to print the currently selected event. This option corresponds to the Print command in the event's context menu.

Start

Select the start date for the events you want to print. The All Days option must be checked.

End Date

Select the end date for the events you want to print. The All Days option must be checked.

This is the option area.

Print preview

If you select this field StarOffice Schedule doesn't directly print the form creates and displays a StarOffice Writer document named "untitled<Number>.sdw". You can then edit, save or send this document as an e-mail, etc.


AutoPilot Print Form


This AutoPilot helps you to define a new StarOffice Schedule print form. Select the options on the pages of the AutoPilot. Click the Next button to go to the next page and the Back button to go to the previous page. On the last page, click Create to complete the print form. Afterwards, you can select it in the Print Forms dialog.

In the dialog, it is possible to see the previously completed step. The current settings remain unchanged. You can select this button only after the second step.

With this button, the AutoPilot uses the current dialog settings and procedes to the next step. When you reach the last step, it is no longer possible to activate this button.

The AutoPilot creates a new print form based on your selection and saves it on the hard drive.

AutoPilot Print Forms: Page Settings


Select here the page settings for the new print form. You can also define new paper formats, and delete existing paper formats.

At the end of this page, you will find a small example.

In the left-hand part of the dialog, from the Paper format combo box down to the Clear and Save buttons, you may select and define paper formats for printing out in this print form. In the right-hand part of the dialog, you may specify the dimensions for printing using the chosen paper format.


Paper format

This combo box allows you to select a paper format. It also determines the maximum size of the print area. You can also define a new paper format and enter its name in this field.

If you are defining a new paper format, you should first enter a new name in the Paper format combo box. Then select the other options on this page and save them under the new name by clicking on the Save button. On the left-hand side of this page you can clear and define new paper formats at any time; these will be, so to speak, additional paper formats. These paper formats will only apply within StarOffice Schedule.

Scale

This spin box allows you to choose a scale for character printing. Other elements, such as, table frames and lines remain unchanged. The values above 100% enlarge the printout; the values under 100% reduce the printout.

Unit

Select cm or " (inch) units for the measurement display on this page.

Portrait

Check here to select the portrait (vertical) paper format.

Landscape

Check here to select the landscape (horizontal) paper format. The content is therefore printed lenghtwise.

Remove

Click this button to remove the format displayed in the Paper format combo box list.

Save

This button allows you to save the new or modified paper format under the name displayed in the Paper format combo box.

Page

In this section you can specify the size of each printed page in the chosen paper format, and whether the text is to be printed out in several User's Guide and/or columns.

Width

Select the unit for the paper width.

Height

Select the unit for the paper height.

Rows

This spin box allows you to select the number of rows for the printout.

Columns

Select here the number of columns for the printout.

Margins

In this section you can specify the unprinted margins in the four areas near the edges of the paper. This means you can, for example, avoid printing over ring-binder holes.

Top

Defines the top margin.

Left

Defines the left margin.

Right

Defines the right margin.

Bottom

Defines the bottom margin.

Internal margins

In this section you can define the inner margins. These are subtracted from the margins defined above. If you want to create holes in your paper on the left-hand side, you can, for example, select an inner left margin of 1.5 cm.

Top

Defines the top margin.

Left

Defines the left margin.

Right

Defines the right margin.

Bottom

Defines the bottom margin.

Width

This field displays the usable width of each form.

Height

This field displays the usable height of each form.

Example

Let us suppose you want the page format to be 9.7cm wide x 17.2 cm high, with a left margin of 1.4 cm for holes. You intend to print on a sheet of DIN A4 paper which is on end, with two pages next to one another.

Import


Use this command to open the file dialog which enables you to select which file from which export source you would like to import for the events or tasks. This dialog is similar to the Open dialog.

Under File type, choose whether the vCalendar default, Microsoft Outlook 97 (*.csv) tasks, Outlook tasks (*.csv) for 98, 2000beta, Outlook events (*.csv) for events from 97, 98 and 2000, iCalendar or Lotus Organizer will serve as the source. Please note that only export files separated by commas from Microsoft Outlook and Lotus Organizer can be imported at present. You therefore have to first export your data to a file as "comma separated values" in these applications.

VCalendar is a specification of the versit initiative of Apple Computer, Inc., AT&T Corp., IBM, and Siemens for the electronic exchange of events and tasks. In StarOffice Schedule, vCalendar is used as a standard interchange format with third-party calendars provided they support the exchange of vCalendar data through files, the clipboard, or by dragging and dropping.

You can drag and drop events and tasks from other calendars into StarOffice Schedule.

Use the clipboard to copy one or several events/tasks into another application. Change StarOffice Schedule to an Event view and select Edit - Insert. Only the events are inserted selectively. If you change to the Task view and select Edit - Insert, only the tasks are inserted selectively.

Important Information on Importing

The first line of an export file from Outlook contains a description of the columns. This description is not currently taken into account when importing into StarOffice. Therefore, you must ensure that you use the default field assignments when exporting from Outlook. Define the format in the File dialog when saving.

Each additional line contains precisely one record. An abbreviated example of Microsoft Outlook 97:

"Subject","Start Date","Start Time","End Date","End Time","All-day Event","Reminder on/off",... 
"Columbus Day","12.10.98","00:00:00","13.10.98","00:00:00","True","False",... 

As you see, many values are passed as text. The "All-day Event" column, for example, contains "True" or "False" values. If the same record was exported using a German version of Outlook, it would be "ein" or "aus". The StarOffice importing function is compliant with both versions.

CDE CalendarAppointments can be imported into StarOffice Schedule on a file basis.


Export...


With this command you can open a Save dialog. Here you can choose if a vCalendar file should be imported for tasks or for events.

The vCalendar export exports the owner of an event or of a task only if the owner is not the same as the owner of the calendar. This way, vCalendar files can be imported into other calendars and the events or tasks are then assigned the owner of the new calendar as their owner. The events or tasks can therefore be edited by the new owner in his or her calendar.

CDE CalendarAppointments can be exported from StarOffice on a date basis.

The dialog corresponds to the Save under dialog. In addition, you can select several compatability modes.

Use current filter for export

Check this box to export only the events and tasks corresponding to the current filter.

Export Owner:

This is where you define how the owner is to be handled when exporting. The export behavior is especially interesting when working with teams, since there can only be several owners when StarOffice Schedule is being used commonly. There are three standard settings available: "only external", "always" and "never".

Select "always" if you wish to export the owner together with each event or task. This means that when they are imported the original status will be maintained. This setting is useful for backing up data.

The setting "never" means that the owner will not be exported for any event or task. The person who imports this data will become the owner of all events and tasks.

If the events/tasks of external owners only are to be exported, select "only external". This is the default setting. If someone imports the data then they will only become the owner of those events and tasks where they were shown as owner before the export took place. This may be useful if you only wish to take your own events home with you to import them and not those of the whole team.

Set compatibility mode: default

Only the default set in the vCalendar specifications is exported.

Compatability mode: Netscape Calendar

The properties considered for an export are those which the export file uses for the Netscape calendar. The category data, for example, will not be exported.


Add Holidays to Calendar


In the Add Holidays to Calendar dialog you can apply the official national holidays.

The holidays which you have selected for the year will be automatically entered into your StarOffice Schedule event calendar.

The Add Holidays to Calendar dialog offers you a selection of options which are also offered in the Calendar Template dialog. The Calendar Template dialog is explained in the User's Guide.


Send as E-mail...


The selected task or event will be sent as e-mail.

If you selected a task or event, you can send it in an e-mail to a participant. After calling the command, a dialog appears enabling you to select the e-mail format. A message document will then open containing a considerable amount of the task or event's data. Add other information to the message if desired under Attachments, such as for example, "CalenderAppointment".


Go to Date...


This command opens a dialog allowing you to select the date to be displayed in the event window.

In the Go to Date dialog you can enter a date or select one from the Date box.


Delete all visible events


Deletes all events corresponding to the current filter (also the ones not currently displayed on the screen). A security response will follow. It is not possible to undo this process.

This command deletes all tasks corresponding to the current filter (also the ones not displayed currently on the screen). A security response will follow. It is not possible to undo this process.


Archive...


Use this command to archive all of your events or tasks. It opens the Archive as XML File dialog.

There are two option fields in the upper part of the dialog. These are used to determine if events or tasks are to be archived. If you wish to archive both events and tasks you need to do this separately.

Archive: Events

If you want to archive your events then you should activate this check box.

Archive: Tasks

This options needs to be selected if you wish to archive your events.

The middle area of the dialog is used to restrict the archiving to specific periods of time.

Archive up to

Enter the date into this combo box up to which you wish to archive. You can also pull down the field and, in the calendar available, change months and select a specific day with a mouse click. If you use the Today button then the current system date will be used.


All events up to the date determined will be deleted from StarOffice Schedule after archiving. Recurring events will only be deleted if the last recurrence has taken place before the date entered.

Events completed before the date set will also be deleted after archiving.

Events and tasks that have been deleted are only available in the Archive file after archiving. These events and tasks can, however, be returned to StarOffice Schedule afterwards by using the menu File - Import....


A file name for your archive can be entered into the lower area of this dialog. You can also enter the directory that is to be used for this file.

Archive as file

Enter the name and path of the archive file into the text box or accept the suggestion made. To alter the paths quickly and easily click on the Browse... button which opens the Save As dialog.


Tasks


With this command, you can switch the view of the task window in the workplace on and off.

In this view, your tasks will be listed in a table having many different columns, which you can switch on and off using the context menu. All column content can be changed here. To copy a task, simply use the mouse to drag it to a free position in the overview.

In the Completed column, you can mark any task as finished with a mouse click in the check box.

The Title column lists the tasks alphabetically. If you have assigned tasks to different categories, the tasks of every category are summarized under a common entry.

In the Due Date column, you will see the same information as found in the details section under completion date.

Task priority is listed in the Priority column.


Day


With this command, the event overview is switched to the view of an individual day. The day is selected by clicking it in the calendar window.


Workweek


With this command, you switch the event overview to the workweek view from Monday to Friday. The week is selected by clicking it in the calendar window. You can also leaf through the weeks by using the keyboard in the StarOffice Schedule object bar.


Week


With this command, you switch the event overview to the weekly view from Monday to Sunday. The week is selected by clicking it in the calendar window. You can also leaf through the weeks by using the keyboard in the StarOffice Schedule object bar.


Month


With this command, you switch the event overview to the monthly view. The month is selected by clicking it in the calendar window. You can also leaf through the months by using the keyboard in the StarOffice Schedule object bar.


Details


With this command, you can toggle the detail view on and off. Under Details, you can find more information for the last selected entry in your event calendar or in the task window.







Contents


Under "Details," click Contents to view additional information for the selected entry in the event overview or task window.

Event / Task

The specified title for the event or task is displayed here. It is also possible to modify it here.

Owner

Displays the owner of the current event or task.

Description

In this box you can enter additional comments for the selected event or task.

References

All objects related to the task or event are displayed in this field. You can Drag & Drop files, links and URLs (bookmarks) directly from the Beamer or Explorer into this field and double-click them to open them here. You can drag them back into StarOffice, for example, into the Explorer window.


Details


Click Details to enter or edit additional information about the selected entry in the event overview or task window. The Details area has a different structure for events and tasks.

If you view the details for an event in the Event Planner, you will see the following elements:

Start

Enter the date and time for the start of the event in the date selection field and spin box.

End date

Enter the date and time for the end of the event in the date selection field and spin box.

Day Event

Check this box to assign an event to the entire day. It will automatically replace the other events in the daily event view.

Show time as

Select here the display for the event in the event view: Free - Temporary - Busy - Out of Office.

Location

Enter the event location here.

Access Level

Specify here the access level for the other users in the network concerning this event. "Public" entries are available for everyone. "Confidential" entries allow the others to see only the time of the event, no other information. "Private" entries are only available for you.

Categories

In the combo box Categories, select the categories - if you want use the multiselection function by pressing the (Shift) or (Command)(Ctrl) keys or enter the categories directly.

Priority

Select the priority for the event. The lower the number, the higher the priority!

If you call up the details of a task in the task window, you will see the following elements under details:

Start date

Enter the start date for the task here.

Due date

Enter the due date for the task here.

Completion date

This field displays automatically the completion date of the task.

Close Date

Enter here the close date for the task.

Status

Specify here the current status of the task: Not started - In progress - Completed - Waiting - Deferred.

Categories

In the combo box Categories, select the categories - if you want use the multiselection function by pressing the (Shift) or (Command)(Ctrl) keys or enter the categories directly.

% Complete

Specify here the extent to which a task is already completed.

Access Level

Specify here the access level for the other users in the network concerning this event. "Public" entries are available for everyone. "Confidential" entries allow the others to see only the time of the event, no other information. "Private" entries are only available for you.

Priority

Select the priority for the event. The lower the number, the higher the priority!


Participants


Click Participants in the details box to access the list of participants attending the event or involved in the task.

Participants area

The area is composed of three diffferent sections: a combo box to enter the names of the participants, a participant list in table-form that enables you to insert new participant names via Drag & Drop, and the participant availablity display where you can coordinate the events of the various participants.

Participants

Enter the names of the participants in this combo box and/or select them from the list. If you press the Enter key, the participant will be included into the list. The combo box shows you all users of the current StarOffice Schedule Server and all entries from the Address Book. You might have to wait a few seconds the first time you activate the list because all entries have to be first collected.

Participant List

Fill in this field by using Drag & Drop from the Address Book or from another source, for example, from the users under Explorer - Tasks & Events - Data Source - Server name - User name, from a database table or a message document. If, for example, you open the Address Book in the Beamer, you can drag the row markers (gray box before the first column you want to select) from the Address Book into the Participants area. You can also open the Address Book window (menu Edit - Address Book) and drag the Drag & Drop icon (small hand) located on the right-hand-side of the lower border into the Participants area. To delete a participant from the list, simply select it and press the Del key or select the Delete entry from the participant's context menu.

Sending data to participants

Determine here if the participant should recieve a message for an event time change.


Inform the participant automatically about this event's changes


As soon as the event is determined with the Apply new period icon, the participant will be informed either by a calendar entry or by e-mail in VCalendar format.


Do not inform the participant automatically about this event's changes


The participant will not be informed automatically. If you want to re-set this option for a participant who previously recieved changes for this event, the event will be deleted from the participant's calendar.

Name

You will see the names of all participants in this column. As usual, you can click the column head to change the order of the list. By dragging the column head horizontally, you can change the order of the columns.

Calendar URL

The data will be sent automatically to these addresses when changes occur. For these participants, the notification mode must be activated and the server (containing the participant list) must permit message exchange. Also the server for the yet to be notified participant's event calendar must be configurated for recieving messages.

The calendar URL is set automatically if the participant is dragged into the list from a server connection from the Explorer or if the participant is dragged from the address book (Edit - Address book) and the participant has an entry for the calendar URL on the Other tab of the address book. If you specify an e-mail URL (in the form mailto:name@provider.com) as the calendar URL in this field, the data is not transmitted via the schedule protocol but rather as an e-mail in the VCalender and HTML text format.

Status

In this list box, you can select the participation status for each participant: ? for undefined status, confirmed, temporary confirmation, declined and canceled.

E-mail

The participant's e-mail address appears here for your information only. The participant's address has already been entered to the list per drag&drop from the address book (or a Schedule data entry in the Explorer).

The Hide Column command is found in the context menu of the column headers:

Hides column

Hides the current column.

Participant Availability Display

Determine an event for all participants in the participant availability display. The time periods already saved for other events are highlighted with various colored columns. The colors represent the colors from the day view (green for "Proposed", blue for "Busy", red for "Out-of-Office"). The background of each participant line compares the working hours vs. free time. Working hours and free time are also highlighted with the colors that you have chosen for the day view. If no data is available for a participant, the participant's line will appear in a gray tone. A sum of all participants' events will be displayed in the top line.

You can use the two double-arrow symbols below to start an automatic search for the next free time slot. The current search result is framed by two vertical bars. As well, you can move these bars using the mouse to define the length of the free time slot to be found. If you hold down the (Option)(Alt) key, you can drag in 5-minute intervals. You can move the event by using your mouse to drag it between the bars in the area of the given time. The vertical black bars snap to the same time grid specified in the Daily view.

As soon as a free appointment is found for all participants, you can select it by clicking the Apply new period icon at the right. Via the Back to initial period icon at the bottom left, you reset the search section to its original values.

Back to initial period

Click here to return the moved search area back to it's original values.

Search previous free period

Click here to start the automatic search in the direction of an earlier event.

Search next free period

Click here to start an automatic search in the direction of a later event.

Options...

In the context menu, select the Options... command to open the Participant Availibility Display Properties dialog.

Apply new period

Click this icon if you want to determine the events shown in the Participant Availablity display for all participants.


Apply new period


Participants who share a calendar on a server with you will have the new event directly entered into their calendar (provided that they are to be notified, see the Notification icon to the far left). The other participants to be informed will automatically receive an e-mail in iCalendar format assuming that an e-mail address is known (for example, because you dragged them out of the address book and an e-mail address is entered in the data field EMAIL).


Participant Availablity Display Properties


Choose in this dialog how the participant availablility display should appear.

Graticule

Select the graticule in the participant availablity display.

Starting time

Select the starting time for the time indicator in the participant availability display.

Ending time

Select the ending time for the time indicator in the participant availability display.

Displayed weekdays

Select every weekday which should be seen in the participant availablity display.


Recurrence


In the Details dialog, click the Recurrence entry at the bottom left. Determine here when and how often an event should reappear in the events overview.

None

Click here if the event will occur only once.

Daily

Click here to define a daily recurring event.

Every...day

Enter the number of days between each recurrence here, e.g., "Every third day".

Every workday

Click here to define an event that should recur every workday (Mon - Fri). Holidays not recognized by StarOffice Schedule are considered workdays. The command File - Import holidays enables you to select the holidays relevant to you.

End recurrence by

Specify the last date of the recurrence here.

Weekly

Click here to define a weekly recurring event.

Every...week(s) on:

Enter the number of weeks between each recurrence here, e.g., "Every second week on Friday".

Sunday to Saturday

Select the day of the week for the recurring event.

End recurrence by

Specify the last date of the recurrence here.

Monthly

Click here to define a monthly recurring event.

Day

Select the day of the month for the recurring event.

Every...month(s)

Enter the number of months between each recurrence here, e.g., "Every third month on the first day".

The...of every...month(s)

Enter the time period between the recurrence here, e.g., "Each fourth Tuesday every 2 months".

End recurrence by

Specify the last date of the recurrence here.

Yearly

Click here if the event should recur yearly.

Every...

Enter the time period between the recurrence here, e.g. "Every second day in March of every year".

Enter the time period between the recurrence here, e.g. "Every first Monday in April, every third year".

Select the last possible date to automatically enter the event.


Reminder


If you click Reminder in the Details, you can be notified of an upcoming event via dialog or e-mail.

Note: You can use StarOffice Schedule in the network for defining an event that doesn't belong to you. This notification is only valid locally.

First of all, define if you would like to be reminded by dialog, e-mail or both. If you entered a reminder via a dialog or a sound, it will be checked if the Display event reminders field from the Settings tab has been activated. In case it isn't, StarOffice Schedule draws attention to the user about that and activates it, if desired.

Dialog

Select if you would like the reminder to take place via the Reminder dialog. You can choose to also play a sound at the reminder time.

Show dialog

Check this box to determine how far in advance the Reminder dialog should be shown. StarOffice must be running at this specified time in order for the Reminder dialog to be displayed.

before event

In this spin box you can specify how far in advance you want to receive an event reminder.

Sound alarm

Select this option to be reminded by a sound.

Use default sound

Choose this option to use the operating system's default sound as a reminder.

Select sound

Select the sound file to be played as a reminder.

Sound field

Enter the path and name of the sound file here.

E-mail

Organize here all the e-mails to be sent for the selected event. If you use the StarOffice Schedule Server, the server sends the e-mails. If, on the other hand, you use a local StarOffice Schedule, StarOffice sends the e-mails. Keep in mind that an outbox has to be created for this purpose. In case you haven't created an outbox you will be notified about it.

E-mail Table

Organize the mails to be sent in this table. Use the Add button to insert an e- mail whose data will be displayed as a table row. The icon before each e-mail row is to enable you to select an e-mail. By clicking the row markers you can sort the table by Reminder time, Subject or Recipient Address.

In the Reminder time list box, you can define the time to send this e-mail before the event takes place. The content of the fields Subject and Recipient Address can be edited manually. If various recipients will receive the same e-mail, these can be entered one after the other. Simply separate them by commas.

To edit an e-mail including the placeholder for the variable content, select a line and click the Edit button. The Preview button displays the e-mail exactly as the recipient will receive it. Use the Delete button to delete the selected e-mail.

Add

Opens the dialog New Reminder E-mail for including a new e-mail into the table.

Edit

Opens an e-mail document that enables you to edit the text and formatting, and the placeholders' position for the variable contents.

Further information on the variables can be found here.

Preview

Shows you the e-mail in an e-mail document exactly as the recipient will see it. If the recipient cannot view any HTML e-mails because their mail program only displays ASCII, they will view the e-mail text without any special formatting.

Delete

Deletes the selected e-mail from the table after having confirmed this action.


Reminder


This dialog appears to remind you of a certain event. If you open the Details of an event and go to the Reminder area, you can specify here how far in advance you would like to receive your Event reminder.

Event

In this window, the text which you have entered as Description for your appointment or event reminder will appear.

Snooze

Click on the Snooze, button to remove the dialog. This dialog will reappear after the set time period has elapsed in the Click Snooze to be reminded again list field.

Show Event

Click Show Event to remove the dialog and activate the StarOffice Schedule event view. The event will be displayed.

Click Snooze to be reminded again

You can determine in this list field the lenght of the reminder intervals. Close the dialog with the Snooze button.


New Reminder E-mail


If you go to the Details of an event and then click on the Reminder area, you can be reminded of a pending event via e-mail. Click the Add button to call up this dialog.

The e-mail address of the StarOffice Schedule Users will be the Reply To - Address in a reminder e-mail. The corresponding event comes from the calendar of the StarOffice Schedule Users.

The Sent From - Address will be the e-mail address that is entered in the field Sender's e-mail address located in the Notification via e-mail tab from the Administrate dialog.

Reminder time

Define the time before the event takes place for the e-mail to be sent.

Subject

Enter the mail's subject here.

Placeholder for title

Click here to insert the ${Title} placeholder at the cursor's position in the Subject field. StarOffice Schedule sets the current event's title at the placeholder's position at the appointed sending time.

Recipient

Enter the recipient's e-mail address here.

E-mail addresses of all current participants

Click this icon to add the e-mails of all participants who are currently invited to this event.

Placeholder for all e-mail addresses

Click this icon to enter a placeholder that will be entered in all e-mail addresses of the invited participants at the appointed sending time.

E-mail

Enter here the type of e-mail to be sent.


To be able to send e-mails, mark the check box Allow the sending of reminder e-mails contained in the Notification via e-mail tab from the Administrate dialog. Keep in mind that a mail server for outgoing mails should be entered in the field SMTP server name contained the same tab.


Standard

Select this option to send a standard e-mail. You can use the file Office52/share/template/english/wizard/event_a.htm as a template.

Load from file

Select this option, to use another file instead of the standard template for the e-mail.

Style name

Enter the path and file name for the template (file type: StarMessage 5.0 e-mail) or select a file from the Open dialog after having clicked the ... button.

New

Select this option to send an e-mail based on an empty document. You should mark the check box Open at once for editing to be able to fill in the empty e-mail with any content.

Open at once for editing

Mark this check box to immediately open an e-mail for editing. Please note that you shouldn't click the Send Message icon, since the e-mail would be immediately sent. Close the e-mail document after editing it by clicking the close box.

If you save or close the e-mail after having edited it, you'll see the dialog Save reminder e-mail.

Select here if the e-mail that has been edited should be saved under the event or as a file. However, if you save the e-mail under the event, StarOffice Schedule will automatically send it at the appointed time.

Save changes under event

Saves the reminder e-mail that has been edited under the event so that it can be automatically sent.

Save as file

Saves the e-mail as file.


Variables in a reminder e-mail


Open the Details and go to the Reminder area where you can select to be reminded via e-mail. By clicking Edit button in the e-mail area, you'll call up an e-mail document. You can use the variables that are shown here as placeholders in this e-mail document.

The body of the standard reminder e-mails contains a series of variables, which will be interpreted in the sending process and replaced by actual event values. These variables are listed in the following and will be shortly described:

Variables that correspond to single fields of an event

${Title} will be replaced by the event's current title

${Description} will be replaced by the event's description

Date variables

${StartDate.Date,TimeZone} will be replaced by the event's starting date

${StartDate.Time,TimeZone} will be replaced by the event's starting time

${EndDate.Date,TimeZone} will be replaced by the event's end date

${EndDate.Time,TimeZone} will be replaced by the event's end time

These date data will be correspondingly displayed in the time zone entered under "TimeZone".

Specification of the time zone in ",TimeZone"

The time zone that will be automatically entered when setting up the standard reminder e-mail will be the one that the user has just defined in StarOffice Schedule (Explorer - Tasks & Events - Properties - Settings).

If these variables are used and there is no time zone specification, the time zone that will be used will be the one in which the event has been created.

Advanced users can enter time zones on their own. If this is the case, keep in mind that the names of the time zones cannot be used, use instead their Uid's. Possible Uid's can be found in the file Office52/share/config/defcal.txt. The Uid of the time zone is located one line below the line "Begin:TimeZones", behind the 'Uid:' text.

Other allowed variables are:

${Location} ${Categories} ${BusyType} ${Priority} and ${AccessLevel}

Variables for reproducing lists

Some fields in the event contain lists, for example, of participants or also references.

To issue a list of participants, you should use the following syntax:

${List,Name=Participants,Element=Participant} ...Text... ${/List}

The Text "...Text..." between both commands will be duplicated for each participant from the list and the contained variables will be replaced once more. In this text, the single fields of a participant will be then cleverly used:

${Participant.Name} will be replaced by the participant's name

${Participant.State} will be replaced by the participant's status

${Participant.Notes} will be replaced by the participant's notes

${Participant.Address} will be replaced by the participant's e-mail address

The corresponding applies to references

${List,Name=Links,Element=Link} ...Text... ${/List}

where the variables ${Link.Name} and ${Link.URL} are replaced if contained in the text "...Text...".

Restriction:

Up to now, other lists (such as the list of reminder e-mails) have not been taken into account by the text replacement.

Variables to display whole blocks only if content really exists

If single fields in an event do not contain any information (such as no description or no participants), normally no title is desired. In these cases, the following variables exist to cut out whole text blocks from the content

${Ifnotempty,Name=Description} ...Text... ${/Ifnotempty}

the text "...Text..." will be included and the contained variables replaced only if the event contains a description

${Ifnotempty,Name=Participants} ...Text... ${/Ifnotempty}

the text "...Text..." will be included and the contained variables replaced only if the event contains participants

${Ifnotempty,Name=Links} ...Text... ${/Ifnotempty}

the text "...Text..." will be included and the contained variables replaced only if the event contains references

Restriction:

This mechanism applies to all string fields of an event. This is why instead of "Description" other feasible possibilities are also "Title", "Location" or "Categories".

This mechanism can be applied to both lists "Participants" and "Also refer to"

${ItemURL}

The variable ${ItemURL} will be replaced by an URL in the text replacement process. The event can be loaded via this URL.

Important: The variable replacement will be only carried out in the body of the reminder e-mail and only in the sections that have the format "text/plain" or "text/html".

Modifying the standard Reminder e-mail

The body of the standard reminder e-mail originates from the file event_a.htm. This file is located in the directory Office52\share\template\english\wizard. You can edit this file to customize the standard reminder.

The filters to be edited can be selected here. You can also redefine new filters, delete or rename them.

Current Filter:

Select the filter you want to edit in the list box. Click New if you want to create a new filter.

Only the displayed events will meet the following requirements:

Here you will see in a list of requirements, the selected filters which you have entered in the other two registers.

Use only this view to make a selection.

Mark this field if the currently selected filter should only be shown in the currrent view. For example, the newly defined "Recreation&Hobby" filter can only be selected in your defined "Private" view.

New

Delete

The current self-defined filter is deleted after the security check. It is not possible to undo this command.

Rename


Create new filter


Enter the name of the new filter here. You can also determine if it should be a copy of an already existing filter.

Name

Enter the name here.

Create as copy

Check here if the new filter should be a copy of the filter which you have selected in the list field below.

Filter list

Select the filter here which should serve as starting point for the new filter.


Rename filter


The current filter can be renamed here.

Name

Enter the new name here.


Settings


Determine the settings for the current filter. If you edit the default filter, the settings will be applied for this single StarOffice application. If the filter should be made available for a longer period of time, it must be given a name (create a new filter in the Selection register).

Events that belong to at least one of the following categories:

Define a filter which shows only certain categories in this area.

Categories

You can select a category in the Categories list box. If desired, you may also select several categories simultaneously (multi-selection) by pressing the (Shift) key or (Command)(Ctrl) key combination.

The selected categories can be viewed in the list box. You can also manually enter the categories.

Standard categories for new events

In this text box, the categories which apply to all recently entered events can be entered while the filter is active.

In the following area, you can define a filter which filters the entries by title, date and priority.

Title contains

Enter a text which should be contained in the event's title. The text is case independant; it will also be found as a component of a word.

Participants

Select the participants to be followed when running the filter are selected here. If you enter various participants, all of them have to be contained (logical AND condition).

Date

Select a time limit for the displayed event by using the list box, for example, "last edit today" or "start this month".

Priority higher than

Select a priority level in order to display an event. Priority 1 is the highest priority level for the most important events, priority 5 the lowest priority level. For example, enter here a number "2" to display only the events with priorities 1 and 2.

I am a participant

Check here, if you only want to view the events in which you are involved as participant.

The selected conditions are displayed in the large list box. To define several conditions, they are connected using logical AND, i.e. all conditions must be fulfilled for the filter to show the event

Condition

In the left list box select an argument for the condition.

In the right list box select an operator whose selection depends on the selected argument.

Expression

Here you enter a text expression which, together with the condition fields defines the entire condition. Conditions can then also be as follows: "Title - contains - ABC" to show only those events where ABC is part of the title, or "show time as - equals - not in the office" to show only those events entered for outside of the office.

Context sensitive

Select here if text comparison is to be case-sensitive.

Regular Expression

Check here if you want to enter a Regular Expression in the Expression text field.

Add

Clicking this button adds the current condition to the list of conditions. It is linked to the other conditions by AND.

Modify

Click here to replace the condition selected in the large list box by the currently selected settings on this tab.

Delete

Deletes the selected condition in the large list box.


Event Layout:


This is where you open a dialog to define the layout for your events.









Selection


Select here the layout you would like to edit. You can also define new layouts, delete or rename layouts.

Current Layout:

Select in the list box the layout you would like to use. If you would like to set up a new layout, click New.

Show only in this view

Check this field if the currently selected layout should only be shown in the current view. For example, you can determine that your newly defined "Recreation&Hobby" filter be activated only in your "Private" view.

After a security check, deletes the currently selected layout. You will not be able to undo this step.

Assign a name to the new layout here and determine if it should be a copy of an already existing layout.

Time zone - Settings


Choose the time zones for the time scale in the event calendar here.You can also show other time scales and select their time zones.

Current time zone:

The current time zone which should be shown in the time scale of the event calendar can be selected in the list box.

Show additional time zones:

Check this field if an additional time scale for another time zone should be shown in the event calendar.

The additional time zones can be selected in the lower list box.

The time scales appear in the Event window next to each other on the left. If two time scales are shown, you will see the time zone abbreviation above in the scale header. The Help Tip displays the name of the time zone if the mouse cursor is rested on a time scale.


Workweek


Define the days which belong to your workweek here. These days will be shown in the event overview if you activate the Workweek icon.

Remove the check mark before the weekdays which are not included in your workweek.

Remove the check mark before the weekday which is not included in your workweek.


Day View


Use this area to define the layout for the Day and Week views of tasks and events. If you would like to maintain this layout you should enter a name for it, in another words, create a new layout on the Selection tab page.

Time Scale

Choose the time scale for the Day view in this box.

Additional time zone

Tick this box if you want to display an additional time zone as a time scale.

You can choose the additional time zone from the list box.

Autosize Day Event display area

Check this box if the area for displaying the Day Events is to be adapted automatically to the existing volume of text.

Color of Worktime

This list box offers you a choice of color for displaying the working time in the event window.

Color of Free Time

This list box offers you a choice of color for displaying the free time in the event window.


Month View


Define here the layout for the Month view. If you want to mantain this layout, you should enter a name for it (enter a new layout on the Selection tab page).

Scroll range

Define the total area to be included by the right-hand scroll bar in the Month View.

Compress weekend

Check this box if Saturday and Sunday are to be displayed together in the same space as one work day.

Vertically

Select this option to compress the weekend vertically.

Horizontally

Select this option to compress the weekend horizontally.

Display end times for all events

Put a check in this check box if you want to view the respective end times for your events.

Background colors

You can choose two colors here that will alternate as background for successive months.


Day & Month View


You can define the layout for displaying events here. If the layout is to apply beyond this single instance, you have to assign it a name (i.e. create a new layout on the Selection tab).

Display description of event after title

Check this box if the description of the event, which you can enter in the Details section under Contents, is to be displayed after the title. Only the event title is shown in the List view.

Workweek

Categories

You can invoke this part of the Day & Month View tab as a separate Categories dialog, by invoking the Categories... menu command in the context menu of the event window.

The defined categories and their colors are displayed in this list box.

New...

To define a new category, click on the New... button to open the New Category dialog, where you can assign the name and color.

Delete

Click here to delete the selected category. You will not be prompted to confirm the deletion. If you inadvertently delete a category, you can quit the dialog by selecting Cancel.

Colors

You can assign a color to the selected category in this list box.

Use global color mapping

If this check box has been marked, the global color mapping of the currently running StarOffice Schedule Client applies. You can define this color mapping in the Explorer under Tasks & Events - Data Source - My Computer - [user name] - context menu commandProperties... - Settings tab.

To assign the same colors to the presentation of the same categories even if they are located in different calendars, there is also (apart from the per layout possibility, undertake a designation between categories and colors) the possibility of a global color mapping (a per StarOffice Client and not a StarOffice Schedule Server!).

This global list theoretically contains the categories of all StarOffice Schedule users of all connected servers. Since the user is unable to simultaneously view the categories of all StarOffice Schedule users, only a section of this global list can be edited. This takes place in the Properties dialog of a single user. This dialog enables you to create and delete categories and assign each category a global color.

You have the possibility to define for each layout if a special color mapping should be used for the display. Define the global mapping for a layout under the layout definition in the Day and Month View tab. For the Events View, go to the Categories dialog and mark the Use global color mapping check box.

Select the filters to be modified here. You can also define new filters, delete or rename them.

In the Categories list box, select the desired category. You can also make a multiple selection of categories by pressing the (Shift) or (Control)(Ctrl) keys.

The selected categories are displayed in the text box. You can enter the categories also manually.

Default category for new tasks

Enter the categories in this text box which apply to all newly entered tasks in the current filter.

Define a filter in this section which filters the enties by title, date, and priority.

Title contains

Enter a text which must exist in the task title. The text is case sensitive and will be found also as a component of a word.

Select here the participants to be followed when filtering. If you enter various participants, all of them have to be contained

Date

Choose the list box to determine a time restriction for the displayed tasks, for example, "due date - tomarrow" or "start date - this week".

Priority at least

Select here the priority level necessary to display the task. Priority 1 is the highest priority level for the most important tasks, priority 5 is the lowest. Enter a "2", for example, to show the priority levels 1 and 2.

Status

Check this box if the task status is decisive for the filter.

In the list box, choose the status necessary to display the task.

I am a participant

Check here to view the tasks only where you are participant.

In the left list box, select an argument in favor of the condition.

Expression

Enter a text here which defines all of the conditions relating to the condition fields. For example, conditions can then be combined to read: "Title - contains - ABC" to show only the tasks where ABC is contained in the title, or "Completion dates over 3 days" to show only the tasks which have been completed for more than 3 days.

This area is used to select the layout to be edited, define new layouts, delete and rename layouts.

Select this to view only objects from certain categories in the Event Overview. Next, select the desired categories in the list box by checking the box in front of the category name. Click the check box again to uncheck it. Only objects that are part of the selected categories will appear in the Event Overview.

Columns


Define the columns, for example, displayed in the task window or event list and their order. In the column head's context menu you can also select which columns you want to view and can change their order by dragging the column head horizontally.

Select this field to display the columns as wide as the width of the window. If this field is not selected, you can scroll horizontally through the window.


Sort


Determine in which order the tasks should be sorted in the task window or the events in the list view.

Select the first sort criteria here.

Then by

Choose a lower criteria to sort by if entries are equal in a higher criteria.

Ascending

Check here for an ascending order.

Descending

Check here for a descending order.

Clear all

Click Clear All, to clear all selected criteria.


Group


Define a group of tasks in the task window or events in the list view here.

You can show the higher-level entries in grouped lists by clicking on the preceding plus sign, as is already familiar from Explorer (in the hierarchical view). You also have the following options:

Double-click on the text area in a group header: the group is opened or closed.

Press Ctrl and click on the plus sign preceding an entry or shortcut key Ctrl and Plus sign "+": The group and all its sub-groups are opened.

Delete key (if the cursor is not positioned in a text): Selects the next highest level.

Alt + CursorUp: Change focus to input line.

Group by

Choose the first group attribute here.

Then by

Choose a lower criteria to sort by if entries are equal in a higher criteria.

Check here for an ascending order.

How to work with your calendar

To select another date or view in the calendar, you have the following options:

Administer the tasks in the StarOffice task window which are not (yet) directly assigned to an event.


Tasks

If you select Tips or Help Agent in the Help menu and then point with the mouse to a task entry, which cannot be displayed directly because of its length, the entire entry name is shown as a tip.

When you have entered several tasks, you can display and hide these using filters. You can also get an overview by grouping the entries. In a free area in the Task View (not on an entry), invoke the context menu by clicking with the right mouse button. In the context menu, choose the Group... menu item. The entries can also be sorted.

This is how to enter a new task

Click the empty entry at the very top of the Task window. Enter the title of the new task. If you switched on the Detail view (e.g., with the Details icon on the object bar), you can enter, view, delete, and edit information for the current task.

Events


In the event overview, the events are listed according to time either by one day, one week, one month or all events in the list.

This way you will always see your events

You can turn the event calendar into a Floating task and have it always displayed in the foreground. Select the corresponding command from the context menu of the Events button on the Task bar and drag the task window into a free position on the screen and, if necessary, reduce it.

Entering an event to the exact minute

You can also hold down the OptionAlt key while dragging the start and end time of an event. Then you can move it within a 5-minute grid.



Additional text not to be displayed in the overview can be entered as a comment to this event. For this purpose, open the Details view for the selected event by clicking the Details icon in the Object bar.


If you want to enter two events with same start time, proceed as follows:

As well, you can drag open the second event in the narrow area to the right of the first event. Events do not fully reach the right border of the Event window.

In the top line of the Event overview, you can enter a Day Event. This event applies to the entire day without specifying time. In the Details view of a event, there is the Day Event check box in the Details section, enabling you to subsequently turn every event into a day event.

To copy or move an event:

The events in the Event overview can be gripped easily using the mouse and dragged elsewhere holding down the mouse button. You can also select a number of events by holding down the Ctrl key. If you reach the upper or lower border of the event window as you drag, the screen is scrolled in days (or in weeks in a Monthly View).

If you hold down the Command(Ctrl) key while moving an event, the event will be copied.

You can also drag the event from a Daily View into the calendar and let it drop on a date. It is then moved or copied to this date.

Also by dragging into the StarOffice Schedule calendar window, you will see an area close to the top and bottom screen border whose screen contents can be scrolled by holding down the mouse button over this area. The window can be scrolled faster by pointing to the arrows to the left and right in the calendar window while holding down the mouse button.

If you drag an event onto the calendar and pause there momentarily over a day, the day is displayed in the main StarOffice Schedule window. You can then correctly position the event immediately. However, if you allow the event drop on a day in the calendar without pausing, the main window view is not changed.

To edit or delete events:

Simply click the title to edit it in the Event overview. The event will be displayed with a border in a standard color set for selected windows in your operating system. You can then edit the text as usual.

If you want to change the start or the end time of the event, simply use the mouse to move the top or lower border of the event.

Comments, attachments, recurrences, and other event properties can be edited in the Detail view, which can be displayed by clicking the Details icon in the object bar.

You can set an alarm under Reminder in Details. Read the User's Guide for more detailed information on this subject.


If you want to be reminded of events coming due by an alarm immediately after starting StarOffice, go to the Explorer and call up the context menu of Tasks & Events. Select the Properties command and in the Settings tab, mark the check box Start Schedule Reminders with StarOffice.


If you want to delete the selected event, use the Delete command in its context menu. You will be asked to confirm this.

You can use a macro to delete all duplicate events. Duplicate events may be created if you import an import file more than once.

This is how to delete all events and all tasks at the same time:

When StarOffice Schedule is not open, delete the file Office52/user/store/schedule.cal.

This is how to save all events and tasks

Copy the Office52/user/store/schedule.cal file into another directory. If you recopy this file later and overwrite the current file schedule.cal, the saved events and tasks will appear again.

The other StarOffice Schedule file, Office52/user/config/schedule.cfg contains information about the server connections, views, filters, layouts, etc.

In the list, call up the context menu of column headers to define, among other things, which information you would like to see. You can sort, group and set filter and style.

If you display the participants as a single column, you can open a list for each line that enables you to select various participants.

By clicking the column header you'll sort the list by this column. If you click again it will sort in the reverse direction.

You can also change the columns order via Drag&Drop.

The Search icon opens a window area so you can define and start a search for your tasks and events.

Choose a condition here. Select an object in the left field, in the right field select the logical corresponding condition.

If you want to insert or modify a condition you have to "access" the logical condition in the right field, that is modify or at least select it again, otherwise the buttons Insert and Modify will not be active.

Expression

Enter an expression for the logical condition here. For example, if you have chosen the "Description contains" condition, enter the text which should be contained in the description.

Case sensitive

If this field is checked, the text will be case sensitive.

Regular Expression

If this field is checked, the text will appear as an regular expression.

Add

Click here to add the further conditions to the condition list. Several conditions will be linked with AND and must apply to all.

Modify

Select a condition in the large condition field to alter its values. Click this button to accept the changes in the large condition field.

Delete

Delete the selected condition with this button.

What's new in this version?


The following is a description of the new and updated features in StarOffice Schedule.

New Import and Export Formats

There are now also more import and export filters in StarOffice Schedule.

Compatibility of vCalendar Attachments

When you send tasks or events per e-mail, you will now be asked in a dialog to specify which compatibility mode the vCalendar file in the e-mail attachment should be created in. You can choose either a default or a Netscape Calendar (as is also the case when exporting tasks or events). "Default" uses the default which corresponds to the vCalendar specifications, whereas the Netscape Calendar is better suited to the properties of Netscape software.

New Import and Export of iCalendar Files

StarOffice Schedule contains vew filters for importing and exporting tasks and events in the iCalendar format (*.ics). The filters can be selected from the File Type list box in the Import/Export dialog. (The filename extension is *.ics, the file format is UTF-8.) These new filters in iCalendar format support data communciations with MS Outlook 2000.

New XML iCalendar Import and Export

New XML support facilitates the import and export of iCalendar files which already exist in XML format. The "XML iCalendar Task" or "XML iCalendar Event" filters can be selected in the Import/Export dialog in StarOffice Schedule. The filename extention is *.xcs, the file format is currently UTF-8-encoding.

The format is based on the Internet Draft of the Internet Engineering Task Force (IETF). Remember that changes to the format are still possible because it has the "working draft" status.

Import and Export of CDE Calendar Events

The import and export of CDE Calendar events (*.tmp) for Solaris is now possible. When sending events as e-mail, a corresponding attachment will automatically be added.

Improved Export Option for Specifying the Owners

The export dialog for events and tasks contains a new list box in which the user can specify how the owner should be handled.

Differentiated export "behavior" is mainly of interest to groups of colleagues working together, since there are only multiple owners when several people are using StarOffice Schedule. There are three settings to choose from: "only external" (the default), "always" and "never".

Select "always" if you want to export the respective owner with every task or event. This means that when it is imported the original format is maintained. This setting is especially useful for data security.

The "never" setting results in the owner never being exported for events or tasks. The person who imports this data becomes the owner of all those events and tasks.

Select "only external" if only the tasks and/or events of external owners should be exported. This is the default setting. If you import the data, you will become the owner of only those tasks and events that were already yours before the export. This can be useful, for example, if you only want to take your own events home with you to import them there, not those of your colleagues.

You can drag e-mail attachments of Calendar data into the time display on the StarOffice Task bar and in so doing import the attachments directly into your event planner without having to open it.

At present, only iCalendar (MimeType text/calendar) and CDE attachments (MimeType application/x-sun-ae-file) are imported in this way. vCalendar (MimeType text/x-vCalendar) and CDE (created by StarOffice) cannot be imported yet.

Archiving Events and Tasks

In the Tools menu there is a new command for archiving events and tasks. When you select this command a dialog will appear in which you normally only need to click OK, because all the settings are already made for you. You could, however, change the date till which the events and tasks should be archived.

All events that have a completion date before the date entered here will be put into the archive file and deleted from the event planner. Events which have not be completed yet will not be put into the archive. For repeat events, only the final completion date counts. The completion date is the date of reference for tasks.

The archive file is written in XML format (in accordance with the Internet Draft fron IETF). An archive can be reloaded by way of the StarOffice Schedule import function.

Improved E-mail Reminders

If you manage your event planner on a StarOffice Schedule Server it can now send e-mail reminders. Up till now, the local StarOffice client was responsible for this. Since the StarOffice Schedule Server is usually used on a constantly running network server, the new function makes the sending of reminder e-mails more reliable.

Event list view

In addition to the day, week, month view etc., you can now list, sort and group the events exactly as you would sort and group tasks in the list view.

Expanded participant interaction

Participants can now be removed from events or event lists in the Explorer to assign them to your event.

Extended search functionality

When in the Address Book it is now possible to search the StarOffice Schedule Server, registered under StarOffice for particular participants by using the methods protocolled under LDAP. These can then be incorporated into the Address Book and then used from there in StarOffice Schedule. You can now search for events andtask in StarOffice Schedule by starting the search over the Tools - Find or by using the Object Bar.

Drag&Drop of E-mail Addresses URLs to Invite Participants

If Mailto URLs are dragged onto the participant's drop area in StarOffice Schedule (Event view, Tasks view, Participants list in the details), the corresponding person having the Mailto URL as Calendar URL will be included as a participant.

Reminder on external events

Reminders can now also be set for events which are not your own. This setting is not returned to the owner and is thus a purely private setting. Up till now, you could only change the participant status in events owned by someone else.

Deletion of Event Entries from Non-participants' Calendars

If you set the participant browser to indicate that a participant should no longer be informed about changes to an item, the item will be deleted from that participant's calendar. All that happened previously, was that no more updates were sent after that point.

Deleting Events and Tasks

You can now delete all visible events and tasks. A security response appears before deletion which you need to confirm since the events and tasks will be permanently deleted and cannot be restored again.

You can configure the participant list in the Events and Tasks Details.

The list of participants contained in the tasks and events details can be easily configured. As with the tasks and events list view you can call various dialogs via the context menu. These dialogs enable you to deselect the displayed columns or to sort or group by different criteria.

Disable General Read Access

The General Read Access function enables you to control the user access to your StarOffice Schedule. If this function is deactivated, only the user and the persons s/he determines will be able to view her/his tasks and events.

Permanent Selection When Changing View

When you switch between different types of event views, the existing event selection is now retained if possible. The selection color in StarOffice Schedule now indicates which window currently has the focus. To ensure this, certain selected events are no longer selected in their category color as before, but rather with the active or non-active selection color of the application.

StarOffice Schedule is the StarOffice module that's used to plan your appointments, events and tasks. In addition, you can use the integrated calendar to - among many other features - that enables events to be highlighted and calendar week numbers to be shown.

You can only manage your events locally on your computer, and/or use a StarOffice Schedule Server in the network. The latter is a computer on which StarOffice Schedule is permanently running and manages the calendars of all those users who wish this. This allows you to have constant access to the events of other members of your group and they, likewise, have access to yours. The access options contained in the Details area for each of your events and tasks allow you to define if the data is public (can be read by all) or private (can only be read by your designated stand-in). An intermediate stage is that if events are marked as "confidential" then other users can only see the start and finish times and nothing else.

You can determine who will be your designate(s) thus enabling them to view, edit, delete and write all your appointments or events

Events Overview

You can display events sorted by time in a daily, weekly or monthly view. Or the entire workweek can be shown. You can even create events for a specific day without specifying a particular time of day.

For a given event you can enter a number of characteristics such as further details, priority, location or a confidential or the private attribute to prevent other team members from viewing your personal event. A Recurrence attribute is also provided. In this case, StarOffice Schedule automatically repeats the event entry (a specified number of / ) at the appropriate time in your calendar.

Managing your time-independant tasks

You can enter your tasks in a separate section of StarOffice Schedule's work area. They can be sorted alphabetically or by categories, priority, or other criteria and you can determine when a task has been completed with a simple mouse click. You also have the possibility to view all or only the completed tasks, or filter the tasks by other specifics.

A lot of detail information can also be entered against task entries.

Synchronize

StarOffice Schedule offers you the possibility to synchronize your scheduling using the 3Com Robotics PalmPilot. You can select from the various import and export filters for exchanging data such as VCalendar and iCalendar.
